LEARN THE BUSINESS PROCESS – THE PRODUCT IS SECONDARY

- Be PROCESS oriented and not PRODUCT oriented

ERP – Collection of applications

Collects data from multiple facets of business to create a single system.

ERP can help resolve a lot of problems.

- ERP brings uniformity in data across all outlets/stores/business units of an organization

across the world.

Enterprise Functions: (also called applications)

1. Finance
2. HRMS
3. SCM
4. CRM
5. Services
6. Sales and Marketing
7. MFG
8. GRC – Governance, Risk and Compliance

Advantages:

- Better business processes

- Single data source
- Better planning
- Cost saving
- Real time data
- Integration between departments

Examples of ERP:

- Oracle EBS (EBS/Oracle Apps/Oracle R12)

o EBS launched in 1990 (not commercially)
o Leader in financials
o EBS is on-premise
- SAP
o Infosys uses it internally
o launched in 1972
o first mover advantage
o leader in manufacturing domain - MM
- Oracle Cloud Applications (Oracle Fusion Applications)
o It is cloud based
- Salesforce
o Leader in CRM
- MS Dynamics 365
- JD Edwards
- Siebel – Oracle
- Zoho – (mid-range)
- Oracle PeopleSoft
- Netsuite – Oracle – (mid-range)

Oracle and SAP – share market leadership in SCM

Oracle EBS (EBS/Oracle Apps/Oracle R12)

Oracle licenses each product line separately. No need to buy every product under EBS. Buy as per
business need.

Organization to organization – there can be differences in the process

Inside the organization – the business process – may differ/may not differ – we cannot say for sure

So, it is important to configure the ERP as it is critical for the organization.

Infosys is service provider – so it has the responsibility to discuss the suitability of the ERPs and then
recommend based on requirements of the client.

As Consultant, you can either help fill the gap by your knowledge or in case of absence of solution,
work with technical team to develop a technical solution.

We use technical team for customization of a new or previously absent solution

- These days different companies may be assigned to deploy different modules to avoid sole
dependency on one single service provider.
- To integrate data in this case, a custom integrator is built to help integrate the data.

Role of ACON?

Act as interface between clients and implementation team – understand the business requirements.

Version 11i – access ERP from a GUI via internet – before this – command prompt was used.

R12.1.X – X may be 1,2,3,4,5

R12.2.X – X may be 1,2,3,4,5

No R13 planned. After R12, Oracle recommends moving to Cloud.

On new ERP implementation – migrate legacy data to new ERP system.

- Use Help icon to know more (documentation) about the page where you currently are.
- Contextual help button
- Navigate to any page other than home or start page – home button and burger button will
appear – USE THAT!
- DO NOT USE THE BROWSER NAVIGATION ONCE YOU ARE IN ORACLE EBS page. – Doing so
is forbidden by Oracle.
- If you use browser navigation button – STALE DATA ERROR!
- Notification button – notifies of updates, requests or new activities related to our domain.
Different types of projects:

1. Implementation – employees get small pieces to work with

2. Upgrade – from old to new version – lesser number of employees may be working than
implementation
3. Support/Maintenance – client raises TICKET – analyze the problem and recreate and test it in
a test instance to find out the issue – find out the mistakes in the configuration part –
LUXURY OF LOOKING AT THE ENTIRE IMPLEMENTATION (not in small pieces) – able to see
end to end process – able to LEARN THE MOST

Types of instances:

1. Development instance – moves to – (below – test instance)

2. Test Instance – migrate and test using test data (move below)
3. UAT Instance (user acceptance test instance) (scenario-based use by clients) (may suggest
changes or point out bugs)
4. Production Instance (Go LIVE) – all client business activity happens here

2 Kinds of notifications:

1. Action based – system expects you to take some action

2. Information based – just for real time update - one can also get by without acting in any
capacity on it.

Notifications in EBS work based on – workflow alerts

For more information – in information-based notification – choose REQUEST INFORMATION to get

the information from workflow participant or others.

Optional buttons like Return to worklist can be seen on more and more pages to go back to previous
page – DO NOT USE BROWSER NAVIGATION BUTTONS!

To modify preferences:

Settings -- > Preferences (General Preferences) – This can also be used to modify header style and
change or update password and homepage style.

The enterprise functions are called pillars or buckets. Each pillar has different applications: A pillar is
a collection of different applications

1. Finance: First 4 are core processes

a. General Ledger – record financial transactions – generate financial reports.
b. Accounts Payable – Purchases invoices, suppliers, making or issuing payments,
Expenses
c. Accounts Receivable – Sales invoices, customers, receiving customer payments
d. Fixed Assets – Asset (plant, machinery etc.), Asset depreciation, Asset tracking
e. Cash Management – Cash flow, Bank accounts, Bank statements reconciliation
f. Sub-ledger Accounting – Accounting rules - (for rules and things like there should be
a debit and a credit side)
g. IExpense – for employee claims
h. EB-Tax – Configure tax (Geography specific)
i. Advance Collections – follow up with customers to receive payments, recovery
mechanism
2. HRMS (HCM)
a. Payroll
b. Employee Management
c. Absence Management
d. Leave Management
e. Appraisal Management
3. SCM: First 4 covered in training.
a. Inventory – stocks, items
b. Order Management – pack and deliver orders (order processing), customers
c. Procurement/Purchasing – quotations, purchase orders, purchase requisitions,
starting point of P2P process
d. Transport or Oracle Transportation Management (OTM)
e. Warehouse Management System
f. WIP -
g. Bill of Materials or BOM
h. GTM (Global trade management)
4. CRM

Case 1

John – payables clerk – can access only Accounts Payable –

Jane – receivables clerk – can access only Accounts Receivable

Jack – Manager – can access the both above

Rahul – payables supervisor – access Accounts Payable

Monika – receivables supervisor – access Accounts Receivable

Rahul will have higher level of access to the application than John.

- Access of the application can be restricted in degrees based on the user role.

How to achieve this restriction-based system?

Case 2

Reliance has 2 stores each in Hyderabad and Bengaluru.

Each city has city managers and specific store managers

On top is the India (Country) Manager

- So, access to store is given to store manager, city manager and country manager.
- Access can be restricted based on role as well as location

Oracle has created a concept called – RESPONSIBILITY

The expandable folders in EBS are called RESPONSIBILITY – forms and functions belonging to a
particular application.

Responsibility is a collection of functions.

Responsibility:

1. Payables Responsibility – give to John

2. Receivables Responsibility – give to Jane

Give access of both to Manager.

For different hierarchy levels, we create multiple responsibilities – we create Payables Clerk
Responsibility and Receivables Supervisor Responsibility and Manager Responsibility

Each kind of responsibility for different hierarchies can have less or a greater number of business
functions access.

Assign a business location to a responsibility to put location-based constraint.

- Can only assign one business place to one responsibility

One user can have how many responsibilities? – many

One application – many responsibilities

One responsibility – one business location

Functions have different icons than folders – these are business functions

Menus – grouping of functions (menu is a structure used to group functions)

- Grouping is our logic – it may be related or unrelated as per our specification

We can have a menu inside another menu – called sub menus. Any number of levels of sub-menu
are possible

1. Responsibility
a. Menu
i. Sub – Menu
1. Function
2. Sub – Menu
ii. Functions
