The importance of a well-designed student record system guarantees that information is

easily accessible to operate the educational system successfully and meet the demands of
students. The length of time students must wait to receive their marks from the registrar's office
is one of the many problems they face. A group of students waiting for the release of their grades
can be seen gathered in front of the registrar's office. Every student's record is managed
manually, and only paper is used to keep track of each course. The office does not currently
manage or track the issuance of grades using a computer. If the office staff wants to review each
student's academic records, in particular their grades, they will need to look for and retrieve their
record individually.

The manual system is very laborious and time-consuming. The entire school depends on
a single person for maintaining the student records. These days, a file management system is
used to maintain data records. The data are consequently not stored in a single location. It takes
more time to maintain records properly as a result. The technology is also unable to handle any
type of data integrity. Student grades are manually maintained by the registrar's office. Due to
faulty student record filling, there have been occasions where grades have vanished or been
misplaced. Occasionally, students act strangely without the registrar's employees or even the
subject-area professors being aware of it, such as changing grades.
