Henry Fayol: Henry Fayol (1841-1925) got degree in Mining Engineering and joined
French Mining Company in 1860 as an Engineer. He rose to the position of Managing
Director in 1988, when the company was on the verge of bankruptcy. He accepted the
challenge and by using rich and broad administrative experience, he turned the
fortune of the company.
For his contributions, he is well known as the “Father of General Management”.
1. Division of work:- According to this principle the whole work must be divided
into small tasks or jobs and each job must be assigned to a trained specialist who is
competent to perform it. It leads to specialization, simplifies the work and increases
efficiency.
2. Authority and Responsibility:- Authority refers to right of a person to
command or give orders. Responsibility refers to the obligation of performing the
assigned task with maximum efficiency. According to this principle there must be a
parity between authority and responsibility. Higher authority may be misused and
higher responsibility may lead to non-achievement of targets.
3. Discipline :- In Management discipline refers to obedience to rules and regulations
of organization. regulating behavior of employees, feeling of respect for one another,
clear and fair agreement and judicious application of penalties.

1. Science not rule of thumb:- According to this principle there should not be rule
of thumb ie. hit and trial method, rather there should be scientific study and approach
for each element of a job. Taylor states that while determining standard time or
standard method one should not consider estimates, past experience, hit and trial
method. Standards must be scientifically analyzed and proper investigation is needed
to determine standards.
2. Harmony, Not Discord (Conflict):- According to Taylor in an organization there
should be complete harmony between the management and workers. Both should
realize that each one is important. To achieve harmony, Taylor suggested a technique
of complete ‘Mental Revolution ‘on the part of both management and workers.
Management should share the gains of the company with workers, fulfill their
promises and at the same time workers must contribute their level best for the
organization.
3. Co-operation, not individualism – This principle is an extension of “Harmony,
not discord”. This principle states that there should be complete cooperation between
management and workers instead of individualism. Management should take workers
into confidence and give them participation in decision making. Workers should not
indulge in unnecessary strikes and raise unreasonable demands. Taylor suggested that
there should be equal division of work and responsibility between the workers and the
management.
4. Development of each and every person to their greatest efficiency
and prosperity – This principle states that the efficiency of all workers is a must for
which they have to be provided with maximum prosperity. For this, Taylor advocated
scientific methods for selection, training and development of workers. If workers put
in their best effors, it ensures maximum prosperity not only to workers but also to the
organization.

3. Work Study: Work study is a systematic, objective oriented, analytical and critical
assessment of the performance of workers in various operations in a workshop. Its
various aspects are:
(a) Method study :- The objective of method study is to find out one best way of
doing the job to maximize efficiency in the use of materials, machinery,
manpower and capital. Taylor suggested that method of production should not
be decided by the rule of thumb method but all the methods must be tried in
the organization and the one which brings maximum benefits with minimum
cost must be selected.

while doing a typical job. Unnecessary movements are sought to be eliminated
so that it takes less time to complete the job efficiently.
(c) Time Study :- It determines the standard time taken to perform a well-defined
job. The objective of time study is to determine the number of workers to be
employed, frame suitable incentive schemes & determine labour costs.
(d) Fatigue Study:- Fatigue study seeks to determine time and frequency of rest
intervals in
completing a task. The rest interval will enable workers to regain their lost
stamina thereby avoiding accidents, rejections and industrial sickness.

PLANNING
QUICK REVISION
⋆ Concept of Planning:- Planning is defined as the process of setting objectives for
a given time period, formulating various courses of action to achieve them and then
selecting the best possible alternative from among the various courses of action
available.
⋆ Features of Planning:-
1) Planning focuses on achieving objectives as specific goals are set out in the plans
along with activities to be undertaken to achieve the goals. (Thus, planning is
purposeful)
2) Planning is futuristic as it involves looking ahead and preparing for the future to meet
future events effectively to the best advantage of the organisation.
3) Planning involves decision making as it involves evaluation of each alternative course
of action and choose the most appropriate one.
4) Planning is a mental exercise as it is an intellectual activity of thinking rather than
doing. It requires application of mind involving foresight, intelligent imagination and
sound judgement.

5) Planning is the primary function of management as it lays down the basis for all other
functions of management. All other managerial functions are performed within the
framework of the plans drawn. Thus, planning precedes other functions. This is also
referred to as the ‘primacy of the planning'.
6) Planning is pervasive as it is required in all type of organisations, at all levels of
management and in all departments of an organisation. Top management undertakes
planning for the whole organisation. Middle management does the departmental
planning. At the lowest level, day-to-day operational planning is done by supervisors.
7) Planning is continuous because of plan is framed and implemented for a specific
period of time and is followed by another plan and so on.
⋆ Importance of Planning:-

should be taken. If there was no planning, employees would be working in different
directions and the organisation would not be able to achieve its desired goals.
2) Reduces the risks of uncertainty: Planning reduces the risk of uncertainty by
anticipating changes and developing managerial responses to them. Planning cannot
eliminate changes/ uncertainties but can predict them and prepare contingency plans to
deal with them.
3) Reduces overlapping & wasteful activities: Planning reduces overlapping Ann
wasteful activities by coordinating the activities of different divisions, department and
individuals.
4) Promotes innovative ideas: Planning promotes innovative ideas requiring

5) Facilitates decision making: Planning facilitates decision making by making a
choice from among the alternative courses of action.
6) Establishes standards for controlling: Planning establishes standards against
which actual performance is measured. (A comparison of actual performance with the
standards helps to identify that deviations and to take correct corrective action. Thus,
planning is a prerequisite for controlling.)
⋆ Limitations Of Planning:-
1) Planning leads to rigidity. Plan is drawn with specific targets in a specific time
frame. Once the plans are drawn, the managers may not be able to change them. It may
not be in the best interest of the organisation when circumstances change.
2) Planning may not work in a dynamic environment as the organisation has to
constantly adapt itself to changes.
3) Planning reduces creativity as it is Mostly done by the top management ;rest of the
members just carry out orders and think on the same lines as other. They are neither
allowed to deviate from plans nor are they permitted to act on their own. Thus, their
initiative or creativity gets lost or reduced.

ORGANISING
Revision Notes
Organising: Definition
Organising can be defined as a process that initiates implementation of plans by clarifying
jobs and working relationships and effectively deploying resources for attainment of
identified and desired results(goals)
„Organizing is the process of identifying and grouping the work to be performed, defining And
delegating responsibility and authority and establishing relationships for the purpose of
enabling people to work most effectively together in accomplishing objectives.‟
Identification and division of work : The first step in the process of organising involves
identifying and dividing the work that has to be done in accordance with previously
determined plans. The work is divided into manageable activities so that duplication can be
avoided and the burden of work can be shared among the employees.
Departmentalisation: Once work has been divided into small and manageable activities then
those activities which are similar in nature are grouped together. Such sets facilitate
specialisation. This grouping process is called departmentalisation.
Departments can be created using several criteria as a basis. Examples of some of the most
popularly used basis are territory (north, south, west, etc.) and products (appliances, clothes,
cosmetics etc).
Assignment of duties: It is necessary to define the work of different job positions and
accordingly allocate work to various employees. Once departments have been formed, each of
them is placed under the charge of an individual, Jobs are then allocated to the members of
each department in accordance to their skills and competencies.

Merely allocating work is not enough. Each individual should also know who he has to take
orders from and to whom he is accountable.
The establishment of such clear relationships helps to create a hierarchal structure and helps
in coordination amongst various departments.
Importance of Organising
Benefits of specialization:
In organizing every individual is assigned apart of total work and not the whole task. This
division of work into smaller units and repetitive performance leads to specialization. Thus
organizing promotes specialization which in turn leads to efficient & speedy performance of
tasks.
Effective Administration:
It provides a clear description of jobs and related duties which helps to avoid confusion and
duplication. Clarity in working relationships enables proper execution of work which results
ineffective administration.
Adoption to Change:
A properly designed organizational structure is flexible which
facilitates adjustment to changes in workload caused by change in external environment
related to technology, products, resources and markets.
Development of Personnel:
Sound organization encourages initiative and relative
thinking on part of the employees. When managers delegate their authority, it reduces their
workload so they can focus on more important issues related to growth & innovation. This
also develops the subordinates‟ ability and helps him to realize his full potential.
Organizational Structure
The organisation structure can be defined as the framework within which managerial and
operating tasks are performed. It specifies the relationships between people, work and
resources. It allows correlation and coordination among human, physical and financial
resources and this enables a business enterprise to accomplish desired goals.

separate departments creates a functional structure. All departments report to a coordinating
head.

operations require high degree of specialization.
DIVISIONAL STRUCTURE

divisions. Each unit has a divisional manager responsible for performance and who has
authority over the unit. Manpower is grouped on the basis of different products
manufactured. Each division is multifunctional because within each division functions like
