TERMS AND CONDITIONS

It is very important that you carefully read and understand this document as it is meant
to provide you with all the needed information and minimize the possibility of any
misunderstandings, which shall result in a smoother experience for you during our Romania
Roundtrip 2018. Shall you have any queries regarding these conditions, as set forth, please
contact us as soon as possible to settle the issue.

GENERAL:
We reserve a right to make changes to the published program if necessary without prior
notice. However, you will have no claim against us in respect of such changes, and these do not
entitle you to cancel your registration.
Participants have to be at least 18 years old by the beginning of any booked event.
Please make sure your passport or ID is valid for 3 months after the final date of your stay in
Romania.

PRIVACY:
Upon your successful registration you agree:
● That we are allowed to publish photos with you taken during any booked event
via any channel, online and offline such as, but not limited to: Social Media
(Facebook/ Instagram)
● Personal information provided by you during registration will be held in our
database, with the exception of any payment details (no information regarding
your card details will be recorded whatsoever).

REGISTRATION FEE:
Registration fee is announced on the group and you were able to find it within the
application form description.
Registration fee is 290 euros. All commissions of the transaction are on customer
(participant of the trip).
The registration fee for the full package includes:
● Accommodation
● Meals.
● Transportation around the city and between cities(where appropriate)
● City tour, museums, excursions.
● Tranfer to / from airport Avram Iancu - Cluj-Napoca

REGISTRATION PROCESS AND PAYMENTS:

Event registration will be confirmed only after full reception of the payment and also the
proof of ticket purchase to Cluj Napoca Airport.
All the registrants will have to pay for their booking until the deadline. Otherwise, the
registration will be automatically cancelled.
We will refuse to confirm packages that are not paid in full.
Please note that the fee is not returnable.
LIABILITY AND INSURANCE:
We expect all participants to behave properly during the event. You accept that you will
be made completely liable for any damage that happens in your room throughout the duration
of your stay. If you exchange rooms internally with other Rotaractors without notifying the
hostel administration, liability for damages will remain liable for any damages suffered to your
original room. In case of any damage, you are personally liable for any possible charges with
the hostel administration directly.

The organizing committee will not assume any responsibility whatsoever for any
damage or injury to persons or property during the convention. The participants are
recommended to arrange their own personal travel and health insurance. The relationship
between the organizing committee and the participant will be exclusively governed and
construed in accordance with the laws of Romania with exclusive competence of the Romanian
Jurisdiction.
The organizing committee shall have no liability for any loss and/or damage that may
occur to any of your personal property. The organizing committee will not be liable for any
indirect or consequential loss suffered by you; or any loss of profits or loss of business (direct or
indirect) suffered by you. In any case, the organizing committee liability shall not exceed the
relevant booking fee paid.
The organizing committee will not be liable for any default or delay in the performance
of its obligations, to the extent that such default or delay is caused, directly or indirectly, by an
event beyond the reasonable control of us such as, but not limited to: fire, flood, earthquake,
elements of nature, acts or regulations of government bodies, court orders, acts of war,
terrorism, riots, civil disorders, rebellions or revolutions, strikes, lockouts or labour difficulties.
Such event or circumstance giving rise to the default or delay is a Force Majeure Event.
By completing the registration process and making the payment, you agree to be bound
by these terms and conditions.These terms apply to all bookings submitted for our events.
