OVERVIEW, PREPARATION, AND SET UP

Lab Overview
The lab exercises are designed to complement your training, reinforcing the key concepts by applying and demonstrating what you learn in the presentation sessions.
This lab book is comprised of individual exercises. The individual exercises allow you to get first hands-on exposure working with the various Oracle Cloud HCM products
using a demo environment, where you will see how key features and functionality are deployed in the software.
You will be using a software environment assigned to you by Demo Services or otherwise provided through your manager.
What you see displayed in your environment may not match exactly with the lab screenshots. Screenshots are provided solely for illustrative purposes to help guide you
directionally through the user interface.

Exercise: As an HR administrator hire a new employee. Then log in as employee to confirm hire.

LAB Steps
STEP ACTION

1. Sign in as curtis.feitty with the password for your instance.

2. Curtis is a specialist so he can hire people. Let’s navigate to where he starts this process.

From the global search, type and select New Person.

Note: you could also navigate there starting with the tab My Client Groups then click the New Person tile.

We can quickly see that this process has been designed to take the user through a step-by-step guided flow.

5. First we need to enter some Basic Details. The hire date default is today’s date but you can change this to be in the past or future depending on the
actual date of hire.

Enter the following:

 Hire Date: Leave as default (today’s date)


 Legal Employer: US1 Legal Entity

6. For this exercise you will be creating yourselves as US Employees so you will be entering a U.S. Legal Employer. This impacts jurisdictional
compliance and will drive the fields you see displayed for entry in this flow (i.e. National Identifier, Phone & Address format, Marital Status, etc.).

For this exercise you will be creating a US Employee.

7. Personal details are necessary to ensure the hire is unique.


Enter the following information:
 Last Name: Enter your last name
 First Name: Enter your first name
 Gender dropdown: Select a gender from the options
 Date of Birth: Enter your date of birth (enter your birth month and day but pick a year to make yourself at least 21 years old)

8. National Identifier is used to track information specific to a country. For US this is a social security number. The number entered must follow the
rules and the system will ensure this is true. Ex: 123-45-6789 will givve you an error, as will 999-99-9999.

Click the “+” sign to add a National Identifier.

9. Select Social Security Number from the drop down list of Nation ID Type.

10. Enter a number that will pass the validation.

Note: DO NOT enter your actual Social Security Number.

National ID edit field = XXX-XX-XXXX (replace X’s with numbers).

Now we will enter Personal Information. The system is showing me information that needs to be captured specific to the person I am hiring.

13. First I need to capture where they live.

Enter the following:

 Address Line 1 edit field = 10 Main Street


 Zip Code edit field = 94065, tab out of field

14. Resulting screen:

When I tab out of the Zip Code field a pop-up is presented to me to select which details are correct: Redwood City or Redwood Shores. This is
because that zip code has two different cities available within. When I select the one I want the City, State and County are all populated
‘automagically’.

Select the row for Redwood City, then click the OK button.

15. We need to give the employee an email.

Click the “+” to add an email address.

16. Resulting screen:

From the Type drop down, select Work Email.

E-Mail field enter the following, where zzzz-zzzz is your environment launch pad name:
Candidate_zzzz-zzzz@oraclepdemos.com

Example: Candidate_eqkg-dev2@oraclepdemos.com

You will be sent email that you will need to move forward with other hands on scripts.

17. Legislative Information is driven by the legal employer selected. The fields available for capture and the values within them are all specific to the
legislation requiring the information.

Enter the following:

 Marital Status: Single


 Veteran Self-Identification Status: Not a Protected Veteran

19. Resulting screen:

Employment Information is the next step in the process. Here we will enter details about the job, department, location, full time or part time status,
hourly or salary status, payroll details and salary information as it relates to the new hire’s employment within the company.

20. Note: You will be using the Job, Department and Location you created. For many of the fields you can enter the first few letters or first word of the
value you want and if you pause the system will present you with values to pick from. Your option should be listed. If this does not give you the
result you are looking for, and it is not in the drop down list you will need to click search from the bottom of the drop down results.

21. Scroll down to Payroll Relationship Details.

Complete the following fields in Employment details. This will set the payroll relationship.

Payroll Relationship Details > Assignment:

 Business Unit: US1 Business Unit

Payroll Relationship Details > Job:

 Job: XXX Analyst (replace XXX with your initials)


 Grade: Prof04
 Department: XXX Human Resources (replace XXX with your initials)
Note: Location should default based on the Department entered (should be XXX Location, replacing XXX with your initials)

 Assignment Category: Full-time regular


Note: Full-time regular is what makes you eligible for benefits in our demo system

 Hourly Paid or Salaried: Salaried

22. Scroll down to Manager Details.

In our demo system the Manager Details is closed. Click on the explore widget to open it

Enter Blum, Mitch into the Name field and click on his name when it populates.

Leave Type defaulted to Line Manager.

Scroll down to Payroll Details.

The Tax reporting Unit links the applicable jurisdiction for Payroll and Tax compliance and drives the creation of the "Employee Withholding
Calculation Cards".

24. Complete the following:

 Tax Reporting Unit: US1 Legal Entity

Click the ‘+’ to add a payroll.

 Payroll: Monthly

And of course everyone that works should be rewarded for this so we need to ensure a salary is given.

Salary Information (section):

 Salary Basis: US1 Annual Salary ARR


 Salary Amount edit field = 75,000.00

27. Scroll down and click on the explore widget next to Role Requests.

You will notice that the Employee role is auto-provisioned based on the system configuration.

Review the information entered to ensure everything is correct.

31. Scroll to the bottom of the Review page and open the Approvers section, you can see that this transaction will bypass approvals and go directly into
the database. If approval was required you would see a tree hierarchy of approvers.

Click the Submit button at the top of the screen.

32. Click the Yes button (Warning).

Note: It will take a few minutes for your new hire to process.

33. Click the OK button (Confirmation).

34. Now let’s confirm your person was hired.

35. In the search box type your new hires name and click on it to open the public information page.

40. Next you will sign into the Web Mail Client to review the email sent to your new hire.

From the Environment Landing Page click on Auxiliary Links.

Username will be the email address you entered for your candidate.

Password is the password for your instance which you copied to your clipboard.

Then click the Sign In button.

43. Here’s the emails you should receive:

44. If you did not get the emails, use the password steps below and change your password manually as Curtis.

If you did receive the emails, skip this step and continue with step 48.

To change the password:

 From the global search type: console and select Security Console
 You will receive a Warning to run the security data process – click OK
 From the side tab, select users and search for your person.
 Select Reset Password
 Select Manually change the password (password suggestion: employee1)
 Click Reset Password

Once updated, sign out as Curtis and skip to Step 51.

45. Click on the link in your Welcome email to reset your password. (Note: Your link may vary).

47. Enter your instance password in password and confirm password spaces and click Submit.

48. This should bring you back to a log on screen.

Enter your employee name as first.last and the password you created.

50. You are now on your own personal Home Page. Let’s go add an emergency contact and a dependent for you.

Type “emergency” in the search box.

51. Now click on Family & Emergency Contacts.

53. We are now going to create an emergency contact. In this case your emergency contact is a sibling so they will not be eligible for benefits.

 Last Name: Enter value


 First Name: Enter value
 Relationship: select Brother or Sister
 What is your start Date of the Relationship: Enter your hire date (Today’s date)
 Click the box to confirm this person is emergency contact

 Type: Home Phone


 Country: United States
 Area Code: Enter a valid area code, replace XXX with numbers
 Number: XXX-XXXX (replace XXX with numbers)

59. You should now see your contact listed in the Family and Emergency Contacts section of My Details.

60. Click the drop down next to your name in the top right hand corner next to your new hires name then click Sign Out.

61. Click on Confirm.
