As Communications Director at WCH, write a follow-up email to the Head of Ward Associates,

Dear Emily,

We have determined whether or not to accept your plans. The followings are our thoughts and

final decision

With the internal communication, we all agree with the first suggestion that weekly reports are

essential for the Board of Directors to keep in touch with the Heads of Department. By doing

this, the Directors can have an overview of how their company is working. The second notion is

a good idea, however your proposal is inadequate. A new manager could make a mistake in his

response to a customer’s complaint if he does not double check with others. After all those

ideas, we finally decided that the Lawrence Discount customer would be handled by both the

new and the former manager at the same time.

About the Sales reps/Administration


Unfortunately, we could not agree with your viewpoint because of this reason. The first thing

that comes to my mind is it will be too time-consuming for the employees to deal with it.

Although a daily report is convenient, workers do not have enough time to go through  or give a

check to them. Instead of it, we should use smart devices to make the Sales Department follow

or keep up to date with the information easier but it also less time consuming for employees.

The final one is Customer Services Department

We all agree with your point of view in this section. Health and Safety should be prioritized and

take notice of so we need to disseminate the information to others developments as fast as

possible. If anything happened out of control, the Board of Directors would have to come up

with the solutions to deal with it.

In addition, we also recommend some other plans as well. Firstly, the customer service hotline

need to be established due to the requirements of our customers. Secondly, the warranty policy

should also be required and paid attention to. The more customers we have the more changes

and services we have to provide.

Replying to your advice about our company’s problems
Dear Emily,

As the Communication Director of WCH, my name is Betty Friedman, and I'm writing this

email in order to inform you of our final decisions regarding your recommendations for

improving our organization.

The first point to consider is internal communication

We all agree with the first suggestion that weekly reports are essential for the Board of

Director to keep in touch with the Department Heads. By doing this, the Directors will have

an overview of how their company operates or come up with another strategy if it is

necessary.

The second notion is a good idea, however, your proposal is woefully inadequate. If a new

manager does not double-check with others before responding to a client’s complaint, he

might make a mistake and could not take the responsibility. After considering all of your

options, we determined that Lawrence Discount customers would be served by both the

new and former manager at the same time.

The following is Sale Reps / Head Office

Unfortunately, we were unable to concur with your point of view due to these reasons.The

first thing that comes to my mind is that dealing with it consumes a lot of time for the

personnel. Although a daily report is convenient, employees do not have enough attention

span to read it or give it a check.

Instead, we should leverage smart devices to make it easier for the Sales Department to

follow or stay up to date with the information while also saving time for workers.

The final one is Customer Services Department

In this part, our company all agree with your point of view that we must prioritize and pay

attention to health and safety. Moreover, we must quickly transmit information to other
developments in case if anything unexpected happens, The Board of Directors would have

to figure out how to deal with it.

In addition, there are a few other plans that we recommend so that you can take that in

consideration as well.

To begin, a customer care hotline must be developed in response to our customers’

request. Secondly, the warranty policy should also be required and paid attention to in order

to improve our service for clients. The more consumers we have, the more adjustments and

services we have to supply, as a simple guideline that everyone should know and take

notice of.
