HOW TO WRITE A

PROPER EMAIL

SUBJECT LINE
It is the first part of the email that your reader sees. It
should be specific and short (6 to 10 words).

SALUTATION
It is the way you greet the reader. Here are some
examples of salutations:
If you send the email to a group: address the
entire group > Dear students,
If you know the person's name: use any title the
person has and their name > Dear Professor Smith,
If you don't know the person's name: address the
email to the title of the person you are writing to >
Dear Human Resources Director,
If you don't know the person's name or title > To
whom it may concern,

BODY TEXT

This is the main message of the email, including an


introduction and a conclusion. It is important to be
clear and concise. Use proper grammar and complete
sentence structures.

CLOSING & SIGNATURE


It contains the last thing your reader looks at. It also
allows the recipient to know who you are since it
should include your full name, contact information
and your title. It may be a good idea to use a
professional signature template.

(Kind) Regards,
Thank you,
Respectfully,
