POLICY AND PERMITTING PROCEDURE

CHURCH BUILDING USAGE


SECOND CONGREGATIONAL CHURCH

Statement of Policy:
The Second Congregational Church has a policy of permitting the use of its facilities by organizations,
consistent with the Church Building Usage Mission Statement. We see this as part of the mission outreach of
our church.
Permitting Procedure:
A space request form (see” Application Request & Agreement for Building Use” form attached) will be
submitted to the church office, via phone, mail, e-mail or in person. If the request falls within the Mission
Statement for church building usage, it is forwarded to the Property Team for consideration, in consultation
with the Central Board and Pastor/Minister as needed. If the Property Team votes in favor of the request, the
applicant is then requested to provide a copy of their certificate of insurance, naming Second Church as an
additional insured on a general liability policy with a minimum of $1,000,000, and to have their insurance
company issue us a copy of their Certificate of Insurance naming Second Congregational church as a Certificate
Holder. The Certificate of Insurance is to be updated annually. If the requestor does not hold insurance, a “Hold
Harmless Indemnity Agreement” (copy attached) is to be completed and signed.
Upon completion of the above steps, a formal license agreement, specifying space requested, usage schedule,
license fees and other relevant specifics will be signed by the requestor and the Chair of the Property
Committee. Keys to the building may be issued by the office as appropriate and security will be notified of any
after-hours use of the building.
Ongoing Management:
The church office will act as coordinator to ensure no conflicts of space usage occur and will generally act as
the interface to licensing groups. The Property Team will be responsible for negotiating license renewals as well
as changes to license fees. The church office may request guidance from the Property Team as needed.

This Indemnity Agreement made this __________day of_________________, 20_____, by and between
the Second Congregational United Church of Christ of Beverly, Massachusetts (hereinafter the “Indemnitee”)
and ______________________________________________________________________________________
of________________________________________________________________________________________
(hereinafter the “Indemnitor”).

WHEREAS, the Second Congregational Church of Beverly, Massachusetts, has agreed to permit the
Indemnitor from time to time to use the premises of the Second Congregational Church, located at 35 Conant
Street, Beverly, Massachusetts, including the building and structure thereon and all sidewalks, passageways,
and parking lots appurtenant thereto (hereinafter the “Premises”), and for which use the Indemnitor has/has not
is/is not (strike out inapplicable words) required to pay a fee, and

WHEREAS, the Indemnitor desires to use the premises under similar terms and conditions for its own
purposes in the future, and
WHEREAS, the Indemnitor has been unable to provide to the Indemnitee proof of liability insurance as
requested by the Indemnitee.
NOW THEREFORE, in good and valuable consideration of which the parties hereto by their signatures
below do hereby acknowledge, the Indemnitor does hereby covenant, promise and agree to indemnify and save
harmless Indemnitee from any and all claims by any person or persons for injury, contagions, loss or damage, by
reason of the use of the premises by the Indemnitor or Indemnitor’s licensees, invitees, agents, contractors or
employees, even if the liability, injury, loss or damage, is caused by, or arises out of, the negligence or acts of
Indemnitee or of its officers, agents, employees or otherwise.
And the Indemnitor does hereby further promise, covenant and agree to indemnify and save harmless
Indemnitee from and against all costs, attorney’s fees, expenses, and liabilities because of any such claim or action
brought thereon.

1. Groups or organizations shall provide a certificate of liability insurance (with minimum coverage of
$1,000,000) at the time space is reserved; or provide a Hold Harmless Indemnity Agreement. All renters
liable for any damages incurred.
2. Payment due 1st of month for ongoing groups; or at time of single event.
3. Smoking prohibited in Church building; allowed outside with butts in receptacle at handicap entrance.
4. Alcoholic beverages not allowed on premises.
5. Building users responsible to set up space and return to found condition; includes during time of
pandemic disinfecting space and adhering to MA regulations.
6. Trash must be placed in proper receptacles.
7. Upon completion of function turn off lights and close windows as you exit the building.
The building is checked and secured daily by an electronic Security system and security agent.
