Introduction
With the “Track and Trace” module, you will get a quick overview of the current position of all your
vehicles (Tracking section). If the Planning module is activated, you can also plan transportation for
your vehicles at the same time, and then track progress. Statistics – Journey Activities report
provides comprehensive information on the ongoing and completed journeys. You can calculate your
vehicle operation expenses per kilometer thanks to the report in the Company Profile section.
Border Crossing provides information about the presence of a vehicle/driver abroad. Please note
that, depending on the modules you have selected, the page views illustrated in this guide may not
necessarily be identical to what you see in your system.

1. Tracking

1.1 Map view

In the Tracking tab, the first option is to click on the “Map View”, which will redirect you to the Live
map. To work with the live map, please refer to the “Live Map” user guide.

Click on in the top right of the map displays the table to display a table with clear information
about the vehicles monitored (each vehicle in a separate row) will appear in the top panel of the
system. The first (grey) row in the table contains icons for easier work with the map and table.

In the first column of the Tracking table, you determine which vehicles should be shown on the map.
If there is a symbol in the appropriate row, the vehicle is shown on the map. When you click on
this icon, the symbol disappears, which means that the vehicle is not shown on the map. To see all

the vehicles on the map, click on at the head of the table. Click this symbol again to hide all
vehicles on the map – i.e. no vehicle is shown on the map.

Other columns show: the alarm generated (if you have also purchased the Alarms module), the
vehicle's registration number (or the Trailer ID if the vehicle is paired to the Trailer ID device), its
current location, destination and its current status (moving/standing/idling).

You can set the vehicle’s destination, if it does not have one, by clicking on „Enter destination” which
will take you to “Route planning” section (only if the “Planning” module is activated), where you can
plan a route of any vehicle. For this route planning procedure, both the vehicle registration number
and the start of the route are already automatically filled in. The start of the route is identical to the
current position of the vehicle (current GPS coordinates) and the current time when the vehicle is at
that position. The procedure for adding waypoints as well as other route parameters is the same as
for standard route planning (see the PLANNING module user guide).

If the vehicle already has a route planned, the last column shows the time that represents the
difference between the ETA (estimated time of arrival at the next destination) and the RTA
(requested time of arrival at the next destination). It is indicated as “ON TIME” shown either in green
or red:

- - arrival of the vehicle to the next planned destination is expected with minimum
delay
- - arrival of the vehicle to the next planned destination is expected 17 hours and
44 minutes in advance compared to the scheduled time
- - arrival of the vehicle to the next planned destination is expected with a delay
of 4 days, 9 hours and 4 minutes compared to the scheduled time

When you click on any entry, the corresponding row turns blue (this means that it is “active”), and a
table with the vehicle information (“Vehicle details”) appears on the right. The current position of the
vehicle will also appear on the map.

1.1.1 Vehicle Detail

The first part consists of information about the vehicle’s number plate (or the Trailer ID if the vehicle
is paired to the Trailer ID device), its current status and the vehicle’s actual position.

1.1.1.1 Current vehicle status

The information section on the current vehicle status includes the following data: the vehicle’s
status (moving/standing/idling) and how long it has remained so, current location of the vehicle,
tachometer reading, fuel tank status, vehicle’s GPS coordinates, vehicle’s current speed (if the
vehicle is moving). This section additionally lets you click quickly to the Journeys Activity and the
vehicle’s current record.

Note: The time since the last update is also available when data is updated less frequently than every
minute.

1.1.1.2 Vehicle crew

Information about the vehicle crew (displayed if the driver’s tachograph is connected to the on-
board unit) consists of the following:

- name of the registered driver/his or her tachograph card number


- total daily driving and daily riding
- driving for two weeks

1.1.1.3 Transport Details

The information section of the scheduled transport consists of data about the planned waypoint.
This section additionally lets you click quickly to the Dispatcher Board and the vehicle’s current
record. Each of the boxes (waypoints) contain the following information:

- Planned waypoint date


- Planned waypoint place
- Distance to the waypoint (time and length)
- Next RTA – requested time of arrival at the next waypoint
- ETA – estimated time of arrival at the next destination

Note:

- The boxes have waypoints that are loading points indicated as /


- indicates the last point the vehicle has passed

1.1.2 Notifications

The left section of the table shows notifications, which display only selected vehicles affected by

the type of alert (e.g. is displayed for a vehicle whose transport finishes on time; is
displayed for a vehicle whose fuel tank is low). Moving the arrow to the notification lets you easily
find out the type (a “tooltip” will appear).

Click the icon to enter an expression in the blank field to be searched for by the system.

1.1.4 Filter

Click the icon to bring up a window where you can filter the information you require on the
vehicles monitored by their ETA, vehicle status or select a specific group/vehicle group.

n the “Delayed (ETA)” column, you can select one of the criteria according to which vehicles will be
shown in the reduced/extended table:

- All ETA – all vehicles will be shown


- Delayed by more than 30 minutes – only the vehicles that will reach the final destination with
a minimum 30-minute delay will be shown
- Delayed by less than 30 minutes – only the vehicles that will reach the final destination with a
maximum 30-minute delay will be shown
- In time – only the vehicles whose expected arrival at the final destination is in accordance
with the scheduled arrival (i.e. no delay expected) will be shown
- No RTA entered – only vehicles that are missing the planned route information will be shown

In the “Vehicle Status” column, you can select one of the criteria by which vehicles will be shown in
the reduced/extended table format:

- All vehicle statuses – all vehicles are shown


- Vehicle moving – only the vehicles currently moving are shown
- Vehicles standing – only the vehicles currently standing are shown

1.1.5 Extended table

Click the icon to bring up the table showing the extended information related to the vehicle
tracking. Click this icon again to close the extended table view.

The extended table contains the following information about the vehicle:

- the alarm generated (if you have also purchased the Alarms module)

- RN - Vehicle registration number
- Position – current vehicle position
- Destination* – last destination defined
- STATUS – vehicle status (moving/standing/idling)
- ETA* – Estimated time of arrival at the next destination
- RTA* – Requested time of arrival at the next destination
- Driver – the name of the driver who is logged in the vehicle

- Tachograph – driver’s status from the tachograph - - driving; - other work; -


resting/break
- Shift - graphical presentation of driver tachograph data for the past 24 hours in a 13-hour shift
(9 hours driving and 4 hours of other work) - different colors indicate the following activities:
o light green - driving
o dark green - other work
o blue - resting/break
o gray - remaining shift
- ODO – speedometer status
- Tank – tank status
- Actual – difference between ETA and RTA

* Information is available only if the destination is defined

2. STATISTICS – JOURNEY ACTIVITIES
Clicking STATISTICS – Journey Activities provides information about the active and completed
journeys of your vehicles/drivers.

2.1 Selecting a vehicle/driver and description of the JOURNEY


ACTIVITIES table

The initial Journey Activities table enable you to select a display of journeys made by a specific
vehicle, driver or a combination of the two (journeys by a vehicle just with the selected driver).
Period lets you choose the time period for displaying journeys. The default period is the week before
the actual date and the week after it. You can simply change the interval by clicking on the currently
selected period. Clicking on automatically downloads the data exported from the Journey
Activities for the desired period to your computer in .xlsx format.

After selecting the desired parameters, a table displays the driving overview in days. In addition, the
following icons are available in the row:

- - place where the journey started on a given day

- - place where the journey ended on a given day


- - number of journeys for a given day
- - number of refueling stops for a given day
- - manually adding costs to journeys for a given day. This table is the same as the one you
use to add costs in Statistics - Expenses, with the vehicle and date preset
- / - expand/collapse view of all journeys on a given day

Clicking on the view of journeys for a given date lets you display in rows all the journeys completed
on that day. Any row provides you with the following information about the journey:

- Driver/Vehicle - driver name (if selected by vehicle) or vehicle registration number (if selected
by driver)
- Trailer - Trailer ID if the vehicle is paired with the Trailer ID device
- From – time when the journey started
- To – time when the journey ended
- End – place where the journey ended
- Type – type of journey (business/private)
- Duration - how long the journey lasted
- Stopped - how long the vehicle stood
- Distance - number of kilometers travelled by the vehicle during the journey

This view also displays journeys on the map for the day in blue. Clicking on a particular journey lights
up in yellow the journey you selected. A green dot indicates the starting point of the drive, while the
red dot shows the place where it ended.

1.1.1. On Route Alerts

Whenever your route is shown on the map, you have the option of displaying any signposts to inform
you of selected events. These alerts can be switched on and off by clicking the icons

located directly on the map. Clicking on a specifically generated alert displays


information about the type of alert, as well as the time and location where the event occurred.

Note: This feature is only available in passenger cars, provided you have purchased the Driver
Behavior module.

Each icon explained:

- switches on driver behavior alerts

- speeding

- harsh braking (speed less than 60 kph)

- harsh braking (speed greater than 60 kph and less than 110 kph)

- harsh braking (speed greater than 110 kph)

- harsh cornering (speed greater than 65 kph and less than 110 kph)

- harsh cornering (speed greater than 110 kph)

- harsh acceleration

- switches on geolocation change alerts

- corridor leave

- POI arrival

- POI departure

- destination approaching

- switches on instant alarm alerts

- unavailable GPS

- loss of onboard unit’s communication with the vehicle

- low battery level

2.2 Extended Journey Activities

Clicking on at the top right of the JOURNEY ACTIVITIES table displays an extended Journey
Activities version as well as an overview of journeys for the selected period that you can work with
further.

In addition, the following columns display in the Journey Activities:

- Start of the journey – the place where the journey started


- Final odometer status – odometer reading after completion of the journey
- Refueled liters – total fuel pumped during the journey and its cost

The overview provides you with the following information:

- Duration - total duration of all journeys made during the selected period
- Stopped - total time standing for the selected period
- Distance - number of kilometers travelled by the vehicle for the selected period
- Odometer end - status at the end of the last drive in the period
- AFC [L/100 km] - actual fuel consumed during all journeys combined, expressed in liters per
100 kilometers
- Consumption - average fuel consumption for the period
- Refueled liters (Q) - total fuel pumped for the period in liters
- Refueled liters (Euro) - total fuel pumped for the period in euros

In addition, a summary row will appear in the drive table for each day.

This section additionally lets you click quickly to other parts of the driving-related system:

- - redirects to Statistics - Expenses

- - redirects to Statistics - Fuel Consumption

If you wish to come back to the JOURNEY ACTIVITIES table from the display of these sections, just
click on the icon at the top right.

3. STATISTICS – Company Profile
The “Statistics – Company profile” tab informs about your vehicle operating expenses per 1 km.
After clicking on this tab, click the "COST STRUCTURE" button on the right side of the screen.

You can choose at the top of the "Cost Conversion" table the currency in which vehicle operating
costs will be displayed. There is also a tool available to search for the desired vehicle.

The table contains operating data for the different types of costs for displayed vehicles such as
fuel; additives; oil; tires; maintenance; liability, collision and personal injury insurance; parking;
heating the cab; cleaning; washing and resulting data about vehicle costs per kilometer. If you want
to add/change any of the data (or more at once), select the vehicle(s) whose data will be added or
changed and press EDIT LABELED VEHICLES. After the relevant data has been filled in, click on SAVE
to recalculate the data in the table.

The right side of the screen displays information about market average value and your personalized
costs per kilometer. You can likewise EDIT your FIXED COSTS.

Parameters for recalculating the resulting cost per kilometer (either per kilometer or for a certain
period of time) can be changed for both types of costs, too.

In order for the report to provide you with the most accurate results, fill in as much information
about your company and your vehicles as you can define.

TOTAL COST OF OWNERSHIP is available on the right-hand side of the screen. Clicking on it opens
the VEHICLE TCO CALCULATOR, which lets you determine the total cost of ownership for your
vehicles (TCO = Total Cost of Ownership). Just fill in a vehicle’s parameters and press SELECT. The
bottom of the screen then displays the calculated results and compares them to the vehicle’s overall
LNG/diesel data.

4. STATISTICS – BORDER CROSSING
Statistics - Border Crossing gives you comprehensive information about any crossing of borders
and how long your vehicles remain abroad.

You have the option above the table “Borders Crossed” to choose whether you want to show
information for a specific vehicle, driver or country. There is also a calendar that lets you select the
period for displaying the data.

The first part of the table summarizes entries by country:

- Records - number of entries into a country


- Duration - total time spent in a country
- Distance - total distance traveled in a country

The second part of the table provides an overview of all entries into the selected country:

- Country - country into whose territory the selected vehicle/driver entered


- Driver - driver that entered the country
- Vehicle - vehicle that entered the country
- Date of entry - date when the vehicle/driver entered the country
- Place of entry - place when the vehicle/driver entered the country
- Date of exit - date when the vehicle/driver left the country
- Place of exit - place when the vehicle/driver left the country
- Distance - distance traveled in the country for the displayed entry
- Duration - total time spent in the country for the displayed entry
