Tax clearance - FAQ

1. When will I receive the tax clearance documents?


Answer: The tax clearance documents will be issued to you 2 weeks prior to your termination
date.

2. How do I receive the tax clearance documents?


Answer: HR will send the tax clearance documents via email.

3. What are the tax clearance documents that will be provided by HR?
Answer: Refer to tax clearance checklist (as applicable).

4. What are the next steps after I have received my tax clearance documents?
Answer: Complete manual BE form (remuneration please refer to EA form Year 2020 & 2021)
and submit all the required documents to your tax file branch.

5. When is the timeline to submit my tax clearance documents?


Answer: Please submit to your IRB branch as soon as you completed the consolidation of the
required documents. Payment for schedule 1 & 2 will be withheld until we received the tax
clearance letter.

6. Where can I download the past years EA form?


Answer: eHR login: https://ehrs.boardroomlimited.com/default.aspx

7. Refer to tax clearance checklist item No 5 “Copies of EA Form for last 5 years”. If my working
experience is less than 5 years, how many EA forms should I submit?
Answer: submit your EA form from the 1st employment up to now (whichever that is
applicable).

8. If I have different employment in the past 5 years, how many EA form should I submit?
Answer: EA form for last 5 years (as applicable).

9. How can I obtain the past years EA form prior to joining BT?
Answer: Please contact your former employer if you do not have a copy.

10. If I do not meet the tax deduction requirement, do I still need to do tax clearance?
Answer: Yes, the redundancy payment is a lump sum amount so it is mandatory to complete
the tax clearance before BT can release the withheld payment to you.

11. If I declared my income tax via IRB e-filing system, but I did not keep the previous e-form, what
should I do?
Answer: Login to ezHASiL
Click on: Service -> e-Filing -> Acknowledgement Receipt. Please enter the form type and year
of assessment. Then print e-Form.

12. I am not sure how to fill up the BE form to declare my remuneration, who should I reach out
to?
Answer: Refer to Explanatory note 2019, otherwise please reach out to IRB for further
assistance at 03-8911 1000.

13. How can I check my tax file branch?


Answer: please check via this link: http://edaftar.hasil.gov.my/semaknocukai/index.php

14. Is it mandatory to submit all the tax clearance documents physically to IRB branch?
Answer: Please check with the respective IRB branch if email or post is acceptable.

15. How soon will IRB process my application?


Answer: If all the documents are in order and your file with IRB is updated, IRB may be able to
process and issue the tax clearance letter within 14 working days. However due to CMCO, it
is best to check with the IRB branch.

16. I have submitted all necessary documents to IRB for my tax clearance, but yet to receive
update from IRB after 14 working days. What should I do?
Answer: Follow up with IRB branch which handle your income tax file, refer this:

17. How can I obtain my tax clearance letter?


Answer: You may request the IRB officer to send via email as snail mail might take longer for
you/ the company to receive the tax clearance letter.

18. Once I received tax clearance letter, do I need to submit hardcopy of the tax clearance letter
to HR?
Answer: You are required to email a copy of your tax clearance to HR at hr-btkl18@bt.com

19. If I have outstanding taxes stated in the tax clearance letter, what should I do?
Answer: You are not required to make any separate payment to IRB. The outstanding taxes (if
any) will be deducted from the withheld payment. The remaining amount of redundancy
payment will be released to you.

20. Will I get tax receipt for the outstanding taxes payment?
Answer: We will email a copy of tax receipt to your personal email address.

21. When can I expect the withheld payment to be released after I have provided tax clearance
letter to HR?
Schedule of payment:
Notify HR Payment
On/before 15th of the month On Payday. i.e 26th of the month
After 16th of the month 7th day of the following month.
i.e HR received tax clearance letter from employee on
17th Jan 2021, withheld payment will be released on 7th

23. Do I still required to do personal tax filing (i.e-filing) for Year assessment 2020 & 2021?
Answer: Yes. EA form will be email to your personal email by end of February 2021 & February
2022 respectively.
