CHAPTER I
GENERAL INFORMATION

1.1. History
In 1950, "Faculty of Geography" Universitas Gadjah Mada (UGM) is one of the departments in
Faculty of Literature, Paedogogik, and Philosophy UGM, Department name at that time was the
Department of Earth Sciences. In 1956, this faculty was renamed became Faculty of Literature and
Culture UGM. At that time the Department of Earth Sciences is growing rapidly, and the role of
experts became evident in the Earth Sciences and its wider development of their work, until finally
Faculty of Literature and Culture Department allowed Earth Sciences UGM turned into Faculty of
Geography. A decree changes the Department of Earth Sciences became Faculty of Geography, dated
1 September 1963 (here in after the 1st of September is celebrated as the birth of the Faculty of
Geography). Once open, the faculty has two departments, the Department of Physical Geography and
Human Geography.

In line with scientific developments and the demands of society, in the 1980s Faculty of Geography
develop themselves to manage 3 courses with 7 Study Program (Prodi), namely:
a. Department of Physical Geography, has geomorphology and Land Resources Program and
Hydrology Program.
b. Department of Human Geography, has Population and Labor Program, and Settlement and
Resources Program.
c. Geography Department of Engineering, has Cartography and Remote Sensing Program
d. Transmigration and Development Plan Area Program which is jointly managed under the control
of the Dean.

In 1991 the Faculty of Geography made improvements names of majors and courses, by making
Transmigration and Development Planning Area Program into a separate department. Thus in the
1990s, there were four departments which are under the management of the Faculty of Geography.
The majors are:
a. Physical Geography Department have Physical Geography Program,
b. Department of Human Geography have Human Geography Program,
c. Department of Cartography and Remote Sensing have Cartography and Remote Sensing Program,
and
d. Department of Urban Development Areas Planning have Area Development Program.

Drastic changes occurred in 1995, namely by melting all the program became the geography with four
interest. Four interest is a representation of the majors in the previous period, they are Physical
Geography, Human Geography, Cartography and Remote Sensing, and Regional Development
Planning.

In line with the era of reform and decentralization as well as respond to the practical interests to meet
the actual needs of the market and the development of science, then in 2001/2002, UGM Senate
meeting decided that the Faculty of Geography reopen the study programs that have been merged,
they are: Physical Geography and Environment Program, Human Geography Program, Cartography

CHAPTER I General Information 1

and Remote Sensing Program, and Regional Development Program, in addition to Geography
Program is still there.

Since the release of the Minister of National Education Decree No. 1/2006 which authorizes UGM to
open and close the study program, the faculty fix themselves by making efficiency refers to the
development of science and the demands of society. Starting in 2007 the Faculty of Geography have 3
program at undergraduate level (S1), they are 1) Geography and Environmental Science Program, 2)
Cartography and Remote Sensing Program, and 3) Regional Development Program. It should be
noted that the Geography and Environmental Science Program is a merger from Physical and
Environmental Geography and Human Geography Program. With this restructuring is expected
Faculty of Geography in the future challenging to grow synergistically with reference to the vision of
science and labor market needs in an efficient and competitive organization that is adequate.

Associated with the implementation of qualification courses that refer to certain standards, then the
National Accreditation Board has so far provide an assessment of the three study programs that are
under the management of the Faculty of Geography with an A (superior).

In a way, the Faculty of Geography has been led by a competent elected figure, so delivering this
institution today. Dean of the faculty from the beginning until now:

ACADEMIC ADMINISTRATION

2.1. Registration and Re-registration Students

Basically students every semester implement two kinds of registration, namely:
a. Administration Registration is the process of self-registration activities with certain requirements
that must be implemented by the students with the aim of getting listed status as a student
UGM.
b. Academic Registration is the process of activities to report to the faculty after the administrative
registration carried out, which must be done by the students in order to follow the activities of
the relevant academic semester.
Registration is done by the so-called registration of new students, is being carried out by the old
students called re-registration. Regristration and Re-regristration for students organized by the
Directorate of Academic UGM (http: \\ akademik.ugm.ac.id).
Since the even semester 2014/2015 Gadjah Mada University has implemented LOCK systems and
Un-LOCK system for re-registration of students (SPP and STF), students who do not perform re-
registration according to the schedule prescribed, automatically statued as INACTIVE student at the
semester (LOCK System). Students who have been in LOCK / inactive, are not allowed to follow
the academic activities and use the facilities.

2.2. Academic Furlough and Re-registration After Furlough

2.2.1. Public Understanding
a. Academic Furlough is not listed as a state of UGM students in one semester or more with the
permission of the authorities.
b. Academic Furlough is obliged to obtain written permission from the dean or rector.
c. Cumulative long for academic furlough equal to the maximum permissible duration of the study
programmed in each faculty.
d. Students who have finished their study no longer allowed to apply for academic furlough.
e. During the first two years since registered as a new student, a student is not allowed to academic
furlough. Students who for some reason and may be approved by the chancellor can be given permission to leave
the academic, but their study might contribute to the active study period, and used as the basis for calculating the
evaluation.
f. Students who fail to re-register or be on academic furlough semester is concerned, the status of
the student becomes void and not allowed to follow the academic activities and use the facilities.

CHAPTER II Academic Administration 9

2.2.2. Academic Furlough up to Two Years
a. Students who will be on academic furlough up to two years, whether consecutive or not, must
submit a written request to the dean. Similarly, if will be active again after academic furlough,
the student must submit a written request permit reactivate to the dean.
b. Academic furlough permission from the dean does not count as an active period in relation to
the deadline of the study, and during the academic leave students do not have to pay tuition
(STF).
c. Students who are not active college (defaulters) up to the maximum (two years) will be active
again and if permitted by the dean, subject to the following provisions:
1) The study period still counted as active period in relation to the deadline of the study;
2) Must pay tuition (STF) during inactivity college.

2.2.3. Academic Furlough More Than Two Years

a. Students who will be an academic leave of more than two years, whether consecutive or not,
must submit a written request leave from the academic to the rector with a copy to the dean.
Similarly, if will be active again after academic furlough, the student must submit a written
request to the rector active again with a copy to the dean.
b. The permission of the rector academic furlough are not counted as active period in relation to
the limits of the study period, and during the academic furlough students do not have to pay
tuition (STF).
c. Students who are not active college (defaulters) over two years if it will be active again and
permitted by the rector, subject to the following provisions:
1) The study period still counted as active period in relation to the limits of the study;
2) Determined the size of tuition (STF) to be paid is set equal to the tuition (STF) new
students.

2.2.4. Re-registration requirement after Furlough

Students included the following categories shall submit a written request active college back before
the semester activities concerned carried out according to the schedule specified.
a. Students whose be on academic furlough less than or equal to two years (four semesters), and
would re-registration and conduct academic activities, shall meet the following requirements:
1) Bring the student card;
2) Bring the active college permit again from the dean;
3) Bring a furlough permit (for the license);
4) Pay tuition (STF).
b. Students whose be on academic furlough of more than two years (four semesters), if they want
to re-registration and academic activities, shall meet the following requirements:
1) Bring the student card;
2) Bring the active college permit from the rector;
3) Bring a furlough permit (for the license);
4) Pay tuition (STF).

10 Academic Guide 2015

c. Students to Study Extension status, if the re-registration will be required to meet the following
requirements:
1) Bring the student card;
2) Bring the active college permit from the dean / rector;
3) Bring a extension study permit from the dean;
4) Pay tuition (STF), the amount corresponding to the category of the latest generation.

2.3. Charging Study Plan Card (SPC)

When entering the new semester, each student must establish a program of learning for the semester.
This semester study program must be registered in order that the student be allowed to follow the
teaching and learning activities, including face to face lectures, lab work, consultation thesis,
community service and so on. All programs and learning activities of students are set in a card called
the Study Plan Card (SPC).
Study Plan Card (SPC) is a data format that contains information about the number, subject code,
subject name, Credit point weight, room and time of implementation of face to face lectures defined
there in as the burden of learning the semester for students whose identities listed on that sheet.

Expenses learn semesters prepared on the basis of five things:

a. A complete learning program provided a level that all courses are offered in the first semester;
b. Semester packagesare the subjects that must be pointed uptake in accordance with the terms of
the class schedule;
c. Card Study Results (CSR) semester in which the listed numbers and the performance index of
the burden of learning that can be taken;
d. Students concerned is declared inactive by the evidence already doing re-registration and
registration of new students have;
e. There are lecture schedule is relatively unchanged.

Card study plan consists of three pieces with different colors to show the relevance of certain parties,
namely:
a. White sheets for the students concerned, serves as proof to attend academic activities and other
purposes related to the student;
b. Light green sheets for academic lecturers, serves as a control of the lecturer to student guidance;
c. Blue sheets for Academic and Student Affairs Section, serves as the authentic data to the format
of supervision, primarily associated with the activity. SPC thus serves as an instrument of
supervision and control of the learning process in higher education.

CHAPTER II Academic Administration 11

Relation to the AIS (Academic Information System) computerize, after the students have completed
the process above, the student must fill in the data (SPC) to computerize system that has been
provided. All transactions academic undertaken by students recognized when it has been recorded in
the AIS.

2.3.1. Grade relationship with Burden Study Semester

Achievement Index (GPA) is a number with two digits after the decimal point that indicates the
degree of success of quantitative and qualitative study of students. Achievement Index as an indicator
of achievement is also used to determine the number of study credits that can be taken by students in
one semester. The amount of the semester learning load depends on the magnitude of the semester
grade point numbers are presented in Table 2.1.
Table 2.1. The relationship between GPA semester course which can be taken in the
following semester

GPA semesters Expenses learning that can be Learning Quality

taken
<1.49 12 credits Very less
1.50 to 1.99 15 credits Less
2.00 to 2.49 18 credits Enough
2.50 to 2.99 21 credits Good
3.00 to 4.00 24 credits Very good

For new students throughout the courses in semester 1 and 2 the number of credits is determined by
the package, namely Geography and Environmental Science Study Program 23 credits and 23 credits.
For the next semester study load is determined based on the number (GPA) obtained in the previous
semester. The GPA conversion and the burden of learning can be seen in Table 2.1.

2.3.2. Charging Procedure Study Plan Card (SPC)

a. Students take blank SPC in Section Academic and Student Affairs.
b. Students consult and seek approval from the supervisor of academic for the course to be taken
and the amount of load studies based GPA previous semester. For new students SPC is in
accordance with the package of courses.
c. Entering SPC to Academic Information System (AIS) in accordance charging procedure in
Section Academic and Student Affairs.
d. Submit SPC approved academic leturers (blue colour) to the Section of Academic and Student
Affairs.

12 Academic Guide 2015

e. Storing fine white SPC (print outs) as evidence of accepted / approved by the Section of
Academic and Student Affairs declared in accordance with existing regulations.
f. Submit SPC which have a light green colours to academic lecturers.

2.3.3. The things that are Special / Specific

a. For those students who got low Achievement Index (GPA) because the value entered in KHS
is not yet complete, is allowed to attend classes while making changes to future changes in SPC
predetermined.
b. For those who for some reason have not received KHS for the calculation of the CPI, the CPI
is calculated by assuming the value of B on the value of the subjects that have not come out.
c. For students who already take the credits exceed the load should be, resulting not the fault of
the student, then the burden of credits taken not need to be reduced.
d. SPC delays were not caused by the fault of students are not penalized academically, but on the
contrary, if due to the negligence of students, will be penalized academically.
e. For students who have difficulty meeting the academic supervisor because of his work are
expected to immediately report to the Chairman / secretary Majors / Programs / Vice Dean of
Academic and Student Affairs for resolution.

2.3.4. Problems in Charging SPC

a. If the supervisor is not in the faculty's academic duty, then the guidance and approval of SPC
can be made by the Chairman or the Secretary Prodi Prodi.
b. If the Chairman and the Secretary Prodi Prodi was not in place for the task, then the guidance
and approval of SPC can be done by the Vice Dean of Academic and Student Affairs or other
designated official.
c. In some cases, students experience an overload learning (credits) of the amount allowed for the
following reasons:
1) The period of study is almost finished;
2) In the following semesters / future course is not offered;
3) Due to the weighting factors of credits that can not be broken,
For such cases, the student shall immediately report to the Vice Dean of Academic and Student
Affairs to get a settlement.

2.4. Implementation Lecture and Field Work Lecture

Lecture is academic activities face to face between lecturers and students in the context of
the transformation of science, discussions and so forth are held in both indoors and outdoors.
Lectures conducted by college schedule compiled and disseminated by Academic Section and
Student Affairs. Class can be carried out if the class participants a minimum of 10 students for the
compulsory subjects, and 15 students for optional subjects.

CHAPTER II Academic Administration 13

In the implementation of the study used the following principles:
a. Lectures at the Faculty of Geography use the semester system.
b. The semester system is a system of education programs by using the smallest time unit with the
so-called semester.
c. Semester is a unit of time effective learning activities for 16 (sixteen) weeks (Regulation of the
Minister of Education and Culture No. 49, 2014).
d. Students are only allowed to follow the course in accordance with the list of subjects that are
already listed in SPC.
e. Students fill present evidence that will be used to determine whether someone was allowed to
take the final exam or not
f. If for any reason a student can not attend lectures, it is concerned are obliged to say to lecturers
and academic and student section in writing,
g. In the first week of the course lecturers are required to explain the rules of the lectures in the
form of learning contract agreed by the student and explain the activity Learning Program and
Semester (RPKPS).
h. Lecturers must fill out an attendance list.
i. Lecturer is required to include the lecture material every week in accordance with RPKPS signed
by one of the students participating in the study.
j. If for any reason, a lecturer who was unable to fill a lecture, it is concerned are required to
replace lectures at other times upon agreement with the student.
k. All lectures are documented by the Section of Academic and Student Affairs.

2.4.1. Subject Traffic or Traffic Studies Program Faculty at UGM Environment

Basically every UGM students allowed to take courses outside the program of study or faculty
outside each. The procedures to be followed are:
a. Asking permission to the Vice Dean of Academic and Student Affairs, the process of issuing
permits to do in Section Academic and Student Affairs
b. Submit Permit Following the lecture in point (a). to the Vice Dean of Academic and Student
Affairs faculty designated by the Section Head of Academic and Student Affairs,
c. Complying with regulations prescribed by the faculty for students taking the course / class.
