POLICY AND
PROCEDURE

05
STANDARD POLICIES

HEALTH AND SAFETY

A Health and Safety Policy sets out your general approach to health and
safety. It explains how you, as an employer, will manage health and safety
in your business. It should clearly say who does what, when and how. If you
have five or more employees, you must write your policy down.

ENVIRONMENTAL

An Environmental Policy is a written statement, usually signed by senior

management, which outlines a business’ aims and principles in relation to
managing the environmental effects and aspects of its operations. Although
putting one in place is voluntary, an increasing number of businesses are
choosing to do so.

FIRE

A Fire Safety Management Plan outlines your arrangements for implementing,

controlling, monitoring, and reviewing fire safety standards as well as
ensuring that the standards are maintained.

06
TRAINING

A Training and Development Policy needs to translate

the organisation’s needs and priorities into actionable,
value-added, affordable and effective learning solutions.
Depending on the size of the organisation and its structure
and function, the resulting policy can be either a short or
long document.

QUALITY

A Quality Policy is a brief statement that aligns with your

organization’s purpose and strategic direction, provides
a framework for quality objectives, and includes a
commitment to meet applicable requirements (ISO 9001,
customer, statutory or regulatory) as well as to continually
improve.

EQUALITY AND DIEVRSITY

An Equality and Diversity Policy is simply a written agreement

for your group about how you will avoid discriminating
against people, and how you will create a safe and inclusive
atmosphere for your members and service users. ... Your
equality and diversity policy does not have to be long and
fancy.

07
CORPORATE SOCIAL
RESPONSIBILITY POLICIES

MISSION STATEMENT AND VALUES

A Mission Statement & Values in a business, or even a department, plays a

similar role. A clear vision statement describes a direction and purpose that
the organization wants to achieve and fulfil. The next step is to write policies
and objectives that align with your vision statement.

08
CODE OF CONDUCT

Code of Conduct is a legal document that outlines

a set of correct behaviours individuals need to
follow towards others and the organisation as a
whole. The code of conduct is a set of standard
social norms, regulations, and responsibilities of
everyone in the company.

ETHICS AND CONDUCT

A code of ethics and professional conduct outlines

the ethical principles that govern decisions and
behaviour at a company or organization. They give
general outlines of how employees should behave,
as well as specific guidance for handling issues like
harassment, safety, and conflicts of interest.

MODERN SLAVERY

Modern Slavery Policy describes the main actions

your organisation has taken during the financial
year to deal with modern slavery risks in your supply
chains and your own business. ... Policies in relation
to slavery and human trafficking. Due diligence
processes. Risk assessment and management.

09
CHILD LABOUR

Child Labour Policy supports the legal employment of

young workers. Young workers of legal working age
have, until the age of 18, the right to be protected from
any type of employment or work which, by its nature or
the circumstances in which it is carried out, is likely to
jeopardise their health, safety or morals.

SAFEGUARDING

A Safeguarding or Child Protection Policy statement

makes it clear what your organisation or group will do
to keep children safe. It should set out: ... the more
detailed policies and procedures your organisation will
put in place to keep children safe and respond to child
protection concerns.

ANTI-BRIBERY AND CORRUPTION

Anti-corruption Policy comprise activities that oppose or

inhibit corruption. Just as corruption takes many forms,
anti-corruption efforts vary in scope and in strategy. A
general distinction between preventive and reactive
measures is sometimes drawn.

10
CUSTOMER AND
EMPLOYEE POLICIES

SUB-CONTRACTORS, SUPPLIERS
AND PROCUREMENT
Sub-contractors, Suppliers and Procurement Policy specifies the
choice of supplier is to be based on product quality, ability to meet
delivery schedules, price, availability of after-sales service or a
combination of those factors. The criteria will vary with the type of
purchase.

11
HUMAN RESOURCES

Human resource policies are continuing guidelines on the approach

of which an organization intends to adopt in managing its people.
... A good HR policy provides generalized guidance on the approach
adopted by the organization, and therefore its employees, concerning
various aspects of employment.

COMPLAINTS

Complaints Policy sets out the formal complaints procedure and is

intended to ensure that all complaints are handled fairly, consistently
and wherever possible resolved to the complainant’s satisfaction.

QUALITY ASSURANCE

Quality Assurance Policy set out the process of verifying or

determining whether products or services meet or exceed customer
expectations. Quality assurance is a process-driven approach with
specific steps to help define and attain goals. This process considers

the relationship between contractors while they are performing work, and

business relationships between the companies.

SAFETY SYSTEM OF WORK (SSoW)

representatives can use the tool to assess the risks posed by lifting, carrying
and team manual handling activities.

A COSHH assessment helps you to identify the hazards and risks from
hazardous substances in your workplace. Simply put, it’s a thorough risk
assessment that concentrates on your workplace’s exposure to hazardous
substances. You only need to carry out a COSHH assessment if hazardous
substances are likely to be present in your workplace.

19
DISPLAY SCREEN EQUIPMENT
WORKSTATION ASSESSMENT

The use of display screen equipment (DSE) means using devices or equipment
that has an alphanumeric or graphic display screen. These are extensively
used in the office environment. As part of any good safety management
system it is necessary for risk assessments to be conducted on the use of
display screen equipment. This will ensure compliance with legislation and to
reduce any risks which may arise from the use of DSE to the user.

FIRST AID NEEDS ASSESSMENT

In order to decide what provision you need to make you should undertake
a first-aid needs assessment. This assessment should consider the
circumstances of your workplace, workforce and the hazards and risks that
may be present. The findings will help you decide what first-aid arrangements
you need to put in place.

WORK AT HEIGHT ASSESSMENTS

AND PLAN
The law requires that employers and self-employed contractors assess the
risk from work at height and go on to organise and plan the work so it is
carried out safely. Try avoiding work at height, if you can. You must otherwise
prevent or arrest a fall and injury if work at height is necessary.

2006, the responsible person/duty holder must carry out a fire safety risk
assessment and implement and maintain a fire management plan.

Failure to carry this out could result in a fine, imprisonment, or both.

WORKPLACE, BUILDING OR OFFICE

FIRE RISK ASSESSMENT PLAN

Fire Risk Assessments (or FRAs) and Plans are a legal demand for
all ‘non-domestic’ premises, they are a snapshot of how protected
any given property is to ensure the safety of its occupants in
the event of a fire. The FRA also identifies corrective actions and
further steps to achieve an appropriate level of fire safety. We
produce and implement Fire Management Plans.

ASSESSMENT AND PLAN

taken to reduce them to a minimum. As with many different aspects of health
and safety, there are regulations to follow when it comes to fire safety. On
a construction site, the Regulatory Reform (Fire Safety) Order 2005 (FSO)
requires a responsible person to keep a current risk assessment whilst also
taking and maintaining steps towards keeping all persons safe within the

of work and good health and safety standards are being followed on their
sites.

EQUIPMENT INSPECTIONS

The Health and Safety Executive (HSE) identifies that health and safety
inspections of workplace equipment should be carried out when there is a
significant risk to the operator of the equipment or different criteria’s. The
