EVIDENCE AND APPLICATION FORM

As we knew before that Bumbu Desa Restaurant is using information technology system which is web based and they chose Lotuslive solution from IBM. Where,IBM providing Lotuslive with software as a service (SaaS) pattern. Thhis web based solution with SaaS service was adopted by the management of Bumbu Desa Restarurant to make report system and exchanging information from each branch easily. And also the reason why Bumbu Desa management chose this solution is because this solution simple and cheap.

The owner and also the Communication president,Arief Wirawangsadita,said that nowadays just for selling a chili, we need an information technology based.. That is why Bumbu Desa have to improve their information technology because they have to fix many obstacles. And now we will discuss the history of how Bumbu Desa report their activity, before using Lotuslive until they use Lotuslive solution.

In the beginning of the year as they opened the business, Bumbu Desa operasional activity of each branch is centralized in the central office. It means that, each branch have to report all of the operational activity to the central office everyday for monitoring and controlling purpose. First, these activity report has been sent by the branch manager via fax or telephone. On the next step, branchs activity report starting to use email rather than fax or telephone. But, there is still obstacles which is a times gap from the report is sent until the central office is giving a response.

Due to the expansion of Bumbu Desa restaurant, added the number of branch restaurant, the management need a solution that can make the report system and exchanging information easily, more effective and more efficient. Because of that reason, starting 2010, Bumbu Desa management need an information technology which is better. The new information technology system must can be integrated all the information from all branch quickly (real time) and that information can be speaded quickly as well.

As the result, Bumbu Desa is using Lotuslive solution which is provided by IBM. Bumbu Desa chose that solution because that solution is suitable for the Bumbu Desa needed, quite user friendly and low cost. IBM providing Lotuslive facility with software as a service (SaaS)

pattern. It means that Bumbu desa is just need to pay a rent cost of that system monthly or annual.

Tendi, Managing Director of Bumbu Desa said that, to get Lotuslive solutionm Bumbu Desa is just pay for the rent only US$ 3 each month. And for the operational, Bumbu Desa is using 50 users. Also Bumbu Desa doesnt need to spend extra cost to buy software,server, and the human resources. Because all of Bumbu Desas data has been saved in cloud server from IBM. Bumbu Desa management is just need to provide a computer(hardware), and Internet connection network to access that solution, because that solution is web-based. For the internet access, they use Speedy from Telkom with bandwith capacity 512 Kbps. That capacity is enough because the data is relatively in the small size.

The implementation process is simple and quick. Bumbu desa just need two months to fix all of that problem. Especially for the training in the central office and branch office. Well, we can said that even the implementation process is relatively quick, but the problem is in the training process and change the culture. Bumbu Desa management is trying to make all the managers in every branch is using a Lotuslive, even just sent an email or do a communication.

There are 4 modules that Bumbu Desa use in this application form : 1. Activity Actually, in the first time, Bumbu Desa has a report system which called Log Book Management. Log Book Management is a work application to record all activity in every branch in one day to be reported to central office. That daily record is authorized by the branch manager. First,Log Book management is using book and after that using e-mail. But after Lotuslive has been adopted, this Log Book Management is included in Activity module.

In this Activity module, those who involved in are :

Author : a person who make a report, and they have a role as an administrator who can approve and give a comment to the report.

Reader : a person who only can read or see the report, but cannot change the activity report.

Business Owner : a person who can make an approval of the report, giving a direction and give a comment, and also determine those who can read that report.

2. Community Another important module is community. This community module can fasilitated the branch manager as a communication media when Bumbu Desa is make a gathering.

3. File Sharing And also there is a file sharing module. File sharing module consist of Manual Book and Standard Operation Procedur (SOP) Program (which the Bumbu Desa soul because it is included a direction, policy and operational standard of Bumbu Desa that have been set before)

4. Meeting This module is giving a facility to make a teleconference each branch.

Actually, this IBM solution in only 40% useful in Bumbu Desa. This already enough to fulfil the IT requirement for the next 5 years. Through thi Lotuslive solution, many communication media that web-based such as Yahoo Messenger, Twitter, facebook, blog and Flickr can be integrated in ine Web. From this, data can be analyzed, not only for structured data but also for unstactured data (such as feed,tweet, video, picture). So that, those who use data can get an illustration about what to do, included asses the customer sensitivity for certain product or issue.From this ability, Bumbu Desa can get a benefit from unstructured source such as tweet or blog.

From the explanation above, to get more clear illustration about how they use this information technology in Bumbu Desa operational activity, we will see in the chart on the next page. We will see also what their input, how they process the data and also how they use the output to analysis and also to make a decision.
