General
This document describes the necessary steps to install the FleetManager software. It further contains information for system
administrators and administrators of databases who are responsible to set the databases up and adapt them to the necessities
of their computer systems and networks.
The contents of this document are partly taken from the FleetManager manual that can be displayed as online help from
within the software. The online help is also available as a multi-language pdf-file on the installation CD and in the installation
directory.

1 Installation
The FleetManager is installed on your computer system with the help of an installation wizard that automatizes the
installation as far as possible.
If you use WindowsNT, Windows 2000 or Windows XP as an operating system, it may be necessary that you have
administrator rights or that the installation is be done by an administrator. As we do not know the configuration of your
computer system, we cannot give you any tips on the correct installation of the software on WindowsNT/2000/XP at this
point. The software itself does not restrict the use with WindowsNT/2000/XP.
If you use Windows98 as an operating system please note that this operating system is not able to provide and support
database services. That is why a PC with Windows98 is not suitable to be used as a database server.

We recommend the following path for the installation: C:\Programme\FleetManager. This path is also set pre-
selected during the installation. Many parts of the software and the updates which will be delivered at a later stage use this
default path as well. Using this path will save you precious time when working with the software and you can be sure that all
references and settings within the software are correct.

1.1 System description


For a better understanding of the system we illustrated the structure in the following figure.
The FleetManager software version 2.0 or higher allows direct access to the Central Database from several computers at the
same time (active components or active users). The Network and Multi-User feature also allows the installation of
components that communicate independently with the database using the common file system of the operating system (e.g.
external passive card reader).

1.2 Mode of operation
During the installation procedure select how the FleetManager will be used:
· in a network with other users and PCs and a central database.
· local installation on your PC.

1.2.1 Server installation


In case of the network installation the database management system DBMS (in this case Sybase Adaptive Server
Anywhere 7) and the database file itself will be installed on a Server-PC that can be accessed by every user. For this, select
the option Network Server with Database.

Make sure to begin with the server installation. If you do, some of the connections between the central database and the
FleetManager software which is installed in a second step will be established automatically.
The DBMS is installed in the background. The installation will be indicated by the following message:

Together with the FleetManager you purchased a database requiring a separate license. This database will be installed during
the installation.
Note 1: In many cases the DBMS will be installed in a separate directory that will be created on the server. It is not
necessary to share this directory on the net, because only the server will access the database.
Note 2: If you use the FleetManager together with many other users, make sure to install the database on a central,
independent server-PC. Please contact your system administrator to determine and implement the best selection
and set up of the computer systems.
Note 3: You can install the server and the client FleetManager on a single PC. This should always be the case, if you
want to use the server-PC to work with the FleetManager. However, both steps of the installation (server and
client) should be made in this sequence. Also, you must make sure that this PC is always turned on and available
to all other users (clients), because this computer provides the central database.
If you have worked with the fleet manager before and a database was already created, then it is sensible to use this data base
as central the database in the future as well. Determine the folder, into which you would like to copy the existing database.

The server provides the database connections in form of database services. Select now, when the database services are to be
started. A client-PC is cannot work with the database, if the database service is not started.

1.2.2 Client installation


After the server installation, the FleetManager client must be installed on every user PC. The client is the FleetManager
software without the database. Instead of the installation of the database, the connection to the server which must be already
installed (!) will be established.

Optionally you can decide whether you want to install the FM/Data Transfer component together with the FleetManager-
Client. This component is needed to read the operation data collected and recorded on the truck and send it to the database.

1.2.3 Local installation


During the local installation the FleetManager software and the database are installed on your PC. Only the users of this PC
can work with the FleetManager.
Note: If you installed the FleetManager on a local computer, you can extend to network operation at a later point. For
this, install the server as described. After that, transfer the local database to the server. By this your local
installation will automatically become a client as soon as the database has been reset accordingly. If necessary,
contact your system administrator for help.
The installation procedure is similar to the client installation. The database with a separated license included in the
FleetManager package will be installed during the procedure.

1.3 Software license agreement


During the installation, the software license agreement will be displayed. We assume that you have read and accepted the
conditions.

The installation cannot proceed without your confirmation. A license for the database is required for every user with write
access to the database. For further information, please refer to the FleetManager manual.

1.4 Check for existing parts of the program


After the selection of the components to be installed, the software checks the computer system for existing components of the
FleetManager or Sybase. This is done in the following steps:
- Is there an existing version of Sybase DBMS, that was not installed by FleetManager on the system? If so, it will not
be automatically overwritten, because other software may use it and require that the installed version remains on the
system.

- Is there an existing old FleetManager database to be transferred to the new version? If so, this step is suggested and
a corresponding window opens.

1.5 Documentation
The online help file of the FleetManager is available in different languages. Each language version requires approximately 25
MByte space on the hard disc. We assume that you do not need all the language versions of the help files on your computer.
Select the languages you need.

The help-files are also available in a printable form. If selected, a pdf-file in the same language as the Online-help will be
copied into the installation folder.

1.6 Installation
After selecting all program elements you have to select the installation folder. We recommend the following path for the
installation: C:\Programme\FleetManager. This path is also set pre-selected during the installation.

You'll then be offered a summary check of all your settings and selections.

The installation is completed by setting up the links to the database.


This is where you normally set up the standard data link.

In a few, exceptional cases you can search for further connections to the database in the network. However, normally this
search will render the standard database FleetManager_2.0_NET .

After selecting the database connection a few additional documents will be installed. These are primarily help files (e.g. the
files for the quick guides) and/or other auxiliary files. You'll find these files in the folder
c:\programme\fleetmanager\doc later on.

The installation is completed with the request to restart the computer. We recommend that you restart the computer, because
we cannot guarantee that all entries are made correctly without a restart due to the different characteristics of the different
operating systems.
The installation of the client version and the local installation are made under “All Users” so that all authorized users of the
PC have access to the FleetManager software.
The installation is completed with the set up of the program groups in the start menu and a link to the desktop as is usual
under windows.

1.7 Migration from FleetManager 1.2.x


Is there an old version of the FleetManager software? If so, it will be removed automatically. An old Sybase version will be
replaced by a higher version, if it was installed by the FleetManager.
Before deleting the old version the old database should be saved. We suggest you do this by renaming the old folder …\data
into a new folder …\data_12x. You can copy the database to any other folder or directly to the server later on.

In case the folder you choose is not a folder on the network a corresponding message will be displayed.

Then the folder ...\data will be renamed.

1.8 Special issues of different operating systems


The correct link between the software and the database requires the set up of the ODBC data source. For the exact details,
please refer to chapter 2.3 Data source; page 16.
Normally the set up of the ODBC data source is automatic. Depending on the operating system and the individual setting of
your network there may be differences in the labels for the database service on the host PC and the port number.
The ID given by the operating system, the so called TCP/IP address may not be recognized in some cases.
If the automatic recognition of the database does not function on your computer system, a window to set up the ODBC data
source or a Windows error message will open instead of the software when you start the FleetManager.

In this case cancel the start of the software and open the ODBC Data Source (see 2.3.1 Set up of a data source):

Double click on the icon ODBC Data Source and open the register "System-DSN". Then open the data source
FleetManager_2.0_Net. Correct the entry “TCP/IP” in the register “Network” as shown in the following figures. For
further details, please refer to chapter 2.6 Network database, page 21.

2 Database set up
This section is directed at expert users and system administrators who want to adapt the database to their individual
requirements.
The "normal" user will not need the information of this section, because all the necessary settings are made automatically
during the installation process.

2.1 Database sybase


The database used by the FleetManager is Sybase Adaptive Server Anywhere in version 7. The version distributed with the
software is an “authenticated version”, that can only be used together with the FleetManager.
If you already have a full version of Sybase Adaptive Server Anywhere 7 installed on your system, the limited version of the
FleetManager will not be installed.
If you whish to install the full version of Sybase SQL Anywhere 7 after the installation of the FleetManager this is possible
without any problem. The existing version of Sybase from the FleetManager does not need to be removed. The new
installation enters the information of the drivers for the database in the Windows-Registry and by this overwrites the settings
made by the FleetManager. After that the FleetManager will use the full version. No further settings are required.

2.2 Database file


The contents of the database are stored in the database file that is named fleetmgr.db for the FleetManager and is copied
to the installation path (usually c:\programmes\fleetmanager) in the subdirectory data .
If you think it is necessary, you can change the name and the path of this file without restrictions. In this case, the definition
of the data source must be adapted accordingly. Cf. section 2.3 Data source, page 16
Note: Please note that during future updates of the FleetManager with the FleetManager installation script, the
installation script may not be able to detect the FleetManager database and therefore backups and transfer
measures are not possible due to this. In this case you are responsible to make sure that your database its correctly
transferred to the new version of the FleetManager. If necessary, contact the hotline for support.

2.3 Data source


FleetManager opens the database using the standard access ODBC (Open Database Connectivity). ODBC allows a uniform
access to databases without specifying the location (database file and network computer system and the database system)
used. For this the ODBC Data Sources are defined.
FleetManager automatically sets the correct definitions for the FleetManager data source on each user PC during the
installation. For a local installation a data source with the name FleetManager_2.0_Local is created. For a network
installation it is called FleetManager_2.0_Net. You only need to change these definitions, if the location or the name
of the database file change or if you want to use a different name for the data source.

2.3.1 Set up of a data source


To set up or modify a data source definition use the ODBC Data Source Administrator of your Windows system.
This standard tool is found in different locations in the various versions of Windows :
· Windows NT: Start / Settings / Control Panel, then “Data Sources (ODBC)”
· Windows 2000: Start / Settings / Control Panel, then “Administration” and under administration “Data Sources (ODBC)”

· Windows XP: Start / Settings, in settings switch to “classical view”, then “Administration” and then “Data Sources
(ODBC)”
If you have installed Sybase during the installation of the FleetManager software you will also find the tool under:
· Start / Programs / FleetManager / Sybase / Adaptive Server Anywhere 7 / ODBC Administrator.
The ODBC data source administrator displays all data sources that are defined on your system (not only those of the
FleetManager!). In the section “System-DSN” you will find all databases available on the system.

To create a new definition, click on “Add” and select “Adaptive Server Anywhere 7.0” from the following list of database
drivers. To edit the marked existing definition, click on “Configure”.
The following dialog window is specific for Sybase Adaptive Server Anywhere:

Enter the desired name of the data source on the register “ODBC”. This name is independent of the corresponding database
file. Leave all other settings as shown in the figure.
On the register “Login” no changes are required. FleetManager uses an internal user name and password from the
application.
The entries under “Database” and “Network” depend on whether you want to use a Local or a Network database. For the
details, please refer to sections 2.4 (Page 19) and/or 2.6 (page 21) below.

2.3.2 FleetManager and data source


The FleetManager will find the database only by the name of the data source! For the software itself, no entries concerning
the database file or a central computer are necessary.
If you change the name of the data source this change must be registered for the FleetManager.
This is done in the Windows-Registry: Start the program regedt32 (Start / Run) to edit the registry. If your Fleet Manager
installation was not done completely local, you will probably need administrator rights on your computer system for this.
At the entry HKEY_LOCAL_MACHINE / SOFTWARE / STILL / FleetManager / Database change the value “data source”
and set it to “ODBC;DSN=MyFleetManager“ where MyFleetManager is the name you selected for your data source.

2.4 Local database
If you use the FleetManager database locally on your computer system, the database file is directly entered in the data source
definition. In this case ODBC “hides” the name and the path of the database file from the application. The application only
sees the data source name a shown in the following figure:

If you want to change the name and the location of the database file, do this on the register “Database” in the ODBC
configuration dialog window (see 2.3.1, Set up of a data source, page 16) in the field “Database file”. Note that the path
entered must refer to a local drive on your computer system!
All other entries remain empty. The check marks for the option fields must be set.

2.4.1 FALSE network database
In principal you could also enter a database file on a computer in the network in this field. This would mean that you have a
database in the network giving access to several users at the same time as the following figure shows. However, then crucial
mechanisms to synchronize the accesses would be missing! Therefore you should always use the method described in section
2.6 Network database (page 21)!

2.5 Database server


A database server makes your database centrally available on a computer in the network for simultaneous, multiple access of
several users and client computers. For this your database file is registered at the database server. It “hides“ the name and the
path of the database file from all computers in the network. The application will only see the name of the database service.
For this Sybase Adaptive Server Anywhere 7 must be installed on the network computer. The FleetManager installation
provides the database file of the FleetManager at the usual path. Further components of the FleetManager are not required on
the server, if it is exclusively used as a server.
The driver or the directory of the database file must not be shared for the network, this task is done by the database server.
To allow the database service to start at any time, this service must be setup with administrator rights. During the
FleetManager installation, the necessary commands are set automatically. If you want to set up the service yourself, open the
Windows prompt and enter the two following commands:
dbsvc -as -t network –s automatic –w FMNet "dbsrv7" –n FMNet "...\fleetmgr.db"
net start "Adaptive Server Anywhere – FMNet"

dbsvc defines a service on the server with the following properties:


· It will be launched under the current user account (-as)
· It is available on the network (-t network)
· It is launched automatically when the current user logs in (-s automatic). (If you enter “manual“ here, you have to
repeat the following “net start” command at each new log in.)
· The name of the service is “FMNet” (-w FMNet)

· The service itself starts the database server dbsrv7 by Sybase
· The database server runs under the name “FMNet” (-n FMNet)
· The database server uses the database file named at the end of the complete path.
Note: To avoid complication, the name of the service (-w) and the name of the database server (-n) should be
identical. FleetManager also uses “FleetManager_2.0_Net” during the installation.

Start the defined service using net start and stop it with the command “net stop”.

2.6 Network database


If you use the FleetManager database from a central network computer, the name of the database server is directly entered in
the data source definition. In this case ODBC “hides” all information concerning the central computer and concerning the
details of the database server from the application. The application only sees the name of the data source as is illustrated in
the following figure.

If you want to change the name of the database server, change the entry in the field “Server name” on the register “Database”
in the ODBC configuration dialog window (see 2.3.1, Set up of a data source, page 16).
All other entries remain empty. The check marks for the option must be set.

If you want to change the entries concerning the network computer, open the register “Network”. Usually the networks base
on the TCP/IP protocol. The corresponding check mark must be set.

You can omit the details concerning the network computer, if the access rights on your network are set such that they allow a
client computer to search for a database service and if your network is not so large that the search would take too long.
If you want to guarantee a fast and direct access, enter the name of the network computer in the field Host and its port
address under Port as shown in the field ”TCP/IP”.
Note: If the port addresses are assigned dynamically on your network, or if they change often for some other reason,
make sure that the database service can be found without the exact address of the server as well.

2.6.1 Search for databases


If you do not know the exact host name or the port address of the database server for the FleetManager on the client
computer, you can use the Sybase utility dblocate to retrieve the necessary data. For this open the prompt and enter
dblocate. This will render a list of all Sybase databases currently provided on the network together with the addresses. For
example:

2.7 Backups
You are responsible for regular backups of the FleetManager database yourself!
Here it is sufficient to create a backup copy using the usual means of the network you are working on. Depending on the
backup system used it may be necessary to stop the database service. Running FleetManager applications normally do not
require stopping. FleetManager recognizes the lost connection to the database and automatically tries to re-establish the
connection.
