The purpose of this procedure is to define the methods for receiving dysfunctional vehicular batteries returned from Internal Customers and project store for replacement, 2. SCOPE 2.1. This procedure covers goods returned ofall batteries in dysfunctional condition from all internal customers held in project stores, 3. RESPONSIBILITIES 3.1. Procurement Department - Negotiating contracts agreement with vendors 32. WH Coordination - Communication between WH and Procurement 3.3. WH In-charge - Overall Supervision 34. WH Store keepers, and Supervisors - Preparation and Documentation 35. _ WH Floor Team — Packing and unpacking 316. Project Transportation Department - Transporting the returnable batteries. 37. Local Quaiity Control - Inspecting of batteries subject for return 4. DEFINITION OF TERMS / ABBREVIATION 4.1. AYC: Al Yamama Company 4.2. WH: Warehouse Department 4.3. CWH: Central Warehouses 5. SAFETY INSTRUCTIONS 5.1. General Requirements 5.1.1. The driver must wear proper PPE such as helmet, safety shoes, and safety glass during loading and unloading of materials. 5.1.2. The driver must stay away from moving equipment lke forkifts 5.1.3. The driver readies his truck for loading and unloading of materials. He them must use the designated waiting areas during loading and unloading of materials. 5.1.4. Drivers are not alowed to enter the storage areas. 5.1.5. Drivers must follow the instruction ofthe in-charge in the area, 5.1.6. Warehouse floor employees must exercise similar diligence of wearing PPE specially gloves when handling batteries. 6. Check and record the number of delivered material thatthe carrier has unloaded. Missing items should be noted and communicated accordingly. 6.4 Check for additional conditions. The original packaging, serial number, and warranty card have to be intact. The battery shall not go beyond its warranty period. 6.5 Conduct an immediate visual examination of each individual tem, looking for obvious damage. 6.6 Send the item back to the store without accepting the returned battery if the receiving store suspects the battery may have been tampered. 6.7 Approve or disapprove the replacement. 68 Confirm eligibility of retured battery. 6.9 Note down the reasons for replacement. 6.10 Place the battery for replacement in its special location separate from the prime batteries. 6.11. Ensure great care is taken in the storage of retuned batteries against further damage. 6.12 Contact the vendor of any damage or condition and to return the faulty battery and request replacement or credit note through the Procurement Department as immediately as possible. 6.13. Inform the project store keeper to piok up the iter or once the replacement ofthe retumed battery arrives to your warehouse. 6.14 Maintain records of the battery replacement delivered by the vendor, including but not limited to delivery notes. 6.15 Document the release to the project store keeper of new battery.
