Guideline for Preparation of Internship Report

An industrial training report should be prepared upon completion of training. The report is a
compiled writing that demonstrates student’s learning and development in technical knowledge,
engineering practices and professional skills through the practical experience. The industrial
training report should also reflect a student’s ability in communicating engineering context such
as design, processes, evaluation and decision making in a clear and concise manner through
technical reports. Students should seek advice from their employers to ensure that no confidential
materials are included in the report. The student should be able to present the report to
prospective employers, as a complement to their degree. Any references made in preparation of
the report should be recognized using standard referencing formats.

Student should refer to the Industrial Training Report Template as given in below on this
document and guideline in preparing the report. The Daily Training Logbook should be
submitted together with the report.

Student needs to properly document their experience and learning during the industrial training
in the form of report. Through this report, the experience gained can be delivered to their peers
and Advisor. A properly prepared report can present their practical experience in an orderly,
precise and interesting manner.

1) Contents and Format of the Report

The report has to be prepared according to the format determined by the Faculty based on the
guidelines below.

a) General Report Format

The report has to be typewritten on white A4 size paper, with 12-point font size, Times New
Roman font type and line spacing of 1.5 throughout the report. The report has to be properly
ring-bound with transparent plastic sheets attached to the front cover. A sample of report
template is available is shown below.

Important Note
The format for the front cover should follow the sample provided below. No changes are
allowed.

b) Abstract/Preface

This section of the report should consist of brief description of the following.

1. Activities of the Organization

2. Summary of the report

3. Acknowledgement

An abstract should be limited to a maximum of two (2) pages only.

c) Table of Content

This section of the report should consist of:

1. Headings

2. Sub-headings

3. Page numbers

Every appendix requires a title and each page need to be numbered accordingly.

d) Background/Profile of Company

 Brief and concise description of the company in which the student is undertaking the
industrial training. The main items are:

1. Backgrounds/profile of the company

2. Vision and Mission

3. Structural organization of main activity

4. Title and position of the supervisor in charge


5. Others deemed necessary (no more than three (3) pages)

e) Summary of Duties

This section should be a brief description of the time, duration and types of duty carried out
during the training. The description must follow the schedule of the training i.e. in chronological
order (for 16 weeks). The days when the student is not on duty must be properly recorded with
reasons given.

f) Working Experience

In this section, the student must describe the industrial training experience gained.

Some suggest areas to be discussed include but not limited to:

1. Projects carried out

2. Supervisory works (e.g. if you are supervising anyone in the company)

3. Problems encountered

4. Problems solving process or approach

g) Conclusion

Student should provide an overall discussion in this section and arrive at a conclusion with
regards to the industrial training undergone. Contents may include:

1. Types of major work performed

2. Comments on whether the training objectives are met

3. Recommendations

h) References

A complete list of the references used in the report must be included according to standard
referencing format.
i) Appendix

Appendixes are additional information considered appropriate to support the main text. A copy
of the letter of permission from the company must be attached in the appendix. Other suggested
appendixes are:

1. Investigation/project report during the industrial training

2. Technical drawing etc.

2) Additional things to be considered

1) Figures/Tables

All figures, tables and similar contents must be captioned and labeled. Every figure or table must
be mentioned in the main text.

2) List of Notations and Symbols

If the report contains notations and symbols, the full definition must be given when each notation
or symbol first appeared in the main text. The list of notations and symbols with the full
definitions can be places after ‘Tables of Contents’.

Every appendix must have a title and be mentioned in the main text where appropriate. All page
numbers for appendixes must be continual from the main text.

Note on Good Practice:

Student is strongly advised to commence writing the industrial training report as early as in the
beginning of the training period to ensure a timely completion of the report.

Chapter one

Introduction

1.1. Background/Profile of Company

In this chapter, the student should write brief and concise description of the company in which
the student is undertaking the industrial training.

 You should collect all the information that is relevant to your work while at the company.
No internet pictures or photos will be accepted. Ask for the information if not available.
 Take photos of yourself and coworkers and include them in the report. Pictures while
performing your work at the company with other coworkers is a must.

Information needed such as:

 Type of the company and what they manufacture.


 Location of the Company (City, Country)
 Number of employees and number of mechanical engineers at that company
 Company organizational chart with you in it showing your position in the scheme of
things in the company.
 Flow chart of the company organizational structure etc.

General things to be considered in preparation of this chapter
 This chapter should include an introduction to the company; your job description and
duties
 Experienced gained or lost during your training; your interaction with your
coworkers and team members; common experiences that helped get the tasks done;
and an introduction to following chapters and sections in your report.
 An Industrial Training Report must be divided into chapters. A title must be given to
each chapter which reflects its content.
 A new chapter must begin on a new page. A chapter must be further divided into
different sections with appropriate titles numbered accordingly.
 The body of the Industrial Training Report must be written in paragraphs. Each
paragraph describes an issue or a subject. There must be continuity or logical flow
between paragraphs.
 Long paragraphs should be avoided.
Chapter two

Detail of Working Experience

2.1. Summary of Duties

This section should be a brief description of the time, duration and types of duty carried out
during the training. The description must follow the schedule of the training i.e. in chronological
order (for 16 weeks). The days when the student is not on duty must be properly recorded with
reasons given.

 Use your notes and daily work summary to write this chapter.
 You can start by general introduction to the work you did and then go in detail, detailing
your daily work and functions and your setbacks and accomplishments.
 This part is the most important part of your report and a great care both in writing and
technical contents must be taken.
 Your daily summary contained in the logbook should support the information presented
in the chapter.

2.2. Working Experience

In this section, the student must describe the industrial training experience gained.

Some suggest areas to be discussed include but not limited to:

1. Projects carried out

2. Supervisory works (e.g. if you are supervising anyone in the company)

3. Problems encountered

4. Problems solving process or approach

2.3. Learning Outcome


It outlines the learning outcomes of industrial training and describes briefly the job description or
task setting during the training and the working experience in engineering design, site work,
project management etc.

2.4. Applications of Theory and Soft Skills

This section covers the applications of technical knowledge and soft skills for each assigned task.
This includes challenges and difficulties encountered by the student. Next, the student needs to
explain the solution(s) or action(s) taken to cope with the challenges and difficulties. It is
important to highlight the results and contributions to the company. The attainments of the
desired Program Outcomes must be demonstrated in the contents of the report.

General things to be considered in preparation of this chapter


 Introduction should include comparison between your school work and the work you were
exposed to or actually performed. List similarities and differences between practical real life
problems and theory learned in your engineering courses.
 Can you now understand why you have been taught this way? Do you need to memorize
formula and copy solutions from other person in real life work?
 What are the benefits of the critical thinking you learned as an engineering students and the
real life problem solving issues and techniques. Answers to the above questions and many
questions like them that you can ask yourself can help you write a good chapter on this topic.
Chapter three

Conclusion and Recommendation

3.1. Conclusion

This chapter summarizes the working experience identifying the student’s strength and
weaknesses during training, and describes how the industrial attachment has helped his/her
personal growth, development, and preparation or expectation for future professional work.

The student also needs to give a summary of the project(s) involved in, include a project
description and his/her role(s) in each particular project. These conclusion needs to relate back to
the learning outcomes of industrial training.

Student should provide an overall discussion in this section and arrive at a conclusion with
regards to the industrial training undergone. Contents may include:

1. Types of major work performed

2. Comments on whether the training objectives are met

3.2. Recommendations

General things to be considered in preparation of this chapter

 This chapter should include discussion of various issues and problems encountered.
 It can also include recommendations and suggestions for the improvements of the industrial
training program.
 It could end up with positive conclusion or really discouraging conclusion, depending on
your experiences and personal and professional gains.
 Your report size must be minimum 35 and maximum 45 pages.
References

A complete list of the references used in the report must be included according to standard
referencing format.
