Introduction

This handbook covers the requisite information for participants to make full use of their
time at the SEOMUN XXIV conference. We respectfully ask that all participants look
through the handbook prior to November 5th. Please feel free to contact
seomun@seomun.org for any questions.

This handbook is strictly for participants of SEOMUN XXIV.

and amendment presentation. Chairs will also update the folders with approved draft resolutions after
lobbying has concluded. Committee information can also be found on the website.

Zoom-Specific Rules
1. Display names should be set to delegated country names. See “Display Name” below for more
information.
2. Any background that is not your delegation’s flag is strictly prohibited
3. Delegates must wear formal wear on top during the entirety of the conference. Though the
conference is taking place online, we are doing our best to keep the conference as professional as
possible.
4. Microphones should be muted unless it is the participant’s turn to speak.
5. Chat function must be used for MUN discussion at all times and only when necessary
6. Delegates must turn off their camera when leaving for a bathroom break
7. The camera must be turned on at all times with the exception of bathroom breaks
8. Delegates should return to the main Zoom call at designated times.

Prior to the Conference

Downloading Zoom
SEOMUN XXIV will be running on Zoom. In order to make full use of the features that the application
provides, we request that you download Zoom prior to the conference. You can download “Zoom Client
for Meetings” at https://zoom.us/download.
After downloading Zoom, make an account using your email address. This should be the email address
that your MUN director provided to the SEOMUN Secretariat. If you are unsure about this, please
contact seomun@seomun.org.

Display Name
Go to https://zoom.us/profile and click on “edit” on the right side of your name. Fill in your delegation in
the “First Name” panel (eg. France) and leave the “Last Name” panel empty. Make sure to hit “Save
Changes”!

*If you have trouble doing this, during the committee the chairs will help update any names if necessary
at the beginning of roll call.

Virtual Background
Delegates may choose to set their virtual background to their country flag. To do so, first save an image of
your flag onto your computer. Then, open up the Settings menu. Click on “Virtual Background” on the
left-hand column. Click on the “+” icon. Choose the image of your flag that you saved earlier.

Microsoft/Speaker Check
Please follow the instructions below to check that your microphone and speaker are functioning
properly for the conference.

Click on the small
grey Settings icon,
located on the
right-hand side of
your window (right
under your profile
picture).

Click on “Audio” on
the left-hand column.

Then, click on “Test


Speaker” and “Test
Mic” to make sure
that you are ready to
go.

Lobbying
After roll call, the chairs will ask delegates to indicate which agenda they would like to focus on. Chairs
will then separate delegates into breakout rooms based on the agenda. If a bloc is too big within one
resolution, delegates may request the chair to split the room, and the chairs will make another
breakout room.

Prior to the conference, a Google Drive folder will be shared with all delegates on Zoom, where
delegates will be able to make, share, and collaborate on resolutions.

From your Zoom home window, click on the


“Chat” icon (top bar).

Delegates should be invited to a separate channel


consisting of their resolution bloc members by
their chairs.

This channel can be used to video call or chat.

Approval Procedure
Once the resolution draft is completed, the chosen main submitter should return to the committee’s Zoom
call. When the expert chair is notified, he/she will return back to the resolution bloc call with the main
submitter to get their resolutions formatted, revised, and approved by the expert chair for their agenda.

After the resolution is approved, the expert chair will rename the file and place the finalized draft into the
committee’s Google Drive folder.

Debate

Setting Up
Upon logging into the Committee Zoom call, click on the “Chat” and “Participants” buttons on the bottom
panel.

Amendment Procedure
To send an amendment, delegates should fill out the amendment submission Google form, which is
located in their committee’s Google Drive folder.

The chair will notify you through chat if the amendment is approved. The approved amendment will be
typed in an amendment presentation located in your respective committee Google Drive folder. Once the
amendment is approved, you may press the “Hands up” signal during an open floor and introduce your
amendment once recognized.

Bathroom Procedure
If you need to leave your seat (eg. go to the bathroom) at any point during committee debate, you simply
need to turn off your camera. Please do not unnecessarily leave the committee call.

Participation Checks
Regular participation checks and roll calls will be in place during the conference. Please be alert and
present at all times. Failing to do so may jeopardize your participation certificate and/or best delegate
award.

Tardiness
If you arrive late to the committee room at any point during the debate, you must send a private chat to
your chairs explaining why you were tardy.
