Introduction

About This The focus of this course is on the fundamental skills and concepts
Course central to the successful use of SOLID WORKS PDM. You should view
the training course manual as a supplement to, not a replacement for,
the system documentation and on-line help. Once you have developed a
good foundation in basic skills, you can refer to the on-line help for
information on less frequently used command options.
The intended audience for this course is a user who will access or
manage files with SOLIDWORKS PDM.
Prerequisites Students attending this course are expected to have the following:
For users of the Viewer and Contributor clients:
• Experience with the Windows'P" operating system.
For users ofthe CAD Editor client:
• Basic experience with the SOLIDWORKS software.
• Knowledge of SOLIDWORKS file structure and referencing.
For more information on SOLIDWORKS File Management please
refer to the SOLIDWORKS File Management book.
Course Length The recommended minimum length of this course is one day.
Course Design SOLIDWORKS PDM is a highly configurable product. As a result,
Philosophy each company's vault, project structure, data cards and workflow will
be different. The screen shots used in the lessons were created from a
vault based on a fictional company (ACME) and will generally be
different from what you will see on your own system. The data cards
shown are from the Training set which are included as part of the
training file set download.
For each lesson, this manual provides the technical detail of the
individual functions of SOLIDWORKS PDM. Your instructor will
either demonstrate the different features of SOLIDWORKS PDM on
your vault or a vault created from the settings used in your company.
This course is designed around a process- or task-based approach to
training. Rather than focus on individual features and functions, a
process-based training course emphasizes the process and procedures
you follow to complete a particular task. By utilizing case studies to
illustrate these processes, you learn the necessary commands, options
and menus in the context of completing a task.
Using this Book This training manual is intended to be used in a classroom environment
under the guidance of an experienced instructor. It is not intended to be
a self-paced tutorial. The examples and case studies are designed to be
demonstrated "live" by the instructor.

Introduction

User Interface Throughout the development of the software, there have been some
Appearance cosmetic User Interface changes, intended to improve visibility, that do
not affect the function of the software. As a policy, dialog images in the
manuals which exhibit no functional change from the previous version
are not replaced. As such, you may see a mixture of current and "old"
UI dialogs and color schemes.
Vault Users This manual assumes that usernames have been created for each
student as well as a username for each student's manager. If these
usernames have not been created, the instructor should tell which
usernames can be used for both the Engineer user and the Manager
user.
SOLIDWORKS SOLID WORKS PDM has two versions, Professional and Standard.
PDM Standard This manual will focus on SOLIDWORKS PDM Professional. Some
sections will contain separate instructions for Standard and
Professional,

The Product Data Management (PDM) systems provide the following basic

What is SOLIDWORKS PDM is a product data management (PDM) software
SOLIDWORKS solution that helps organizations manage and share product data more
PDM? effectively and automate workflow to allow better collaboration from
engineering to the shop floor, resulting in better products, lower costs,
and faster time to market.
SOLIDWORKS PDM is intended to be used by engineers, designers,
manufacturers, purchasers, sales, marketing, and many others, to
manage files including: design geometry, engineering drawings, project
plans, part files, assembly diagrams, product specifications, numerical-
control machine tool programs, analysis results, correspondence, bills
of material, and many other file types ..
SOLIDWORKS SOLIDWORKS PDM provides a secure method of working. The basic
PDM Overview philosophy is:
• Files are stored in the vault.
• Users have controlled access to the vault.
• Users check out or open files from the vault.
• All required files are copied to the user's local cache (vault view).
• Users work with the files locally.
• Only checked out files that were changed need to be checked in to
the vault.
• When files are ready they may be submitted to an automated
workflow process for review and/or approval.

SOLIDWORKS SOLIDWORKS PDM is comprised of the following required


PDM Modules components:
• Microsoft SQL Server
The SOLIDWORKS PDM database server must be hosted on
Microsoft SQL Server. This server contains information about the
setup ofthe SOLIDWORKS PDM system and the files it contains,
including user information, file metatdata and version and revision
information.

• SOLIDWORKS PDM Database Server


The SOLIDWORKS PDM database server is a service that
periodically polls the database for such updates as notifications,
local view refresh, replication schedule updates, index server
changes, etc.

• SOLIDWORKS PDM Archive Server (file vault)


The SOLIDWORKS PDM archive server hosts the physical files
stored in a file vault and also manages SOLIDWORKS PDM users
and their credentials.

• SOLIDWORKS PDM Client


Each computer accessing the file vault must have the client
software installed.

The SOLIDWORKS PDM web server provides access to a file
vault from the internet or intranet. This functionality require
Microsoft lIS.
• SOLIDWORKS PDM Index Server
The SOLIDWORKS PDM index server provides full content
search in many file types stored in a SOLIDWORKS PDM file
vault. This functionality requires Windows Indexing Service.

SOLIDWORKS These are the key components of SOLIDWORKS PDM.


PDM
Components
File Vault All files added to SOLIDWORKS PDM are stored in the file vault,
which consists of an archive for the files and a database for the
metadata. Only users with the appropriate access rights can modify the
files stored in the vault. When a user retrieves a file from the file vault
for editing, other users can view or copy the file but cannot edit it.
View of File Vault In SOLIDWORKS PDM, all users managing files connect to a file
vault through a local file vault view. The vault view is directly
connected to an archive server and database.
When SOLID WORKS PDM is started, the vault view in the Explorer
window mirrors the files and folders of the file vault as stored on the
server. To the user, it therefore appears as if all the files and folders of
the file vault are stored on the user's local hard drive.
Working Folder When a file is retrieved from the SOLIDWORKS PDM file vault, a
(Cache) copy is placed in the working folder or cache on the user's local hard
drive. The next time the same file is accessed, SOLIDWORKS PDM
finds out whether the file is in the working folder. If it is, and if it has
the correct version, SOLIDWORKS PDM does not retrieve it from the
file vault again. That is, the working folder on the local hard drive acts
as a cache area. When a modified file is saved into the vault, the user
can keep a read-only copy in the working folder or remove the local
copy.
Access Rights Each user or group of users needs rights to access the files in the
SOLIDWORKS PDM file vault. Such rights yield permission to:
• Read or view a file.
• Share a file between folders.
• Check out a file for editing purposes.
• Delete a file from view.
• Destroy a file, i.e. to permanently remove a file from the
SOLIDWORKS PDM file vault.
• Add or rename a file.
• Modify a file data card, i.e. to alter the layout of the card associated
with a file.
SOLIDWORKS SOLID WORKS PDM handles all types of files. Examples:
PDM 'Smart' Files
• Technical drawings (.slddrw, .dwg, etc.)
• Part and assemblies (.sldprt, .sldasm, etc.)
• Calculation sheets (.xls, etc.)
• Text files (.doc, .txt, etc.)
• Graphic files (.bmp, .gif, .jpg, etc.)

Files stored in the vault become 'smart' when additional property


information (metadata) is associated to a file. (Examples include: part
number, description, drawn by, etc.).
SOLIDWORKS Vault folders are also 'smart' because of the property information
PDM'Smart' (metadata) associated to the folders. (Examples include: project
Folders number, project description, project manager, etc.). Folders contain
'smart' files. In addition, a folder may contain sub folders, which in
turn may contain additional 'smart' files.
File Data Card Each file in SOLIDWORKS PDM has an attached file data card,
containing information about the file.
The layout and contents of the card are defined by the file type. Data
cards are defined by the administrator and may also be folder specific.
The card layout is inherited from the base folder, unless it is re-defined
in a subfolder.
Folder Data Card Each folder in SOLID WORKS PDM has an attached folder data card,
containing information about the folder.
Data cards are defined by the administrator and may be folder specific.
Typically there is a single folder card used by the SOLID WORKS
PDM Vault. Any file added to a folder can have portions of its file card
completed by the card of the folder to which it has been added. For
example, project details for the file can be extracted from the project
folder's card.
Workflow The workflow process is user defined. Schematically it should
represent the internal approval process that is used in the work group, at
the department, within the company, etc.
The workflow is defined by two types of items:
• State. Represents each of the different phases of a file's lifecycle.
• Transition. Represents moving a file from one state to the next.
At any given time, each file is in exactly one location (the current
state).
Each state can have its own set of user and user group access rights,
defining who may do what with the file at a particular state. Each
transition also contains rules of who may change the state of a file.
There must always be at least one state in the workflow: the initial
state. All new files created in or copied into SOLIDWORKS PDM are
assigned this state.

SOLID WORKS PDM Concepts

Notifications Notifications are messages sent to users or user groups. The


notifications are either transmitted automatically by the state alteration
of a file, or manually by the user. The purpose of a notification is to
inform, remind or alert the receiving users when a file has changed
state or when an accessed file has been released. The notification
appears as a pop-up or as an e-mail.
Versions and A file has at least one version. Each time a file is modified and saved
Revisions into the SOLIDWORKS PDM file vault a new version is created.
Every one ofthese versions is assigned a version number. A file in
SOLIDWORKS PDM can have any number of versions stored in the
file vault. When the editing of a file is finished, the latest version can be
designated a revision that is given an official revision number. You can
retrieve earlier versions of a file from the file vault. You can also revert
(roll back) to an earlier version of a file.

SOLID WORKS PDM User Interface

SOLIDWORKS SOLIDWORKS PDM offers both a Windows-based integration and


PDM User CAD application plug-ins that enable design team members to create
Interface and manage documents and access and manage design information.
SOLIDWORKS users may access the vault directly from
SOLIDWORKS using the SOLIDWORKS PDM CAD Editor client.
The vault may be accessed from computers that do not have
SOLIDWORKS software installed, through the SOLIDWORKS PDM
Contributor client, the SOLID WORKS PDM Web client or the
SOLIDWORKS PDM Viewer client.
Getting Help The help files shipped with SOLIDWORKS PDM are in HTML Help
format. This offers improved search and display functions as well as a
consistent look and feel with Microsoft's online help.

Where to Find It • In Windows Explorer, browse the vault view and click the help icon

The Explorer All interaction with SOLIDWORKS PDM is done directly from
Window Windows Explorer, from a dialog box opened from Windows Explorer
or from within the CAD application. As a result of the installation, a

Logging In Before using SOLlDWORKS PDM to manage files, login to the


system.

SOLID WORKS PDM User Interface

File View This file view is similar to the normal Explorer file view, but some
columns are changed. The default columns are:

Name Name of the file (or the folder)


Checked Out The user who currently has the file checked out.
By This column is empty when the file is not checked
out.

Size File size

File Type The program that created the file and type, e.g.
Microsoft Word document
State User-defined state in the workflow, e.g. Released,
Pending Approval, etc.
Modified Date when the file was last modified (or created)
Check Out In The local path to the checked out file. This
column is empty when the file is not checked out.

Category Displays the file category, Files in a


SOLIDWORKS PDM Professional file vault can
be assigned a category to ease organizing of
certain files or sending them to the correct
workflow.

In addition to these standard colwnns (which cannot be changed or


deleted), administrators can add columns that show file data card
values. In the previous image, Part Number and Document Number
are additional columns.
To open a file, double-click on the file name. If you open the file from
the file view, you always get the local version. If there is no local
version of the file, you get the latest version from the file vault.

Click on a few of the files in the file view and notice the property
information for each selected file. This information may be used to
quickly search and retrieve files.

configuration is denoted by the black outline configuration symbol on
the tab.

To switch between the different configurations, click on the tab name.


Any data stored in each of the different configurations/layouts is stored
in the separate configuration pages of the file data card. The @ tab
shown for SOLIDWORKS files displays the Custom (document
specific) properties.

Note To set the default focus to the @ tab, select Display, Options and

Preview When the Preview tab is selected, the lower part of the right pane is
split in two preview sections: file preview and file data card preview.
Drag the border between the frames to resize the panes.
The left of the two preview sections contains a preview of the selected
file. You can zoom the file preview to examine the file in more detail or
to make the text readable. Right-click the preview to access a context-

Version View The Version tab displays which file version you have in your local
cache folder. It also displays a small, visible warning when your local
cache does not have the latest revision of the file.
The value of Local version lists the version of the file in your local
cache folder while Latest version lists the latest version of the

Bill of Materials The Bill of Materials tab displays a preset list of column values
View representing a Bill of Materials for the selected file. Multiple views can
be configured by the system administrator to display different BOMs as
required by the organization.

Note SOLIDWORKS PDM offers a variety of BOM options. Typically only


one type ofBOM is selected for use depending on your needs.
SOLIDWORKS PDM BOM types include:
• Computed BOM: (default)
Automatically calculated from the SOLID WORKS components
contained in an assembly or drawing, the computed BOM includes
internal components, such as parts and virtual parts. Computed
BOMs reflect BOM exclusions made in the SOLIDWORKS
assembly.
• SOLIDWORKS BOM:
BOM tables contained in assemblies and drawings. Components
excluded from a SOLIDWORKS BOM will not be listed.

• Named BOM:
Editable BOMs created from computed BOMs or SOLIDWORKS
BOMs. Named BOMs can be checked in and checked out to
maintain revision records using automated workflow processes.
Named BOMs are specific to the version of the assembly or
drawing used to create them. A named BOM can be updated to a
new version of the assembly or drawing.
• Weldment Cut Lists and Weldment BOM:
A weldment BOM lists each component of a weldment part with its
total length. A cut list contains the cut lengths and quantities of the
components.
There are multiple BOM view filters and options available for
modifying the BOM view display.

Menu customization SOLID WORKS PDM Professional allows the user menus to be
customized. Use the Menus page of the Settings dialog box to
customize menus displayed to users in the Windows Explorer File
View. This functionality is not available in SOLIDWORKS PDM
Standard.
The Menus page of the Settings dialog box can be accessed in the
Administration tool or by right-clicking on the SOLIDWORKS PDM
menu bar.

Note The menu options available to users are dependent on their access
permissions. Click the Help button of the Settings dialog box for more
information on menu customization.

3 Examine the Data Card tab.
Expand the Projects folder. In the file view, select each folder and

Expand each of the Projects\P-00002 sub-folders. Examine the Data
Card tabs of the various file types. Select the Preview tab and view
documents. Right-click the preview and explore the options for various
file types.
5 Examine the Versions tab.

File State • Private (local) State. When a new file is created or placed into a
user's local cache, the document is in a special, private, checked out
state. The file has not been checked in to the vault, however,
information about the file is added to the database.
• Checked In. No user is working with this file. Any user with the
appropriate rights may therefore check out the file for editing.
Opening a checked in file in an application opens it in a read-only
mode.
• Checked Out. The file is exclusively checked out by one user for
editing. No other user can check out this file at the same time. Other
users can open the file for viewing and copying, but it is not
possible to save any changes.

When a file is first created or placed into the user's local erd @Versionlf1 ~

Warning If you create a new file in a folder that is outside of the vault, you must

4 Create new file.


Double-click on the newly created folder PRJ-XXXXXX.
Right-click in the file view of the new folder and select New, Microsoft
Word Document.

Give the document the filename DOC-XXXXXX (where XXXXXX is


your name).
Fill in the Data Card tab as follows:

Title <your initials> Test Document


Subject New Product Specification
Keywords Bpectffcation

Click Save ~ on the upper-right of the data card when finished.


Notice that several properties were already filled out. The extent to
which the data card gets filled out automatically is determined by the
setup put in place by the administrator. In this case:
• Number. Uses the next available document number.
• Created By. Contains the user's login name.
• Date. Contains today's date.
5 Modify file.
Double-click on the new file to open.
Add several lines of text to the document, save and exit out of Word.
Select the Preview tab to view the changes.

Note If this is the first document preview, you may see a message indicating
the installation of a viewer.

Add Existing Files In some cases users have files that were created prior to using
SOLIDWORKS PDM or files that were obtained from an outside
source such as a contractor who does not have access to the vault.
To add these files to the vault, you can drag the files into the specific
vault folder, or you can drag a folder into the vault.

6 Copy folder.
Open a second Explorer window. Browse the location for the training
documents:

Document After creating and adding new files, check in the files to make them
Check In available to all other users with appropriate rights.
Users can select multiple files or a folder. If a folder is selected, all
documents in the folder eligible for check in are selected.

Where to Find It • Select the files or folder and right-click Check in.
• Select the files or folder and click Actions, Check in from the
SOLIDWORKS PDM menu.
Note All changes to a file are solely made in the file in your local working
folder until you check them into the vault.
When a file is checked in and its data has changed from the latest
version stored in the file vault, a new version of the file is created. This
way SOLIDWORKS PDM ensures that all changes to a file are stored
without having the previous version overwritten and destroyed.
If nothing has changed in the version of the file stored locally, the
Comment field is grayed out during check in and the version will not
increment.
Procedure To check your files into the file vault and create a new version:
1. Select the files to be checked in.
2. Right-click the selection and select Check in, or click Actions,
Check in from the SOLIDWORKS PDM menu.
3. Refer to the description in the following table about the check in
columns and make any selections by marking the checkboxes.
4. Enter a comment about the changes made to the file in the
Comment field.
The columns in the Check in dialog box are as follows:

Type Displays the icon of the file being checked in. When hovering over
,-. the icon, a preview of the file is displayed.

File name Name of the file or referenced file. For SOLIDWORKS assemblies,
the list can include drawings, parts, and sub-assemblies, and
SOLID WORKS Simulation files.
Note: The related drawings can be in the current folder or in a folder
elsewhere in the vault. By default, SOLIDWORKS PDM checks the
entire vault for related drawings. The scope ofthe search depends on
administrative settings.

Warnings Shows ifthere are any problems checking in the file. The different
results are:
& Cyclic reference - The referenced file itself refers back to the
parent file and cannot be checked in.
& File name is not unique - The administrator has configured the
system to disallow duplicate file names, and another file of the same
name already exists in the vault.
& File not found·- The referenced file is not found.
& Local file is modified - The local copy ofthe referenced file has
been modified.
& Local version has been overwritten - The local version of the
file has been overwritten.
& Missing data necessary for 80M, needs resaving in
SOLIDWORKS - The internal data necessary for BOM is either
missing or not updated leading to incorrect BOM entries. To correct
the BOM entries, resave the assembly file in SOLIDWORKS.
J\. No local copy - The referenced file is present in the vault but
there is no copy in the local folder.
& Outside SOLIDWORKS PDM - The referenced file is stored in a
location outside the file vault and will not be added as a reference in
SOLIDWORKS PDM for the parent file (the actual reference is still
stored in the physical parent file).
& The file is checked out by another user - The referenced file is
checked out by another user.
& The file is checked out in another folder - The referenced file
is checked out in a different folder.
& The file is checked out on another computer - The referenced
file is checked out on another computer.
@ & The file is not rebuilt (Configuration: 'Default') - The
referenced file is modified and has not been rebuilt. Clicking on this
warning will provide additional information regarding which files
need to be rebuilt.
& The file is open in another application - The referenced file is
open in another application.
& Toolbox file is located in a non-Toolbox folder - The Toolbox
file is not in the proper location.
& Unknown file format - The referenced file format is not
recognized.
Warnings such as File not found, Outside SOLIDWORKS PDM,
The file is not rebuilt and others may block a check in if your
administrator has configured blocking for warnings.
Check in Select to check in the file. If the checkbox is grayout, the file is not
checked out by you and cannot be checked in.

Keep checked out Select to keep the file checked out after it has been checked in and a
new version with the changes has been made.
Remove local copy Select to remove the local copy of the file from the working folder
(cache) after check in.
Overwrite latest Overwrites the latest version of the file during check in rather than
version creating new versions with each check in.

Local ver. Shows both the local version (cached version) and the latest version

Check In File After creating or placing new files in the local view, check in the files
to make them available to other users. If a file contains references, the
file version remembers which version of the reference is used.
This is useful when retrieving an earlier version of a file. All references
will be retrieved as they were attached.

References Outside If a referenced file is reported Outside SOLIDWORKS PDM, it is


the SOLIDWORKS stored and referenced in a location outside the current file vault. The
PDM Vault reference is not added to the SOLIDWORKS PDM file vault when you
check in the parent file. No information about the reference to the
parent file is stored in the vault. The next time you check out the parent
file, this referenced file does not appear in the Check Out dialog.
To ensure the check out of all references, place the referenced files in
the same folder as the parent file or place them in a vault folder and
update the parent file references using a fixed path to the referenced
files.
Search for External For all references that are not referred to in the parent file with a full
References (fixed) path, SOLIDWORKS PDM searches in the same folder as the
parent file resides.

Note Use the command Tools, Update References to repair missing or


broken references.

Important! The SOLIDWORKS settings (found in Tools, Options, External


References) should be verified to ensure proper references are used
when loading drawings and assemblies.
• When Search file location for external references is not
selected, the paths in File Locations, Referenced Documents are
not used.
• To ensure that eDrawings information is created in every document,
make sure the option in Document Properties, Image Quality,
Save tessellation with part document is selected in all
SOLlDWORKS parts and part document templates.

Case Study: In this case study, we will add project folders and their files to the
Checking in ACME vault and check in a CAD assembly file and its references.

Versioning Files

Versioning Files One of the primary benefits of SOLIDWORKS PDM is the ability to
modify files and retain a history of all file changes. If necessary, users
can retrieve older versions of files.
A file that is stored in a SOLIDWORKS PDM file vault has one or
more file versions. A version stores the changes that were made to the
file after modifications to the previous version. The original version of
a file in the file vault is 1.
To modify a file, you check it out for editing and make the changes
with an associated application. To later commit the changes to the file
vault for other users to see, you check it in. Each time a modified file is
checked in, a new version is created, but the filename remains the
same.
This file history can be viewed at any time by right-clicking a
document and selecting History. The History dialog provides an audit
of actions performed on the selected file.
This lesson will detail the operations that enable users to create and
retrieve file versions.
Check Out The Check out command creates a writable copy of the latest version
of a file in the local cache folder of the file vault. By checking out a
file, SOLIDWORKS PDM ensures that no two users can
simultaneously edit the file. If you want to edit a file, you must first
check the file out.

Where to Find It To check out a file in Windows Explorer:


• Select the file to check out.
• Right-click on the selection and select Check out, or click
Actions, Check out from the SOLIDWORKS PDM menu.

If you have sufficient rights to check out the file, the file is marked as
checked out in the file vault.

Optional Check Since SOLIDWORKS PDM is fully integrated into the Windows
Out Method Explorer interface, you can use the Check out command directly from
within any Windows application using its open dialog.
For example, when you are working with files such as Word documents
or Excel spreadsheets, click File, Open. The Open dialog box opens.

Overwriting Latest Each time a document is checked in a new version is created. During
Versions the check in, selecting the option for Overwrite Latest Version will
check the document in without creating a new version of that document
in the archives.
Overwriting latest versions can greatly reduce the storage requirement
of the Archive Server. It can also simplify the history of the documents
by removing unnecessary versions such as daily check ins or data card
only changes.

5 Make additional modifications.


Double-click DOC-XXXXXX.docx to open.
Make modifications to the file text, save, and exit Word.
6 Check in modifications.
The Version tab reflects that the document has been changed.

Versioning Files

Local File Version When you select a file in the Windows Explorer file view, the current
version of the file stored locally in the working folder (cache) appears
on the Version tab: I @Version 1/1 I
The first number represents the local version, and the second number
represents the latest version in the vault. A hyphen ('-') appears if the
local file version is modified. You can also find out which version is
stored locally by displaying the properties of the file.
To change the version you are currently viewing, use Get Latest
Version or Get Version.

Get Latest Version To retrieve the latest version of a file:

Where to Find It • Right-click on the selection and select Get Latest Version.
• Or, click Actions, Get Latest Version from the SOLIDWORKS
PDMmenu.
If you have sufficient rights to retrieve the file version, the files are
copied to the working folder on your local hard disk drive.
If you use the Get Latest Version command on a folder, the latest
version of all available files, including files in subfolders, are retrieved
locally.

Exercise 3: In this exercise we will create a new document, modify the document to
Versioning Files create new versions, get previous and latest versions of the document,
undo a check out and view document history.
Open Windows Explorer.

2 Login to SOLIDWORKS PDM.


Login using the provided login and password assigned to you by your
instructor.
3 Create a new specification document.
Browse Projects\P-00003\Specifications. Create a new
specification from a template and check it into the vault.
For SOLIDWORKS PDM Standard, copy the file SPEC-00002.xlsx
in the Lesson04\Exercises folder to the folder listed above.
4 Version the document.
Check out the new specification file. Make modifications, save and
close the document. Check the document into the vault.
5 Get version.
Get a previous version of the document. Examine the Version tab for
changes.
6 Get latest version.
Check out the document. Examine the Version tab for changes. Open
the document, make modifications, then save and close the document.
Do not check the document in. Examine the Version tab for changes.

File References

File References CAD files typically have references that tie parts to assemblies, parts or
assemblies to drawings, etc. It is sometimes desirable to create refer-
ences (links) between office documents, PDFs, images, etc. Users can
manually create references between files. It is useful to tie documents
together so that when working on the parent file, its references are dis-
played automatically.
Examples:
• Microsoft Excel spreadsheet with a Microsoft Word file.
• 3D component of a motor with the PDF specification file.
• Digital image of a building with the renovation drawing in
SOLIDWORKS.
Creating and Users can create user-defined references between files. When working

Procedure To create a user-defined reference:
1. Right-click the parent file and select Check out.
2. Select the files to reference.
3. Right-click the files and select Copy.
4. Right-click the parent file and select Paste as reference.
5. In the Create File References dialog box, set options and click
OK:
• Add Reference. Creates a reference to the file.
• Show in Bill of Materials. Includes the file in the parent file
BOM.
• Quantity. Sets a quantity for the referenced files. This
quantity is used in the Bill of Materials, Contains, and Where
Used tabs when you enable Show in Bill of Materials for the
reference.
6. Check in the parent file.
7. To verify the references, select the parent file and select the
Contains tab.
To modify or remove a reference:
1. Check out the parent file.
2. On the Contains tab, click Edit user-defined references f,I.
3. In the Edit User-Defined File References dialog box:
• To remove a reference, clear Referenced.
• To remove a reference from the BOM, clear Show in Bill of
Materials.
• To modify a quantity, enter a new quantity value.
4. Click OK.
5. Check in the parent file.

Copying Files with You can copy a parent file with all its references to create a second
References instance unrelated to the original. For example, you can copy a docu-
ment set as the basis for a new document set or an assembly file as the
basis for a new product. Copying a file with references lets you reuse
all the related parts and drawings without having to recreate the data.
To copy files with references:
I. Select the parent file and select Tools, Copy Tree.
2. In the dialog box, click Browse and navigate to the destination
folder.
3. Select an option for how to copy the files in the Copy Type:
• File. Copies all referenced files to the destination folder .
• Compressed Archive. Copies all referenced files into a
compressed archive stored in the destination folder. The
compression tool specified in the SOLIDWORKS PDM
settings is used. If no compression tool is specified, a
compressed Windows archive is created.

4. To change the names of the copied files, click one of the conunands
in the Transform Operations section:
• To add a prefix to file names, click Add prefix and type a
prefix.
• To add a suffix to file names, click Add suffix and type a
suffix.
• To replace strings in file or folder names, click Replace. In
the Replace dialog box, for Find what, type the string to
replace. For Replace with, type the replacement string. To
replace strings in file names, folder names, or both, select
File names, Folders, or both.
• To name files using serial numbers, click Rename with
Serial Number. In the Rename with Serial Number dialog
box, under Serial Number, select a serial number or click
<Do Not Rename>. You can select a different serial number
for each file type. If a serial number is associated with a file
type in the SOLIDWORKS add-in, that serial number is
selected by default.

Note If Name drawings after their models is selected, renaming drawings


based on a serial number is ignored if doing so conflicts with naming
the drawings to match their associated models.

Tip You can also right-click files in the file list and select Rename with
Serial Number. If all selected files have the same serial number
defined in the SOLIDWORKS add-in, that serial number is bold and is
first in the list.
For all transformations, if you selected one or more files before
clicking desired transform command, under Apply to, select one of
the following:
• All. Applies the transformation to all copied files.
• Selected only. Applies the transformation only to selected
files.
5. Set the remaining options:
• Preserve relative paths. Keeps the path of references
relative to the copied parent file, creating folder structure as
needed. With Preserve relative paths cleared, the folder
hierarchy is flattened; all referenced files are copied to the
same destination folder as the parent. In the list of referenced
files, see Target path to view the effect of this setting.
• Regenerate serial number in cards. If serial numbers are
used in data cards, assigns the next number in the sequence.
For Rename with Serial Number transformations, the same
serial numbers used to name the files are used in the data
cards.

• Include drawings. Includes any related drawing files


(.slddrw, .dwg, .idw, etc.) when copying the reference tree.
• Include simulation. Includes any related simulation results
files when copying the reference tree.
• Name drawings after their models. Sets drawing file
names to the same as their associated assembly or part file
names.
• Select which version of references to use:
• Use latest version of references .
• Use attached version of references. Uses the version
that is attached rather than the latest version.
• Check-in on Copy. After creating the new files, the program
automatically checks the files into the vault with the
comment provided.
6. In the file list, under Copy select the references you want to copy.
7. Click Copy.

Tip The file list can be filtered by information in any column. Additionally,
the list can be filtered by file type, whether or not the Copy is selected
and whether or not the file name has been transformed.
Columns can be added to or removed from the file list by right-clicking
on any column name and selecting which column is to be added or
removed. Columns can be created for any variable in the file vault by
selecting the More option.
The newly copied parts start with a new version history.

Case Study: This case study will illustrate how to create a new copy of a
Copy File and SOLIDWORKS assembly and its references.

Moving Files with Similar to copying a parent file with all its references, SOLID WORKS
References PDM Professional can also move a file with all of its references.
To move files with references:
1. Select the parent file and select Tools, Move Tree.
2. In the dialog box, click Browse and navigate to the destination
folder.
3. Change the names of the moved files, in the Transform
Operations: section, select the appropriate options.
• To add a prefix to file names, click Add prefix and type a
prefix.
• To add a suffix to file names, click Add suffix and type a
suffix.
• To replace strings in file or folder names, click Replace. In
the Replace dialog box, for Find what, type the string to
replace. For Replace with, type the replacement string. To
replace strings in file names, folder names, or both, select
File names, Folders, or both.

• To name files using serial numbers, click Rename with


Serial Number. In the Rename with Serial Number dialog
box, under Serial Number, select a serial number or click
<Do Not Rename>. You can select a different serial number
for each file type. If a serial number is associated with a file
type in the SOLIDWORKS add-in, that serial number is
selected by default.
4. Set the remaining options:
• Preserve relative paths. Keeps the path of references
relative to the moved parent file, creating folder structure as
needed. With Preserve relative paths cleared, the folder
hierarchy is flattened; all referenced files are moved to the
same destination folder as the parent. In the list of referenced
files, see Target path to view the effect of this setting.
• Regenerate serial number in cards. If serial numbers are
used in data cards, assigns the next number in the sequence.
For Rename with Serial Number transformations, the same
serial numbers used to name the files are used in the data
cards.
• Include drawings. Includes any related drawing files
(.slddrw, .dwg, .idw, etc.) when moving the reference tree.
• Include simulation. Includes any related SOLlDWORKS
simulation results files when moving the reference tree.
5. In the file list, under Move select the references you want to move.
6. Click Move.
Since the files are moved, they will retain their history.

Note Move Tree is not available in SOLIDWORKS PDM Standard.


However, files can still be moved manually as long as the Move File
and Move Folder permissions are given.

Case Study: This case study will demonstrate how to move files that have
Move File and references. We will take the files that were just copied and create a
References components folder where we will move all files except the top level
assembly and its drawing.
1 Create Folder.
Browse to the Projects\P-00004\CAD Files\New Support Frame
and create a new folder named Components.
2 Move Files.
Select the top level assembly in the New Support Frame folder and
select Tools, Move Tree.
Select Projects\P-00004\CAD Files\New Support Frame\
Components as the Destination folder.

Sharing Files SOLIDWORKS PDM Professional allows files to be shared between


directories. Shared files exist in two or more folders concurrently.
Shared files are marked with a yellow plus sign icon in the Explorer
VIew.

Check out a shared file from any location to check out all instances.
Check in the file to save modifications to the vault and to all instances
of the file. Only one user at a time can check out a shared file.
Procedure To share a file:
1. Right-click the file to be shared and select Copy.
2. Right-click the destination folder and select Paste shared.

Searching When you need to find documents or folders in the SOLIDWORKS


SOLIDWORKS PDM file vaults, you can use the SOLIDWORKS PDM Search
PDM function. With the search tool you can search by name and a number of
other search criteria.
There are two search methods:
1. Embedded Search:
Embedded searches let you search for files and folders from within
Windows Explorer and standard file-based dialog boxes such as
Open and Save As.
An embedded search opens directly in Windows Explorer.

Searching

You can look for files with different file names in the same search by
entering several search values in Name, separated by space or comma.
An example search is: fax. doc,frame*dep. pdf, *frame.dwg. These
search values find:
• All doc files ending with fax. doc
• All pdf files whose file names contain the strings frame and dep
• All dwg files ending with frame.dwg
To search for all files of a certain file type, enter the search value using
the wildcard, such as *.pdf. SOLIDWORKS PDM finds all pdffiles.
You can search for several file types in the same search by entering
several extensions, separated by space or comma.
You will find the most recently used search values in the Name field
pull down list. If you select one of these search values, you can use it in
the next search without having to re-enter it.
Select Include subfolders to also search in all the underlying
subfolders of the selected folder.
Select Search in all versions to search through all file versions for the
file data card values.
Start Searching After you have defined the search criteria you can execute the search.

Where to Find It • Click Search, Start Search from the menu.

• Or, click Start Search ,-, on the toolbar.

To clear the search criteria in preparation for a new search, click Clear

Searching for It is often important for users to locate files they have checked out to
Checked Out Files themselves. These files should be checked in regularly. To help find
those files, the search engine allows for the checked out criteria to be
searched on.
The Checked in/out tab allows a user to search for:
• Checked in files
• Checked out files
• Files checked out to a particular user
A useful search for users finds files checked out to themselves. Select
Display checked out files and select their user name from the list.

Results search results list is a preview pane. If you select a file in the search
result list, the file preview, file data card, and other information tabs
appear.
You can right-click a file to access most of the same SOLIDWORKS
PDM options as in Windows Explorer.
To open a file:

a data card, by workflow status, user name, etc.

users may have the administrative right to create favorite searches that
can be used by others.
A favorite search does not remember what results have appeared
before, but it remembers the criteria used to locate files or folders.
To create favorite searches using search tool:
1. Define the search criteria.
2. Click Add to Favorites 'tl .
3. Enter the name of the new favorite search.
The resultant favorite is added to the menu that appears when the user
right-clicks in the document vault.

Note SOLID WORKS PDM Standard does not allow the creation of search
favorites.

4 Create a favorite.
Start the embedded search tool, select the ACME Quick Search form.
In Drawing Number, enter CAD. In Description, enter grill.

SOLIDWORKS The SOLIDWORKS PDM workflow is designed to represent the


PDM Workflow location of a file or BOM within a pre-defined process. You can
associate files in the vault with a pre-defined process, configured by the
SOLIDWORKS PDM administrator, that moves the files through a
design process, approval process, etc. You need to change the state of a
file to move it through the process.

The selected files are listed in the dialog box (if a selected file contains
references to other files, these references are also shown). The title of
the dialog box displays which transition you have chosen.
The columns in the dialog box are as follows:

File Name Name of the file that is changing state


Warnings Shows if the file can change state or if there is a problem performing the
transition:
,ill, File is checked out - You can only change state on checked in files. Check
in the file before performing the transition.
iih File in wrong state - You have selected a file that is in another state, from
which the state transition cannot be made.
i~ File not found - The file is not stored in the vault.
& Latest version is not attached - The attached version of the referenced
file is not the latest stored on the server, and therefore no state transition can be
made on this file. A state change is always made on the latest version of a file.
& No rights to change state - The user does not have permission to change
the state of the file.
,ill. Parent can't change state - The user does not have permission to change
the state of the parent file.
& The file is not rebuilt - The file was not rebuilt when it or its parent file
was modified .
.&. Can't increment revision: [error] - A transition action is set to increment
the file revision, but there is a problem. The message after the warning sign
describes the error.
& Unknown file format - The file format has not defined in SOLIDWORKS
PDM.
Change Select the files to change state.
State

Version Shows which version of the file the state transition is made on. For referenced
files, the value shows which version is attached to the parent file.
Found in Folder where the file is found (Not displayed by default)
State Current state of the most recent version of the file (Not displayed by default)

Verify the files in the dialog box and check all files to change state.
Enter a state transition comment in Comment. The comment is added
to the history of the files.
Click OK to make the state transition on the selected files.

Additional options Right-clicking in the Do Transition dialog provides additional options:

• Columns. Selects the columns to display in the dialog.


• Select All. Selects all the files in the dialog.
• Select Files .... Selects files that
match a wildcard pattern.

Note Multiple files can be moved through the workflow at the same time. All
of the files must use transitions with the exact same name, regardless of

Notifications It is possible to design the workflow so that specified users or groups
receive a notification whenever files reach a certain state. For example,
a project manager may want to be notified when an engineer updates
project files.
It is also possible to subscribe to be notified when an action is
performed on specific files.

Check Out Files The Check Out command creates a writable copy of the latest version
of a file in the working folder of the file vault. By checking out a file,
SOLIDWORKS PDM ensures that no two users can simultaneously
edit the file.

Where to Find It To check out a file in SOLIDWORKS:


• Select the file in the graphics area, Task Pane, or FeatureManager
design tree.
• Right-click the selection and select Check out, or click
Check out [~ on the toolbar.

Note By default the client option Prompt to check out file if opened in

Managing Local When a file is retrieved from the SOLIDWORKS PDM file vault, a
Cache copy is placed in the working folder or local cache on the user's local
hard drive. The user should manage the cache accordingly and remove
files from the local cache area when they are no longer required.
Files can only be removed from within the Windows Explorer
interface. Two of the methods for removing files from local cache are:
1. Remove Local Copy. This is an option in the Check in dialog.
2. Clear Local Cache. This is a separate command.

Working With File When opening a file, the system always retrieves the local version. If
Versions there is no local version of the file, the system retrieves the latest
version from the file vault.
To retrieve an assembly as built, you must use the Get Version
command to retrieve the correct version of the assembly and its
references.

To retrieve the latest version of an assembly and the latest version of its
components, you must use the Get Latest Version command to
retrieve the assembly and its references.

Important! The Check Out command always retrieves the latest version of files
regardless of how it was built.
In-Context There are times when modifications made to a part or a sub-assembly
References impact a parent assembly or the files within the parent assembly. One
such example is the use of mirrored components.
SOLIDWORKS PDM alerts you to these changes when you work on
the parent assembly. A warning message appears listing the affected
files.
To update the assembly, you need to check out and update the affected
files, then update the assembly and version the modifications.

Bill of Materials A bill of materials (BOM) is a tabular listing ofthe components of a


(BOM) SOLID WORKS assembly, drawing, or weldment part.
Bill of Materials View on page 24 covered the types of SOLIDWORKS ~
PDMBOMs:

Modify Computed Computed BOMs list the components and sub-assemblies in a SOLID-
80M WORKS assembly or drawing. They are recalculated each time you
view them. If you check in a changed assembly or select a different ver-
sion or configuration, the computed 80M is updated when you view it.
Computed BOMs reflect exclusions you make in SOLIDWORKS files.
Components marked as Exclude from bill of materials and child com-
ponents excluded from sub-assemblies do not appear.
You can check out selected items that are listed in a computed BOM,
and modify data values for these items. The computed 80M is updated
when you check in the assembly document. If you edit properties or
quantities in a computed BOM, the BOM is updated when you save it.
However, you cannot:
• Add items to a computed BOM.
• Check in or check out computed BOMs.
• Route a computed BOM in a workflow.

Note Access rights assigned by your administrator determine whether you


can view a computed BOM.

Important! You can only edit a computed BOM ifit is set to Latest. A 80M using
the As Built setting will not allow manual editing.

Procedure To edit a computed BOM and save the changes:


1. Check out the assembly used to create the BOM.
2. On the Bill of Materials tab in the file view, select the computed
BOM Em and modify the property values.
3. Click Save BOM ~ T, and select Save.

To recompute a BOM for multiple configurations:


1. Click a document in the file view and select the Bill of Materials
tab to open a BOM.

Modify Computed SOLIDWORKS PDM stores references to file properties in the


80M Quantity database, including:
• Reference Count (computed quantities), which can be overwritten
in computed BOMs.
• Referenced properties, such as values of selected variables.
Users can edit referenced variables that are displayed in computed
BOMs after checking out the associated assemblies.

Note The administrator can change the name of the Reference Count
column in a BOM. See your administrator to find out which column
represents part quantities or other referenced variables.
Procedure To edit quantities of a computed BOM:
1. Check out the assembly used to create the computed BOM.
2. Click a cell of the Qty (quantity) column in a computed BOM and
change the quantity.
3. Save the BOM.
To reset the quantity in a computed BOM:
1. Check out the assembly used to create the computed BOM.
2. Modify quantities in the BOM.
3. Right-click a cell that has a modified quantity and select Use
Computed Quantity. (The quantity reverts to that ofthe most
recently saved activated BOM.)
4. Save the BOM.

Working with Bill of Materials

Create Named Users of SOLID WORKS PDM Professional can save computed BOMs
80M and SOLID WORKS BOMs as named BOMs. Create named BOMs to
take a snapshot of the BOM for an assembly or drawing. You can check
in and check out named BOMs, modify values, and add items to the
BOM.

For example, you can add items such as glue to a named BOM, even if
you do not include glue in the original SOLIDWORKS assembly.
A named BOM has the same column configuration as the BOM from
which it is derived. A named BOM is treated as a stand-alone docu-
ment. If you update the assembly or the assembly bill of materials
table, you need to update the named BOM to reflect the changes.
You can use named BOMs to save a specific configuration or layout for
an assembly or to save a BOM in a particular format.
You can use a named BOM in a workflow. For example, your
SOLIDWORKS PDM administrator can set up the workflow to route a
BOM through a lifecycle process as it is viewed and approved by dif-
ferent members of your product team.
Procedure To save a computed BOM or SOLIDWORKS BOM as a named BOM:

I. Select a computed BOM Em and or a SOLIDWORKS BOM ~.


2. Click Save 80M ~ .•., and select Save As.
3. Under File name:, accept the default location or select a new
folder.
4. Type a name for the BOM.
5. Click OK.

Procedure To edit a named BOM:
1. From the file view, select an assembly and the Bill of Materials tab.
2. Select a named BOM (lil or F) from the BOM list.
3. Click Check Out ~
4. Edit the BOM:
• To edit a cell, click in the cell.
• You can also add rows, hide rows and columns, add columns,
modify columns, add position numbers and update the BOM.

5. Click Save 80M ~ .•., and select Save.

Note SOLIDWORKS PDM Standard does not allow the creation of Named
Bills of Materials.

Compare 80M You can compare any of the BOMs listed on the Bill of Materials tab or
you can compare different versions of the same BOM.
After comparing two BOMs, you can open the BOM comparison data
as a .csv file.
When you compare two BOMs, the union of all entries from both
BOMs appears in the BOM comparison. Colors indicate differences
between BOMs.
• Green indicates an added column or row.
• Orange indicates different values in a cell. Square brackets show
the value in the BOM you selected for comparison.
• Red indicates a deleted column or row. Square brackets indicate
data in the BOM you selected for comparison.
Procedure To compare two BOMs:

1. Click Compare!? on the Bill of Materials tab.


The toolbar options on the Bill of Materials tab are rearranged.
• The left column shows the BOM, version, and configuration
that are the source of the comparison. This information is read
only.
• The center column lets you choose the BOM, version, and
configuration to compare.
• In the right column, the Compare BOM button changes to
I"it- Close comparis~~'l

To return from a BOM comparison to the original BOM:


1. Click Close comparison.
