WELCOME TO ULLENS KINDERGARTEN

Dear Parents and Guardians,

Welcome to Ullens Kindergarten. This handbook was designed to answer your questions regarding
our early childhood program. We are a community in which each member has an opportunity to
grow. Our program is designed to be a team effort, in which the parents and caregivers, director,
teachers, and children all work together. If you have any questions about this handbook, please
don’t hesitate to contact the director.

INTRODUCTION

At Ullens Kindergarten, teachers focus on making connections between facts and fostering new
understanding as the children explore and play. Teachers tailor their teaching strategies to
student responses and encourage students to analyze, interpret, and predict information.

HISTORY

The conceptualization of Ullens Kindergarten dates back to 2010 as an outgrowth of the Ullens
School. Ullens School offers high quality education to children of ages 6 – 19 in partnership with
Bank Street College of Education in New York and the International Baccalaureate Organization.

Ullens Kindergarten draws inspiration from best practices worldwide, particularly from Bank
Street College, New York, and the Children’s Center at Caltech, California. Ullens Kindergarten
offers an emergent curriculum of both planned and spontaneous activities, encouraging
independence while presenting limits that arise from being part of a group. Teachers provide a
variety of choices for play designed to encourage physical skills, cognitive learning, problem
solving and independent thought.

MISSION

Ullens Kindergarten is a progressive early childhood education center, serving children from 1½ –
5½ years old. We are committed to providing a vibrant, safe and innovative environment for
exploration, discovery and construction of knowledge. Research generated from within our school
as well as from academia, is the foundation of our practice. In collaboration with teachers,
children, parents and the community, we are committed to the development of all children.

PHILOSOPHY AND GOALS

The philosophy of Ullens Kindergarten has its basis in


constructivism, a theory that emphasizes the child’s
active role in constructing knowledge through
exploration and play. By reflecting on our experiences,
we construct knowledge and understanding of the
world.

In a constructivist approach, teachers focus on making


connections between facts and fostering new understanding as the children explore and play.
Teachers tailor their teaching strategies to student responses and encourage students to analyze,
interpret, and predict information. Teachers also rely heavily on open-ended questions and
promote extensive dialogue among students.

We know that children learn best when:

1) Learning is child-centered: new learning is


connected to and built upon students’ prior

engaged with real-life experiences and hands-on
activities that help them construct their own
understanding.
3) Learning engages children in critical and creative

4) Learning is a creative and dynamic process: content reaches across multiple disciplines giving

Our goal is to ensure that all of the five


developmental needs of children (social, emotional,
cognitive, physical and creative) are met through
carefully designed explorations that are derived
from and built upon the needs and interests of the
children.

Our goal is to help children develop the dispositions


that enhance learning: curiosity, tenacity, collaboration, creativity and social consciousness.

Through planned activities, children are challenged to explore their world, solve problems,
develop physically, and expand language skills and concepts. Teachers nurture a sense of
competence and self-worth in every child.

DOCUMENTATION

It is our goal to make visible the life of our school through careful observation, reflection and
documentation of our experiences together. The practice of daily reflection enables teachers to
plan responsive curriculum that supports both group and individual development. Our
documentation (i.e., journals, field notes) captures the essence of our program and pedagogical
choices. Most importantly, documentation is a fundamental part of our dialogue with children,
parents and other teachers.

LEARNING ENVIRONMENTS

We have designed our school to reflect our belief that physical space has the capacity to promote
dialogue and interpersonal exchange.

FACULTY

Ullens Kindergarten is organized to facilitate close and effective collegiality among staff. Each
classroom has at least two teachers (and one classroom assistant) who work and plan as a team.
Their meetings regularly include the specialists and the director. Our strong commitment to
collaboration is fundamental to the workings of our community.

Each team member is available and competent to communicate clearly with parents about their
child’s experience.

Ullens Kindergarten is committed to providing continuous professional development for its


teachers and class assistants through in-house workshops, our own early childhood teacher
development program, as well as international opportunities.

PARENTS AS PARTNERS

As parents or guardians you are the first teachers of your child. Classroom teachers and the
environment are the second and the third ones. As a school, we recognize that parents and
guardians are equally important partners in a child's education.

Research shows that parent involvement positively affects student achievement, increases
motivation and improves self-esteem. With this in mind, Ullens Kindergarten strongly encourages
the involvement of parents in their children's learning experiences.

Ullens Kindergarten offers numerous and varying opportunities for meaningful involvement
including: participating in and supporting daily classroom activities; attending parent meetings
and seminars; serving on various committees (focusing on a range of important school needs);
working to improve the school's physical appearance; engaging in formal and informal discussions
about educational goals; and attending special events and celebrations.

All parents are required to participate on one or more parent committees (see Annex 2).

Documentation

Documentation panels, journals, and portfolios make visible the life of our school. Each of these
components represents careful observation of the children and their experiences by the teaching
staff. To understand more fully and participate in the life of our school, parents are encouraged to
read all documentations.

Planned Possibilities

Teachers plan daily experiences that are recorded on Planned Possibilities sheets posted outside
of each classroom.

Journals

Monthly journals for each class are sent by email to parents or posted on the website on a regular
basis.

Portfolios

A portfolio is given to each child at the beginning of his or her first year of preschool. Pages are
added with each consecutive year. Upon graduation, the book is given to the child to take home
as a keepsake of his/her experience at Ullens Kindergarten. Included in the portfolio are sign-in
sheets, significant artwork and photographs.

Conferences

Parent/Teacher conferences are held three times a year. Please check the (Annex 1) for dates. In
addition to these meetings, parents are welcome to schedule conferences with the teachers
and/or the director at any time. Daily, informal chats with teachers are highly encouraged,
though the children's presence demands that these be brief.

Parent Meetings

Parent meetings are held to keep you up-to-date with classroom developments. Your attendance
brings vitality to the understanding of and planning for the children's experiences. Parents are
encouraged to attend all parent meetings.

Parent Resource Center

The Parent Resource Center is located at the Reception. Books may be checked out at any time
and we encourage all parents to avail themselves of information relating to their children's
development and effective parenting.

Family Book

At the beginning of the year, new families entering the preschool are given a Family Book. This
book enables the teachers, children and other families to better acquaint themselves with the
newest members of our school community. It also creates a link for your child between his/her
experiences at home and at school.

When Issues Arise

It is our hope that your time at Ullens Kindergarten will


be a pleasant experience for your entire family. We have
found that through open communication most conflicts
can be resolved promptly and to everyone's satisfaction.
In each of our programs the following steps are
designed to help in the resolution of problems or
disputes:

 Any conflicts with the teaching staff should be addressed to the specific teacher involved.
Conflicts that cannot be resolved between the parties involved should be addressed to the
director.

Family Exchange and Identity Card

Before school begins new families meet with the teachers and director to discuss their child's
interests, disposition and unique style. As a result of this meeting, an individual identity card is
made containing photos and significant information that will allow our community to know each
child and family more fully.

Classroom Visits

Shortly before school begins, children new to the school are invited to stop by to see their
classroom. This 30 minute informal visit helps children adjust to their new environment. It is a
time to play, find their cubby, use the bathroom and explore the classroom.

THE CHALLENGE OF INDEPENDENCE

It is not unusual for some children who have seemed enthusiastic and comfortable the first few
days of school to then become apprehensive or resistant to coming to class. Suddenly their
enthusiasm and eagerness may turn into "I don't want to go to school." Please be assured that
this is normal and can be best handled if you are forewarned and understand what is happening.
The apprehension usually stems from the child's sudden realization that being at school without
you is a step toward “being big”.

It is important to understand that growth and development is a 'bumpy road'. Together we can
give your child the valuable gifts of our patience, understanding and acceptance as they learn
what it means to be independent. To help facilitate your child's sense of autonomy and
independence, we ask that parents refrain from carrying children while at school.

The First Day

Integrating Your Child into Ullens Kindergarten

Each child reacts differently to separation. The frequency, intensity, and duration of distress will
vary. A new environment or changes in routine and problems at home can affect separation
anxiety for parents and children.

To help your child successfully adjust to school, we ask that you arrange your schedule to allow a
little extra time to help him/her feel comfortable. Establishing a routine leading to your departure
is important, either by helping your child settle in with an activity or allowing time for one more

hug. It is important to always say goodbye to your child before leaving, so do not sneak off
because they seem settled.

There is not one prescription for transition that meets each child's temperament and staff will
work with parents to make the process as smooth and anxiety-free as possible. Should your child
resist coming to school after the first few days or weeks here, please let us know so that we may
work in partnership with you on the difficulty.

To do for the first day:

 Please label all of your child's belongings with his/her name.

Items you should plan to bring on your child's first day:

 All required paperwork; completed, signed


 A nap time toy (stuffed animal, blanket or doll) if needed
 Clean, extra clothes, including underwear, that are seasonally appropriate
 The Family Book
 Indoor slippers

SCHOOL OPERATING POLICIES

Kindergarten Hours:

The Kindergarten hours are 8:30 am – 3:00 pm. Please arrive between 8:30 am –9:00 am, and
depart between 2:30 pm – 3:00 pm.

Arrival and Dismissal

Ullens Kindergarten front door will be opened at


8:30 am. Please enter and exit the school through
the front door only. As a courtesy to our staff, and
for the safety of your children, please be sure that
you inform the front office about the person
dropping off and the person picking up your child.

The Morning Routine

Our day begins with a time for greeting one another. This is an opportunity for children to
reconnect with their friends and teachers, for teachers and parents to share information and for
children to say goodbye to their parents. Soon after greeting time, Nursery, Pre-K, and KG hold a
morning meeting. Meeting time is critical to the day's events. It is a time when the activities of the

day are negotiated and small groups are established. The tone and decisions made at the meeting
set the stage for the day to come. It is a protected time - a time when the community must be
shielded from disruptions and unnecessary distractions. For this reason we ask all families to
arrive at school before morning meeting.

Persons Authorized to Pick Up Child

Parents must provide us with the names and telephone numbers of persons authorized to pick-up
your child. It is the parent's responsibility to notify the school of any changes in this authorization.
If someone other than an authorized person is to pick up your child, please note the arrangement
by providing the name of the responsible adult on the form found with your child's sign-in sheet.
We will release children to authorized persons only. For your child's safety, no exceptions can be
made. Please inform us of your carpool arrangements.

Late Pick-up Fees

We hope that your child will arrive on time and stay for the duration of the day. Please refer to
the times listed for arrivals and dismissals. Please note the dismissal time of your child and make
sure that whoever is picking up your child is aware of our schedule. There is a late charge for
children who are picked up past their stated dismissal time. The charge is 500 NRS per quarter
hour or portion thereof.

Families with two children will need to pay late fees for both children if arriving at the
Kindergarten after 3:00 p.m.

At 3:00 p.m. individuals listed on your authorized pick up list will be contacted unless you have
called in with an estimated time of arrival. If you will be late, the courtesy of a phone call will be
appreciated both by your child and the staff; however late charges will still be assessed.

Absence

Please call or email the school if your child is or will be absent.

Parking

The school does not provide parking inside its facilities. Parents are required to park on the side of
the wider road and please follow instructions from our guards about parking. Cars are not
permitted to drive up to the front gate to drop off the children. Failure to follow these rules and
directions from our guards may result in the removal of your child from our program.

Food Allergies

If your child has a physician verified food allergy or dietary restrictions, please advise the director
and teachers. We require a doctor’s letter specifically describing your child’s allergy. We will do
our best to accommodate your child’s dietary restrictions. Please Note: While we attempt to meet
the dietary restrictions of each child, we are unable to accommodate individual food preferences
other than vegetarian options.

Personal Care Skills

Ullens Kindergarten children are encouraged to be


independent and responsible for their bodies at
school.

Children are expected to use the toilet, feed and


dress themselves.

Please be certain that your child has plenty of


opportunities to independently use the toilet and to
engage in other self-help skills at home in preparation for his/her time at school. Please help your
child to select clothing and foot wear that can be put on and removed with ease.

Clothing

Good play requires the freedom to experiment, to


use a multitude of materials and to get dirty. With
this in mind, the following dress code has been
established.

Appropriate attire includes:


 Comfortable clothing (pants, shirts, wash-
and-wear casual dresses)
 Rubber soled shoes with ankle straps

The following attire is not permissible:


 Fancy clothing and party type dresses
 Costumes
 Slip-on sandals without a back strap (No flip flops)
 Platform shoes

Please label all clothing and shoes.

CHANGE OF CLOTHES

All children are required to keep one or more changes of clothing (underwear, socks, pants/skirt,
and shirt) at school. Each garment should be clearly labeled with your child's name. If wet or dirty
clothes are sent home, please return a clean set of clothes the next day. Also, please provide
indoor shoes or slippers.

For those children who need to nap, Ullens Kindergarten will provide a sheet and blanket for the
napping cots. A comforting stuffed animal or doll may be brought to the school for nap time.

LOST AND FOUND

We have a lost and found box located at the reception. Whenever an item is found anywhere in
the school it goes into the lost and found box. Please check the box regularly. We empty this box
on a monthly basis and donate unclaimed items to charity.

DISCIPLINE

The word “discipline” comes from the word “disciple”, which implies following by conviction. It is
our hope that we will model appropriate behavior and effective problem solving for our children.
This is the first and perhaps most important aspect of discipline.

Good communication, clear expectations, adequate attention and appreciation of good behavior
are the most effective tools in helping children learn self-discipline.

If a child is not responsive to the strategies listed above, the teachers and/or director will arrange
to meet with the parents to discuss additional strategies.

Ullens Kindergarten is committed to the following policy:

 Spanking and all other forms of corporal punishment are not used.
 No child is ever subjected to harsh punishment, humiliation or verbal abuse.
 Food is never denied as a form of behavior control.
 Children are not punished, scolded or in any way reprimanded for not using the toilet or
for wetting or soiling clothes.

HEALTH

We will always inform you of any contagious disease or condition occurring in your child's group,
with a printed notice on the bulletin board at the Reception and email notice. As part of the
enrollment process, parents are required to provide health and emergency contact information,
providing the school with information concerning the child's physician, drug and medication
allergies. Parents must notify the school immediately of changes in emergency and identification
information, including a change of physician.

MEDICATION

Parents need to fill the Medication Form with a clearly stated instruction for administering any
medication for their children. If a child requires medication more than once in a 6 – 8 hour period
it is better to leave the child at home.

All medications must be left at the class where they are recorded in a Medication Log. Each time a
student takes prescribed medication, the personnel notes the time and date into the Medication
Log.

IMMUNIZATIONS

Students are required to have the standard immunizations as recommended by the Government
of Nepal, for admission to the Kindergarten. Please submit a record of immunizations to the
Kindergarten along with other health information.

NUTRITION

Breakfast, Lunch and Snack

The menus are posted at the Reception. Ullens


Kindergarten provides nutritious breakfast and afternoon
snacks as well as a nutritious vegetarian lunch.

ILLNESS

With each new social experience, children make new contacts and are exposed to new germs. In
this process, most children build immunity to the germs around them, catching fewer and fewer
colds and infections as their exposure increases and immunities build. Initially, however, some
children entering Kindergarten for the first time seem to catch everything that goes around for
several months.

Please be prepared to keep your child at home when sick.

The following guidelines will help you to know when to keep your child at home from school:

Keep your child home if s/he:


 is in the first three days of a cold
 has a sore throat
 has had a rectal temperature greater than 100 F or 38C, with or without other symptoms,
in the past 24 hours
 has been vomiting in the past 24 hours
 has had diarrhea in the past 24 hours
 has impetigo (streporstaph infection on the skin)
 has an untreated conjunctivitis ("pink eye")
 has any unidentified rash
 has other contagious disease or condition

Please notify your child's teacher if your child has not been feeling well, or is acting" out of sorts”,
or has been exposed to head lice, chickenpox, measles, meningitis or any other contagious
disease.

Additionally, a green nasal discharge may indicate an infection requiring treatment by a physician.
Please notify your child's teacher or the office if your child has contracted any of the above
mentioned conditions.

Your child may return to school after s/he is free of the above symptoms for 24 hours. If your child
has a fever, he or she may not return to the school until she or he is fever free without the aid of
fever reducing medication for at least 24 hours.

Head lice: In the event that head lice are discovered at the Kindergarten, we will:

 Call the parents of the child concerned and will advise that the child returns only after
being treated.
 Send a general message to the parents to advise them to check regularly for lice.
 Treat all areas in the classroom that might be contaminated.

ACCIDENTS AND EMERGENCIES

All significant accidents are reported in writing and in person. Scrapes and cuts will be treated
with soap and water or disinfected if needed. Bruises and bumps will be treated with ice.

If emergency treatment is necessary, parents will be notified immediately. It is imperative that


your emergency contact information be accurate and kept current.

Regardless of our ability to contact you in an emergency, we will act to obtain the care required
for your child. Please remember, it is the parent's responsibility to keep the school office
informed of any physician changes for your child.

Disaster Preparedness

Naturally we understand and share all parents’ desire to keep their children safe whether at
home, at Kindergarten or in the community. Because we are devoted to the welfare of the
children and our teaching staff, we consider and plan very seriously for unlikely, but potential
situations, including earthquakes, fires and accidents.

All staff members have received training in First Aid and earthquake preparedness. School
environments and procedures are reviewed with safety as a consideration. For example, children
are never allowed to be in areas where there is no teacher and we talk with the children about
why we make this rule to keep them safe. The school will provide, in collaboration with the
families, enough earthquake supplies for three days.

Policies applied at school in case of emergency can be consulted at the Reception or on our
website.

TUITION

The Accounts Office is located on the ground floor of the Administration wing of the building.
Business hours are from 9:00 – 4:00 p.m. Monday through Friday.

NOTES
1. Kindly submit the copy of bank deposit voucher to the account office immediately after you
deposit the fees in the bank.
2. * Please note that Admission Fee and Annual Charges are not refundable.
3. ** Note: Security Deposit is refunded only if a child has completed the running academic year
with us.
4.*** Please note that if a child withdraws from Ullens Kindergarten at any time before the end
of the month, monthly fees must be paid in full. Monthly fees are not refundable.

TUITION PAYMENT

Parents and guardians pay fees on a monthly basis. Ullens Kindergarten issues bills on the 25th
day of every month for the next billing cycle. For example, bills issued on 25 April will be payable
by the 5th of May.

If fees are not paid within the above-mentioned period, it will result in a five percent (5%) late fee
for each outstanding charge. However, Ullens Kindergarten offers a five percent (5%) deduction
when all annual and 12 monthly fees are paid in advance with admission fees.

WITHDRAWAL PROCESS

Parents are required to give adequate written notice, one month in advance of the withdrawal of
their child from school. Failure to do so results in forfeit of the deposit. Moreover, the deposit
will be returned only after the completion of the running school year.

BIRTHDAYS

Children enjoy celebrating their birthdays in the classroom with their friends. To insure that
children are not inundated with sugary snacks, and to protect children with allergies from
restricted foods, our policy is as follows:

 Please talk to the teachers ahead of time


 We will celebrate in the child’s classroom by preparing and sharing a cake together.
 We will sing a birthday song, and, in general, make your child feel special.
 Parents are welcome to join us for the birthday celebration towards the end of the day.
 No sweets or gift items should be brought to school on that day. Parents can do that when
you celebrate it outside school.
 If you plan to celebrate your child’s birthday outside school, please communicate directly
with the parents. The school will provide you the name list and the contact numbers if
needed.

We feel confident that this policy will result in healthier eating for everyone.

TOYS

Our preschool toys are carefully chosen for their developmental merit. Personal items including
toys should remain at home. Objects from nature or homemade objects can be brought to share
with the group.

PHONE POLICY

Cell phone use, including texting, is prohibited in the classrooms, hallway and on the yard. Please
respect the children's environment by turning off your phone before entering the school. Please
only use the school phone in case of emergencies as we have only two lines.

BANDH POLICY

The Kindergarten will remain closed on all Bandh days and in order to compensate for such
closures it will run 'catch-up' days on the following Sunday. However, the Kindergarten will run
not more than two days of 'catch-up' days in a month. In case of situations where longer bandhs
are inevitable the school may need to cancel or shorten one of the holidays (summer, winter etc).

Annex 2:
ULLENS KINDERGARTEN PARENT COMMITTEES

Each of the following committees will make important contributions to our Kindergarten life
and experience. Active participation on one or more is essential and, in fact, required of
every family. Previous experience or expertise is not necessary.

Dedication and a commitment to accomplish the goals of the committee are all that are
needed. Please be sure to read the committee descriptions thoroughly before making your
committee selections. Also, be sure to log your participation on the Parent Committee Log.

Diversity Committee:

This committee of parents from diverse background will act as a liaison with the Director and
the teachers to give input and to assess how culturally sensitive issues are handled in the
school.

They will also work with the Director and the teachers to organize Diversity Day (November
22nd).

Emergency and Earthquake Committee:

This committee will be responsible for annually restocking our earthquake supplies. They will
also assess the safety of the classrooms, making suggestions and changes as necessary.

They will help organize a Parent Night and offer training for the parents in First Aid and CPR,
explain to the parents the emergency policies of the school and the importance of their role.

Parent Resource Committee:

Members of this committee will offer each year support and resources to the community.
Whether you are a writer, a psychologist, a designer, a yoga instructor or have knowledge in
early childhood and parenting, you will be asked to conduct (free) workshops or give advice
to the community.

Yearbook Committee:

The yearbook staff will chronicle the year's events and create a book to preserve these
memories for the children and their families. The committee consisting of editors,
photographers, and designers will be in charge of assembling, laying out, printing, and
distributing the book. Photographers will commit to taking pictures throughout the year at
community events and other events.
