Guidelines for Online Examinations
 
 
1)     Online examination would be conducted through MOODLE and proctoring will be done
via the Zoom platform.
2)     Students must log in through their Moodle account 15 minutes before the scheduled
commencement of the examination. At the same time student should log into the Zoom (the
zoom link shared with you by Examination Cell by email). Student should carry the
Institute I-Card or any Government I-Card in case the proctor asks for proving identity.
3)     The question paper will be shared with students in an MS Word file on Moodle. Students
will have to download the question paper on their desktop/laptop.
4)     Students must create a new MS Word file and rename the Word file with Enrollment No
– subject name (e.g., JL20PG001-IRLL) and write the answers in this Word file. Any other
supporting file such as Excel file also needs to be renamed similarly.
5)     Mentioning any identity credentials such as name, enrollment number etc. anywhere in
the answer sheet is not permissible. Violation of this norm will be treated as Unfair Means
(UFM) and the student will be awarded zero marks in the end-term component of the course.

6)     Compulsory Login on Zoom Link for Live Proctoring: Proctors shall be accounting
final attendance based on students’ presence on Zoom, after 5 minutes of the commencement
of each examination. Students logging into Zoom after 5 minutes of the commencement of
the examination, shall not be allowed and he/she will be marked as absent from the End Term
Examination.
Not logging on Zoom link for live proctoring, would amount to cancellation of the Exam and
the answer sheet shall be ineligible for evaluation even if uploaded on Moodle within the
stipulated period. Any issues faced by the student, related to zoom login, MUST be brought
to the notice of the Proctor and IT Team IMMEDIATELY. Proctors contact details are
available on the zoom link mail sent to you.

7)     Your proctor will be the sole in-charge of your exam process and in case of any assistance
(related to question paper), during examinations, you need to contact him only. You are not
supposed to call the subject teacher of the institute.
8) You would require substantial internet data usage in this scheme of the exam process and
hence advised to arrange a minimum of 5GB of internet data exclusive for an examination
purpose. Also, ensure that your laptop is fully charged before you commence the
examination. 
9) Keeping Camera “ON” during Exams: Students MUST keep their camera continuously
“ON” during the Exam. Your video presence on zoom will be recorded and will be used in
case of any unfair means case disposal.
If the video is found to be switched off for one minute, the first warning will be issued by the
Proctor. A subsequent Second, Third, and Final warning shall be issued for this non-
compliance. If the video is found to be off for more than three minutes without any
reasonable explanation, the student’s paper will be canceled and the student shall have to take
the re-appear examination with due process and fees.
 
10) Wash Room Breaks: Students are allowed to take Washroom breaks only with the prior
permission of the Proctor through private Chat on Zoom. The Proctor shall permit only one
student at a time in a Zoom room for washroom break. Unreasonable delay or being away
from the Room without permission would make the student liable to be reported under “Use
of Unfair Means Case (UFM)”. Students must maintain decorum during live proctoring and
not unmute/chat unless prompted by the Proctor.
 
11)  Read the Zoom Chat Regularly: The students are required to read the comments posted
on Zoom Chat box by the Proctor regularly and follow the instructions given by the Proctor
from time to time. Any communication with Proctor should be by Private Chat and only in
case of connectivity loss through mobile phone.
 
12)  Any Medical Challenges faced by the students for appearing in the Exams should be
intimated to the concerned Program Chair with supporting documents, prior to
commencement of exams, and seek written relief in advance.
 
13)  Students completing their exam may submit the answer sheets and seek permission
from the Proctor to Log off.
 
Instructions for Submission of Answer script:
14)  Students have to upload the answer sheet only, not the question paper. It is advised to re-
check the name of the file and verify the file before upload.
15)  There are certain exams in which the question paper will be in Excel. In such a case, you
will be required to download that Excel file, rename it as mentioned above and upload the
same with answers.
16)  The duration of the examination will be 2 hours; however, additional 15 minutes will be
given to you for submission of your answer sheet on Moodle to compensate for any
contingencies. The complete 2 hours 15 minutes duration will be mentioned in your exam
schedule.

Permissible Similarity/Plagiarism % & Penalty Clause:


17) Your submitted answers sheets would be subjected to plagiarism check through Turnitin
software /the Course Faculty.
18)  Plagiarism will be checked within peer submissions as well as on the internet, i.e., the
software will match your answer sheet with answer sheets of other students as well as internet
content.
19)  Insertion of any image in the answer sheet is not permissible. Violation of this norm will
be treated as Unfair Means (UFM) and the student will be awarded zero marks in the end-
term component of the course.
20)  The methods to bypass plagiarism is not permissible and it will lead to automatic UFM
and the student will be awarded zero marks in the end-term component of the course. For
example,
a       Use of double quotes                          (“  ”)
b       Use extra spacing                                (This    is     an    example)
c       Insertion of extra characters               (This@is$an#example)
d       Intentionally spelling mistakes           (Thes is an exampel)
e       Insertion of white text, etc.                 (“This. Is. an. Example.”)
f        Answering text as images.      (“ )
 
21)  Plagiarism will be penalized by deduction of marks as per the table given below:

*For example if you scored 35 marks out of 40 in a subject and the similarity percentage is
50. Then the similarity percentage above 30 i.e. 20% marks will be deducted from your final
score. So your score will be=35-20% of 35= 28 marks in that course.
 
 
 22) In case, you are not be able to login to Moodle or Zoom due to some technical issue, can
contact immediately to IT Team (Mr. Naseem Ansari @ 9415196103, or Mr. Amitabh
Ghosh @ 9235462480). Inform your proctor also.
Once logged in your proctor will be the sole resource for any issue resolution.
