Library Management – A Survey

ABSTRACT

A library management system is used to maintain library records. It tracks the records of the number of
books in the library, how many books are issued, or how many books have been returned or renewed or late fine
charges, etc.

You can find books in an instant, issue/reissue books quickly, and manage all the data efficiently and orderly
using this system. The purpose of a library management system is to provide instant and accurate data regarding any
type of book, thereby saving a lot of time and effort.

The library management system is software to manage the manual functions of a library. The software helps
to manage the entire library operations from maintaining book records to issuing a book. In addition, it allows
streamlined management of fine details of books such as author name, edition, and many other important details.
So, it is easier to search for books and find the right materials for students and the librarian.

  Electronic management via the software is essential to track information like issue date, due date, who has
borrowed any material, etc. The system is developed and designed with an aim to facilitate efficient management to
the schools/colleges to manage a modern library with accurate data management. 

Thus, efficient library management software is essential to run smart school functions, and maintain

1. Introduction

The purpose of a library management system is to operate a library with efficiency and at reduced costs. The
system being entirely automated streamlines all the tasks involved in operations of the library. The activities of book
purchasing, cataloging, indexing, circulation recording and stock checking are done by the software. Such software
eliminates the need for repetitive manual work and minimizes the chances of errors.

The library management system software helps in reducing operational costs. Managing a library manually is
labor intensive and an immense amount of paperwork is involved. An automated system reduces the need for manpower
and stationery. This leads to lower operational costs.

The system saves time for both the user and the librarian. With just a click the user can search for the books
available in the library. The librarian can answer queries with ease regarding the availability of books. Adding, removing or
editing the database is a simple process. Adding new members or cancelling existing memberships can be done with ease.

Stock checking and verification of books in the library can be done within a few hours. The automated system
saves a considerable amount of time as opposed to the manual system.

The library management system software makes the library a smart one by organizing the books systematically
by author, title and subject. This enables users to search for books quickly and effortlessly.

Students need access to authentic information. An advanced organized library is an integral part of any
educational institution. In this digital age a web based library management system would be ideal for students who can
access the library’s database on their smartphones.

Libraries are a critical part of an educational institute. Usually, it has to roll out fine but complex tasks to
maintain records of the books. When the institute is focusing on delivering quality educational services, a well- managed
library is part of the service.Thus, the efficient library management software is essential to run smart school functions,
and maintain accurate data of a library. 

Library management systems facilitate the administrators to keep an eye on the library department’s all
functions. Also, it enables librarians and users to save time on daunting tasks and enhances efficiency. By using this sort of
library management system, the school management would be able to follow the work outline and fineness of different
librarians capabilities. Additionally, they get an opportunity to know how well-maintained the record of issued books and
collections is. The librarian and the administration department can access various reports to implement new
improvements
.

maintain records of the books. When the institute is focusing on delivering quality educational services, a well- managed
library is part of the service.

State of Art :

Most of the research and writings on library management have focused on academic libraries and only recently
has there been more interest in the administration of public libraries. The skill and style of public library managers – the
directors, branch managers, and department 
and service managers who are leading these institutions – strongly affects the culture of a public library.

Library staff look to these managers to help them navigate through the rapid changes that are occurring in public
libraries as these changes in technology, roles, and user expectations strongly alter their daily routines of public service.
Contemporary library managers need a wider array of skills and attributes than their earlier and more traditional

counterparts and will need to seek continual professional development to remain effective as public libraries transition
into the twenty-first century.
These managers will also need to distinguish between management and leadership skills and learn to identify
and mentor leaders within their staff who can assist in the transition. This paper is a brief scan of the literature currently
available on managing libraries and includes information on academic as well as public libraries due to the above-
mentioned lack of public library material. Weiner reviewed the literature extant on leadership in academic libraries and
surveyed materials on “recruitment, leadership potential identification, career development, roles and responsibilities,
and characteristics and management style”.

1.1 Existing System :

Existing system is a detailed study of the various operations performed by a system and their relationships within
and outside of the system. 

The analysis begins when a user or manager begins a study of the program using an existing system. In our
existin,g system all the transactions of books are done manually. So taking more time for a transaction like borrowing a
book or returning a book and also for searching for members and books.

Another major disadvantage is that preparing the list of books borrowed and the available books in the library
will take more time, currently, it is done as a one day process for verifying all records. So we can say, Fast report
generation is not possible. Tracing a book is difficult. Information about the issue/return of the books is not properly
maintained No central database can be created as information is not available in the database. So after conducting the
feasibility study we decided to make the manual library management system to be computerized.

1.2 Proposed System:

The proposed system is an automated Library Management System. Through our software user can add members, add
books, search members, search books, update information, edit information, borrow and return books in quick time. Our
proposed system has the following advantages. 
●  User-friendly interface 
●  Fast access to database 
●  Less error
●  More Storage Capacity
●  Search facility 
● Look and Feel Environment
● Quick transaction All the manual difficulties in managing the Library have been rectified by implementing
computerization
●  Help to improve the library services.
●  Help the Liberians with management information. 
●  Help the librarian in reporting on the various operations of the library.
●  Increase the rate at which Tasks are completed accurately.
● Help the students with notification on due dates to return the book in the form of SMS or EMAIL.

2. Illustrations

2.1. Algorithm Design For Library Management System :

● Create databases for the services defined


● Capture data into the relations (books, journals,articles, audiovisuals etc)
● Define patrons and their privileges
● Formulate the search engine
● Define and manage patrons/contents interactions
● Generate reports

The goal of this design is to propose a mathematical relational model based on the major activities of a typical library.
The structural view of the design is based on three tier level architecture as shown in figure.

On the top of the structure is the client-tier. The client-tier of the application is typically optimized for user
interaction. The interface is based on HTML, which enables the web browser to interact with the application at the client
side. HTML was used to define the format and style of the web pages and presenting information using the web browser.
The middle-tier is a complex level that contains most application logic that communicates data between other levels of
the system. The web server used was the Internet Information Server (IIS).
IIS is used to achieve a secure client server communication that is, pre-processing of requests and post-processing of
responses, permitting site-specific handling of HTTP requests and responses. Active Server Page (ASP) is a scripting
language used to communicate with the database. The data source-tier is the database management system (DBMS) –
the back engine of the system resident on the server – used to create, delete, modify and query the data contents of the
database.
The architecture of the system is based on the following software suites: - a browser, Hypertext Markup Language,
Hypertext Transfer Protocol (HTTP) and Transmission Control Protocol/Internet Protocol (TCP/IP). HTML delivers and

displays information using a web browser application, TCP/IP transfers data between applications over the Internet, and
HTTP interfaces the database to the web. The tools and specifications for the Online Library are described below.

3. System Analysis :

From the UML modeling mechanism we know that UML-based object-oriented systems analysis and design
usually have the steps of requirement analysis.The object-oriented requirements analysis is the exact model to obtain the
user’s requirements and establish the problem domain by extracting and sorting. But the design process is to change the
requirement, which is obtained in the analysis phase, into a low-cost, high-quality, abstract system implementation. It is a
step-by-step expansion model from object-oriented analysis to object-oriented design. In other words, object-oriented
design is the process of using the object-oriented view to model. The purpose of the system design has the following four
aspects .
● To deeply understand the non-functional requirements which are connected to the programming
language, building reuse, operating systems, distributed and concurrent technology, database
technology, user interface technology and transaction management technology.
● To create the appropriate input and starting point for the subsequent realization of activities by
capturing the subsystem interfaces and classes.
● To divide the practical work into different parts which are easy to be managed and try to develop the
system by different development groups in system design.
● To establish the seamless abstract of the system and take the achievement as a direct refinement of
the design.
The requirement analysis is generally used to define the system function and the user interface. It makes the
users understand the system function and the developers to know the system needs. The main job of the requirements
analysis is to find the system use cases and set up the system requirements model. Its main outcome is the use case
diagram and system participants. The library information management system is an electronic archives management
system that uses the computer to process a large amount of book information. This system must meet the needs of three
types of users, which are the readers, the librarian and the system administrator. The reader and the librarian may
include many individuals. The system administrator only includes one person.
The readers’ behavior is to query the personal information, to query the book information, to book, borrow and
return the books. The librarians are the main users of the system. They take the responsibility of daily management and
service operations, which include books ordering, new book verification, bibliography input, book registration, borrow
and return registration, reserve registration, etc. The system administrator manages all the issues related to the readers
and the books, which include the reader information management, the library management and the maintenance of the
system. Among them, the system maintenance is the key point, which includes the maintenance of the user right and log,
to add and delete users, background data management of the system, etc.

4. Conclusion:

After we have completed the project  we  are  sure  the problems  in  the existing  system  would overcome. The
“LIBRARY   MANAGEMENT   SYSTEM” process   made   computerized   to reduce  human  errors  and  to  increase  the 
efficiency.  The  main  focus  of  this  project  is  to  lessen human efforts. The maintenance of the records is made
efficient, as all the records are stored in the  ACCESS  database,  through  which  data  can  be  retrieved  easily. The 
navigation  control  is provided  in  all  the  forms  to  navigate  through  the  large amount  of  records. If  the  numbers  of
records  are  very  large  then  user  has  to  just  type  in  the  search  string  and  user  gets  the  results immediately. The
editing is also made simpler. The user has to just type in the required field and press the update button to update the
desired field.

  The  Books  and  Students  are  given  a  particular  unique  id  no.So  that  they  can  be accessed  correctly  and 
without  errors.  Our  main  aim  of  the  project  is  to  get  the correct information about a particular student and books
available in the library. 
  The  problems,  which  existed  in  the  earlier  system,  have  been  removed  to  a  large extent.  And  it  is 
expected  that  this  project  will  go  a  long  way  in satisfying users requirements. The  computerization  of Library
Management  will  not  only improve  efficiency  but will  also  reduce  human  stress thereby  indirectly improving human
resources.

5. Future Enhancement:

The project aims to establish computerized library management, including borrower records, loans, over dues
and fines, cataloging, stock taking. A later enhancement will be the inclusion of the ordering of books. The project is
specifically designed for the use of librarians and library users. It will work as a complete user interface for library
management processes and library usage from ordinary users. It can be used to manage (insertion, monitoring) books and
is useful for any institute.

• A later enhancement will be the inclusion of ordering of books.

• Online lectures and video tutorials can be added by teachers.

• Navigation to different categories of books can be added.

• A feature of a group chat where students can discuss various issues of engineering can be added to this project.

• Data encryption can be added.
