Meeting Minutes: Proper Scheduling Processes and Email Problems

Attendees: Sarah, Eleanor and Julie.

Acceptance or corrections to previous meeting minutes:

First, Eleanor uses web tracker but there is no conflict since she uses outlook for personal appointments.

Julie is in a particular situation. She uses both, contacts with two different facilities.

Julie uses Web Tracker to contact with other facilities. However, All facilitators are using Outlook.

Problem:

1. Use of both Web Tracker and Outlook brings a major confusion on receptionists, office and
staffs, that results to double booking.
2. There are cryptic emails, missing subject headers that are need for segregation.

Decision / Solution:

1. It is best to use Web tracker which is accessible Web-based than Outlook.


2. Manually segregate emails and create new policy guidelines.
