INTRODUCTION

Nowadays there are several sectors in a company: communication, marketing,


IT, sales, etc. each sector has a specific letter.

However how do you write a business letter, in other words what are the
arrangements for writing a business letter?

Our job will be to find the different types of business letter, to show the different
parts that make up this letter.

I. THE DIFFERENTS TYPES AND FONCTIONS OF


BUSINESS LETTERS
Any outwardly directed written communication between two business partners
may be considered a business letter. It can be:

- Purchase orders
- Offers
- Order confirmations
- Quotation or rates
- Acknowledgements of receipt
- Invoices
- Supporting documents
- Advertising letter to an addressee named in the address field
For all these communications, a certain consistency in form is recommended so
that the customer can directly identify your company. In addition, legal notices
should be included in the content, usually in the headers and footers.

In case of first contact with a partner, a company-specific template that can be


used by all employees is practical. This way, your employees don’t have to
make tedious adjustments to be in line with the company’s graphic charter and
they only have to make a few changes to make the letter their own (own name,
direct telephone line for your contact to reach you, etc.). For people who have to
communicate regularly with the outside world, such as sales representatives, not
only is a considerable amount of time saved, but a few mistakes can also be
avoided.

Of course, such rigor is not necessary for internal communications (between


offices, departments, etc.). for large groups, certain schemes are generally
imposed but SMEs can enjoy more flexibility in most cases. There is, however,
a rather rigid format for communications between branches.

Business letters generally contain a business transaction. They can therefore be


Business-to-Business, B2B or Business-to-Consumer, B2C. Business letter must
be clearly distinguished from private letters, which are used to exchange
personal information between private individuals.

1. Purchase orders
The order form is a document that defines and validates the terms of service
between the sale buyers, in order to avoid any subsequent disputes. Just like the
invoice, it must include certain mandatory information.

2. Offers
L’offre de service peut s’effectuer par voie postale ou par voie e-mail. Il faut
eviter que vos courriers electroniques soient classes en courriers indesirables
(spams) …

3. Order confirmations
As it name indicates, the leter of order confirmation is used to validate the
confirmation an order placed.

4. Quotation or rates
An estimate is a written document in which a supplier offers to sell a good at a
certain price which he undertakes not to modify until the buyer has expressed
his intention to renounce the acquisition. More generally, the estimate is used in
the case of an offer of work at a fixed price. The word estimate applies equally
to the proposal for a contact for services.

5. Acknowledgements of receipt
Notice or acknowledgment of receipt (AR) is a message or signal sent in a
standardized, and sometimes automatic, manner to inform a sender that what he
has sent has been received.

6. Invoices
The invoice certifies the purchase or sale of a good or service. It is an essential
document for accounting purposes. Here is a sample invoice to customize.

7. Supporting documents
It means that the document drawn up can be used as proof to a third party.
