Describe with an example what do you mean by a BPM. Describe the use case of a
BPM for an organization like Brac University.

BPM: BPM is known as Business Process management. It is used for various process for
analyzing, discover, modeling, measure and improving, redesign in business process.
In organization all the process or action need to be documented, so that it makes help for
redesign in the process od their business module. In organization they must have some
action point which need to achieved & documented. It helps them visually and also
graphically. Example: MR X is in a finance department. He has financial authority to give a
sign which will sanction 50,000/-. If this amount cross Immediate boss have to sign it for
passing the sanction. This is the Business Process management (BPM).

Describe the use case of a BPM for an organization like Brac University.

Business process management uses is vital part for Brac university. Because Brac university has a lot
of students which contains a lot of data. They need to serve quality service and data need to secure.
As we know brac university is a well known university they always try to cope up with time.In this
technological time Brac university have to shifted for traditional to automation and make change in
their business module. It has a lot of benefits in below we are going to describe how they can use
BPM in their organization.

1. Admission process: In traditional way Brac admit student by physically. Student need to
come and give all their documentation to university but now they change their module. They
shifted to online and cloud system for capturing all the documents from students and
student’s exam, interview and also confirmation was told by the email option. This saves
time, Hessel in pandemic situation and also flatting the size of organization.
2. Financial process: Student previous need to go bank for payment and collect the financial
dept receipt by physical. But now they print it from usis and give it by various bank and
online payment also.
3. Class Scheduling: Brac posted all the information in BUX so that student can get the class
video and practice more from home. Previous it can’t happen.
4. Advising panel: Student now don’t need to go for teacher room they don’t go to portal and
have their advising in a fixed time slot. They can see it in the home class schedule option
5. Communication: Students and teacher can communicate by both in classroom or BUX.
They can connect 24/7 and exams are also taken by it.
6. Forecast about student by USIS and BUX: Brac can also see how much student admit in
versity, how much student are getting convocation. How much time they need to complete?
Quality of teachers by views BUX videos. How much money brac get from admission.
Student profiles analysis after convocation, measuring job market quality of brac.

All the process are used to shifted from traditional to automation. Brac uses USIS for collecting and
giving information to the student and collect all the data needed. If missing any data concern dept
can take action according to that. Like; X student did not give certificate, university block his id.
This work done my admission office. It creates efficiency and put work load off from physical and
converted it into online.

This USIS shows the interface where student can get all info and input their things like Admission
fee, class schedule, advising, collection form, profile update. If Some problem occurs like system
problem student mail the concern dept IT or subject dept, this dept can give information to the IT
dept for fix the issue.

This BPM can use continuously for capturing data of student, strive impose, review it and improve
the central database and interface and review for another time for more efficiency. Brac university
are using BPM for more efficiency bring in work force. BPM need to visualize so that organization
see the process and measure of improvement and fair understanding how BPM is worked. This is
how they can use BPM if they have problem in the module they can identify the process after that
they can analyze it then if found error then redesign it or make update version of USIS, run the
software and after that continues measurement.

Describe why and when an Organization choose Prototyping System Development
methodology instead of traditional system development methodology. Describe the
advantage and disadvantage of Prototyping Methodology in a software development
project.

Phototyping is helps us to design and develop a small function or software of a big one. It is
functional and delivered to business to testing it will be running then big one will be developed,
tested and handed over later. Phototyping basically is build experimental system which is rapidly
inexpensively for end users to evaluate. Example: Beximco want to make a software where they can
input all information about sell which can be uses for their inventory, finance dept and also all-over
total system. They did not go over this big project 1st. they go for phototyping to see all the system
are worked properly according their systems and business process. if yes then they go for a big
project. Below explain why organization choose Prototyping System Development methodology
instead of traditional system development methodology.

 Cost efficiency & time consuming: It is cost efficiency and need short time for test it.
 Easily quittable & need short time to analyze and tested: If organization see that they
don’t fit in this software this can be stop and further they analyze and go for making it and
also testing.

Describe the advantage and disadvantage of Prototyping Methodology in a software

development project.

Advantage
 Phototype advantage is for software developing is this is very user friendly and developers
are more involve into it.
 User can easily understand about the software and features.
 Error can be detected 1st stage of the work.
 Customer can understand the purpose of the software made for.
 Easily changeable and editable code.
 Light uses and fast working or response.

Disadvantage
 May have problem by taking heavy load and can’t be easily editable code for the software.
 If have some problem in phototype which approved it might be caused problem when the
main software run.
 Error can be detected in 1st stage after the load of the information of data it can find out and
it is costly.

Describe reasons why an organization should take adequate measures to prevent from
cyber-attack by cyber criminals. Describe the consequences if Brac University does not
put adequate cybersecurity measures in place.
Cyber security is the scull or process mixed with of knowledge, technologies, process and
procedure blend together for creating awareness to people for protecting their data,
computer, networks from attacked and safe from any kind of damage.
Organization needs to take adequate measure for prevent from cyber-attack by cyber
criminal for not leaking any confidential information of an organization which can harm
their brand value. In below we are going to describes the reason,
 Confidentiality of data: Organization have can many data or information which is
archive into them. It can be financial data, business contracts, supply chain
information, budgeting etc. If it leaked to the market then it can be a mess or create a
chaos in the market. Ex: COCA-COLA annual turnover is 10,000 tk. They give tax
1,000 Tk but according the law they need to give more. They hide data and give less
tax. Someone hacked it and leaked it Government take action for them and after that
they might not do business in Bangladesh after this incident.
So, data need to allowed access who need to see or give access to the concern
determent. That will make data safe and protected from attacked. Ex: CFO only get
the access to see in financial transaction.
 Integrity Data: It refers that data is real. It shows that data is protected or not. Ex: If
any employee sees the financial part in a company and get access to financial
database it can be a massive problem occurs. If someone break it immediate lock file
occurs and give signal to safe house. It will help to identify the criminal.
 Availability of data for authorized users: it refers that only authorized person can
get access and work on it. Ex: Organization can tell employee they need to come
office for work or uses. They can use official LAN for official work otherwise they
can’t access into it.
Describe the consequences if Brac University does not put adequate cybersecurity
measures in place.
Brac University have thousand of students who are currently enroll and having education
thorough it. It has more than thousand information of student into the Database system. If
someone get access or break into system and manipulated the information of students’ data
then total process can break down and the quality will fall immediately. Whole system will
crush and the belief and value that earned by serving into that much time of Brac university
that will doomed in a day.
For Example: Mr. X has somehow access into the system and suddenly he manages to get
1st semester to last semester or change his grading system or leak the financial information or
enroll anyone without giving money. It will create a traffic in system and whole system need
to refine and maybe Brac university need me spend more to make a new one and it will take
lots of money.

Describe the role of an Enterprise System in an organization. Describe benefits of

having a SCM automated system in an organization.

Enterprise System are also called by people “Enterprise Resources Planning (ERP) systems.
It talks about organization’s resource, assets and convert it how to best apply for the
planning for organization.
 The role of ERP is to make efficiency in organization in fruitful way. It can help us
by sharing data across in the organization.
 If any organization have in hand or have historical data in system that’s helps that
organization to make plan for next year.
 ERP play a vital role to helping organization for sharing in various data, in
organization one dept entering data, another dept can see that data. They don’t need
to input the same data if needed they just update it. Ex: CRM dept inputs the chat
history of a customer in live chat option of query of an product. Marketing dept just
put the link and update the name and start to chat for new promotion for convert it
for further sale.

How ERP works or play role in a organization:

For Using the ERP system organization must have chosen their module and take action
according to that. They chose this function according to their preference.
If we see this picture ERP helps org for sharing data.
1. Sales & marketing or (Order to cash): Sales teams take order from market for
example: Square pharmaceutical take order market. Supply chain management see

and generates report if they need any resource from market for delivery and they
ready the products for delivery next day.
2. Manufacturing & production (Production): after seeing the report of sales team
Square pharmaceutical collected raw materials if they need any. Make product
schedule and purchase if any shortage happens. According to that they sent reports to
finance team.
 3. HR (Procedure to pay): HR team accepting all requirement or requisition from all
dept and sanction it to financial dept. also the see who and how the product level is
or efficiency counted according the data input in ERP.
4. Finance & Account team (AIS): According all reports finance team see how much
sell happens, how much money needed, if they are at profit or not.

ERP helps to give total picture of organization and making more efficiency and
effective for making profit in market. It minimizes cost of production, make best plan
for production and quickly response to customer.

Describe benefits of having a SCM automated system in an organization.

SCM indicates that Supply chain management. This is the most vital for distribution or
manufacturing company and also others. SCM automated system plays a good role in an
organization.
 In efficiency cut in organization: 20-25% waste can be cut by operating expenses,
it directed convert into profit for a organization. It is a great impact for a
organization.
 Just – in- time Strategy: Organization don’t need a big warehouse for production.
Org can have product assemble by market. Ex: TOYOTA invented it. They just
collect parts and assembly in line and they send it to market. They don’t hold
product in their warehouse. SQM helps Toyota to gain the global market.
 Safety Stock: Buffer for lack of flexibility in supply chain. Ex: For covid reason
USA price is increasing for not having stock. Driver needed for use truck or lorry.
Bangladesh stock vegetable items for survive the difficult time.
 Bullwhip effect: SCM automation helps to get notify if the rewarder point touches
for point of stock. Ex: Square pharmaceutical need 2 ton per month and safety stock
is 2 ton. They need to get another stock for 3 months. They will rewarder it by 3
weeks before, automated SCM tell you to reorder after selecting the point.
