Describe briefly the contents, uses and importance of each major systems
documentation given below:
1. Policy manuals
- A policy manual is a collection of documents that define an organization’s
rules, policies and procedures, and helps staff and management run the
business. Policy manuals may be offline, paper documents and/or virtual
documents, which are stored electronically. The existence of well-written,
standardized policies will save management time and help to ensure
employees across the business are treated fairly, which can improve
morale and reduce legal risks. In addition, business policy manuals align
with and support corporate strategies and values.
2. Procedure manuals
- A procedure manual, also known as a policy and procedure manual, is a
resource for employees that establishes guidelines and protocols for all
the major principles, actions and decisions of a department or
organization. It can outline the procedures and expectations for things like
dress codes, hiring practices and even payroll. By creating a procedure
manual with clear and descriptive policies and standards, you can improve
the effectiveness, efficiency and communication of your organization.
3. Forms manual
- The Manual Form Layout option allows you to layout your form with fields
placed precisely in the location that you want. This can be beneficial in a
situation where you want to provide users a web form that matches closely
with a printed form.
4. Training manuals
- A training manual is a set of instructions that improve the quality with
which a job, process, or task is performed. Companies use training
manuals with in-person, remote, on-demand, and just in time training. A
few common applications include: onboarding new employees, rolling out
new software and systems, sharing standard operating procedures,
customer training and education, product information and instructions.
Companies create employee training manuals to increase organizational
productivity and ensure everyone has the tools and information necessary
to excel at their jobs.
5. Organization manuals
- An organizational manual provides and supplements additional details to
the information supplied by organization chart. It provides information on
pertinent matters about each position. The members of organization will
find it to be a readily available reference defining the scope of authorities
and responsibilities of management positions and the channels to be used
in obtaining decisions or approvals of proposals. Every manager will see
clearly the responsibilities of his job and his relationship with other
persons in the organization.
6. Systems manual
- This manual is providing to the current and future operating staff the
information needed to understand and optimally operate each system. The
manual is in addition to the O&M Manuals submitted by the contractor.
The systems manual focuses on operating, rather than maintaining the
equipment, particularly interactions between equipment.
7. Software documentation
- Software documentation is written text or illustration that accompanies
computer software or is embedded in the source code. The documentation
either explains how the software operates or how to use it, and may mean
different things to people in different roles.
