FORMAT FOR PREPARATION OF PROJECT REPORT

FOR B.E
● ARRANGEMENT OF CONTENTS:

The sequence in which the project report material should be arranged and bound
should be as follows:

The table and figures shall be introduced in the appropriate places.

● PREPARATION FORMAT:

● Cover Page & Title Page – A specimen copy of the Cover page & Title page of
the project report are given in Annexure 1.

● Bonafide Certificate, Declaration and Acknowledgement- A specimen copy of


each of these certificates are given in Annexure 2.

● Abstract – Abstract should be One-page synopsis of the project report typed with
1.5 line spacing, Font Style - ‘Times New Roman’ and Font Size 12. Abstract
should contain brief introduction of the back ground, motivation for doing the said
project, brief on Methodology adopted, implementation or experimental details and
results/ inference / key conclusions /outcome obtained from the execution of the
project.
Abstract
Abstract is essentially a complete overview or the Synopsis of the project in one page,
should be precise, concise, and clear. It has to be written in past tense as the work is
already completed. If abbreviations or acronyms need to be included in the abstract, the
first time it is used, it should be written out in the full form and put the abbreviation in
brackets. e.g. "Magnetic Resonance Imaging (MRI)". The abstract may have about 3
paragraphs covering the outline of the work as below:
 
First para :Brief introduction about the project which should include background, Areas
/type of applications, market size (if available) and hence the importance of the domain.
Key developments in the domain, unresolved issues or/and new emerging opportunities in
the domain areas and hence the problem or the issue that is proposed to be addressed in
the project or the objective. If it is theory or simulation based add all the existing
theory/algorithms names and what is it that the project is based on, their essentially
advantage or drawbacks in brief and hence the motivation to work on the project.
Second Para : Methodology of your project including the key theory, design tools or
software tools or / and the experimental tools that will be used, the key specifications
including constrains or boundary conditions or approximations or assumptions that have
been considered for the work. The sequence in which the work is to be carried out.
Third para : Key findings, results or outcome of the work including experimental data of
the outcome or / and percentage in terms of working efficiency of the developed product
or system.
 
In brief the Abstract should be
Complete — it covers all aspects of the project
Concise — it contains no excess wordiness or unnecessary information.
Clear — it is readable, well organized, and not too jargon-laden.
Cohesive — it flows smoothly between the parts.
● Table of Contents – The table of contents should list all material following the
table as well as any material which precedes it. The title page and Bonafide
Certificate will not find a place among the items listed in the Table of Contents.
However, these will contain the page numbers of in lower case Roman letters. 1.5
spacing should be adopted for typing the matter under this head with font size 12
for headings and size 11 for sub-headings.

● List of Tables – The list should use exactly the same captions as they appear above
the tables in the text. One and a half spacing should be adopted for typing the
matter under this head.

● List of Figures – The list should use exactly the same captions as they appear
below the figures in the text. One and a half spacing should be adopted for typing
the matter under this head.

● List of Symbols, Acronyms / Abbreviation and Nomenclature – 1.5 line spacing


using Font Style Times New Roman and Font Size 12, should be adopted for typing
the matter under this head. Standard symbols used in the report need to be defined.
Acronyms / Abbreviation and Nomenclature used in the report need to be expanded
/ explained.

All Symbols, Acronyms / Abbreviation and Nomenclature should be explained


when used first time in the report.

● Chapters – The chapters under the project report may be broadly divided into 6
parts

(i) Chapter 1. Introduction:


This chapter must contain brief of literature survey citing latest development
and emerging opportunities in the field. This should not be a set of summaries
of some key papers. Problem statement or objective derived from literature
survey, Motivation, Brief methodology to be adopted to achieve the goal(s)
and organization of the report.
• Preamble or Background (It should have as references at least a few
reviews /whitepapers / government policy papers/ think tank reports if
applicable , including mandatorily some reference published in the year of the
submission of the Project Report (namely 2021,22)
• Before any subsections in the introductory chapter there should at least one
paragraph giving a broad introduction to the topic
• State of Art developments in the relevant domain (this should also include the
issues related to Literature Review / Survey but it should not have abstracts of
individual papers but should have them incorporated in the discussion for the
state of art or the issues discussed below.)
• Unresolved Issues and Emerging Opportunities or new directions
• Motivation
• Main objective or problem statement & Scope of the project
• Methodology in brief
• Organization of the Dissertation / Overview of the report
(ii) Chapter 2: Theory and fundamentals of area related to problem statement.
(iii) Chapter 3: Design: Specification and design issues, Hardware design, block
diagram /Software design algorithm, flow chart, coding/Experimental
techniques to be used etc.
(iv) Chapter 4:Implementation: Hardware/software/ middleware design
implementation / Experimental methodology.
(v) Chapter 5: Results, Discussion and inference.
(vi) Chapter 6: Conclusion (should contain the key results/ inference / key
conclusions /outcome and future scope of work

Each chapter may be further divided into several divisions and sub-divisions
depending on the requirement.

❖ Each chapter should be given an appropriate title.


❖ Tables and figures in a chapter should be placed in the immediate vicinity of
the reference where they are cited.

● Reference: IEEE format should be followed viz:


In case of Research papers Journals / Conference proceedings: Name of the author/
authors, Title of the paper/ Name of the Journal/ title of the Conference proceedings,
Volume (number) , Year , Pages
In case of Books /Reports etc Name of the author/ authors, Title of the Book,
Name of the Publisher Edition, Volume if applicable, Year of publication
In case of a Thesis / Dissertation: Name of the author, Title of the Thesis /
Dissertation, Name of the Institution, Year of publication

Appendices – Appendices are provided to give supplementary information, of subject


matter discussed in main text and which may distract and cloud the central theme while
reading. Using the appendices will help to avoid interrupting the body of the report with
excessive detail, thereby improving readability. Number the appendices with a structure
like: A, A.1, B, etc. The appendices might include, but are not limited to:
o A "Users Manual" or instructions for operating and maintaining the system you've
designed.
o Any derivations or explanation that adds on to understanding for those who refer the
project report.
o Additional charts, graphs , data sheets and tables.
o Detailed calculations (theoretical developments, error and sensitivity analyses, etc.)
o Gantt chart and/or other planning information.
o An analysis of the "design concepts" topics (e.g. health and safety) given separately.
Indicate how your design is affected by each topic.

3. FORMAT TO BE USED FOR TEXT MATTER

3.1. Character Fonts


As a character font, use Times or Times New Roman. The font size must be 12 point in
the text including formulas, equations, table headings and figure captions. At least 8 point
should be used in figures, tables and superscripts or subscripts. Footnotes, long
biographical quotes and exclusive quotations should be 10 points. Chapter Titles should
be bold 14 size in sentence case, Headings should be bold and 13 size and sub headings
should be bold and 12 size.
3.2. Spacing
Spacing of the text material shall be 1.5 or when necessary integer multiples thereof. For
example, when a paragraph ends, the next one starts after pressing RETURN twice
(2xCR) to get two 1.5 spacing.
3.3. Left Adjusting
The left adjusting point of titles and headings shall be 1.5” from the left edge of the paper.
You can use the appropriate left adjusting command in computer typesetting.
3.4. Margins
Margins of pages shall conform to the following specifications:
· Left margin – 1.5 inch from edge of paper
· Right margin -1.0 inch from edge of paper
· Top margin – 1.0 inch from edge of paper
· Bottom margin –1.0 inch from edge of paper
The above margins shall be observed on charts, graphs, tables, and drawings. Folded
papers will not be accepted unless there is absolutely no other way for the material to be
presented.

3.5Use of Headers and Footers;


Each page in the report (except the title page) is expected to bear a number. Only one side
of the paper may be used for printing. The page number shall be incorporated on bottom
right corner of the page using footer. The left of the footer will contain full expansion of
the department of study e.g. Department of Computer Science and Engineering. The
Header will contain name of the college at the center.
The preliminary section, including the title page, certificate, declaration,
acknowledgements; table of contents, etc., should be numbered, using lower case Roman
Numerals, e.g., i, ii, iii, etc.

4. Preparation of the final copies


● Typesetting
Reports shall be typed using MS- WORD for Windows (Version 6.0 or later) ; TEX
and LATEX are also acceptable.
● Paper Quality
The original copy shall be printed on 75 gsm, A4-size water marked executive bond
sheets, which will be made available by the institution. All reproduced copies shall
be on A4 size water marked photocopier paper, which will also be made available
by the institution.
● Printing
Only laser printer or Ink Jet printer output is acceptable. Printer settings must
comply with A4-size paper and must be so that the page is not resized in printing.
● Reproduction:
The student batch should submit one copy (On Executive bond) per student in the
batch and two additional copies (On A4 copier shhet). In addition every batch has
to submit one CD/ DVD containing the report. The CD/DVD should be properly
labeled with Title, Students names, guide’s name and department.
● Binding
The report should be hard bound in specified colour as in table 1. The final bound
size of the report should conform to A4 size. Every copy should contain plastic
jacket.

Important Notes:
● Equations, Flowcharts and Tables should be typed and not scanned.
● Block diagram/Schematic diagram should be drawn and not scanned.
● The manuscript shall be thoroughly checked and corrected by the guide/ guides.
The pre-corrected copies need to be maintained by the guide to ensure that all
corrections have been incorporated.
● Result graphs should not be scanned but should be original.
