In order to streamline the system and keeping in view revised timings for preparation of reservation charts, the timings for submission of requisition slips for release of Emergency Quota (EQ) have been revised and now duly signed and diarised request for release of berths out of EQ for all trains leaving upto 1800 hrs, including Shatabdi, Rajdhani and Duronto Express trains should reach the reservation office on the previous day of the journey. The requests for release of accommodation in trains, for which the Emergency Quota is to’ be released on holidays, should be given on the previous working day. Other instructions contained in Office Order No. 12 of 2015 shall hold good. 3. In view of this, itis reiterated that the following may please be ensured. @ the written requests for release of berths/seats out of emergency quota must be signed by a Sr Scale Officer and above (except when the concemed officer or his/her immediate family members are travelling); (i) in all the requisitions received for release of berths out of emergency quota, the signatory should be asked to mention his/her telephone no./mobile no, (iii) it would be the responsibility of the person signing the requisition to ensure the credentials of the party travelling and shall be fully responsible for the same. (iv) __ with a viow to prevent the malpractices, reservation requests received from various quarters should be checked from time to time and in cases where there is doubt about the genuineness of the request/letter, the position may be checked up by speaking to the person concerned on phone for ensuring the genuineness of the requisition. 3. The requests received in respect of various officers visiting Delhi on duty should be sent through the staff of Railway Board officers. 2.9, Requests for release of Emergency Quota received in writing will be entertained and telephonic requests/requests through SMS for confirmation of reservation out of erhergency quota will not be entertained. 2.10 Staff deputed by Ministers’ Secretariats for clearance of reservation requests Gropped in the Drop Box kept at the Railway Board main entrance, shall ensure that the last clearance of these requests shall be done by 1800 hours and thereafter the next clearance should be done only in the next morning after 0900 hours. 2.11 A formal format for reservation request is attached as Annexure-1.
