Project Overview (Problem Statement)

The Mayo Clinic is an American nonprofit academic medical center currently

based in three major locations, Rochester, Minnesota; Jacksonville, Florida; and
Scottsdale, Arizona focused on integrated patient care, education, and research.
Mayo Clinic holds the number 1 rank among hospitals in the United States.

It was opened on the 30th of September 1889. Over the years it grew in size and
facilities. It increased the size of its premises and also the number of doctors it
employs. The vast number of patients it treated made management of such a huge
hospital an arduous task. The paperwork and storing of all patients’ records was
becoming unmanageable. It was then the management of the hospital decided to
invest money in a hospital management software. The Hospital Management
System is designed to manage all hospital operations.

The 1980s initiated transformative changes that set the course for the modern
Mayo Clinic. As an early adopter of the Internet, Mayo Clinic has been recognized
for its online communications to patients.

Note: Hospital Management System is hereby referred to as HMS.

Business Analysis Core Concept Model (BACCM)

Element Project Requirements

Need Managing such a large number of paperwork was becoming
increasingly challenging as the clinic's size and facilities
expanded. The clinic needs hospital management software to
assist it in managing all hospital activities.
Change Implementing an online Hospital Management System (HMS) to
improve efficiency by:
● lowering operational expenses

3
● providing reports to high management for better
decision-making
● enhancing inter-departmental coordination
● saving patients' and workers' time
● keeping medical information of patients safe and secure in
the cloud
● maintaining track of the hospital's bed occupancy
● facilitating access to patient data
● minimizing hospital documentation
Solution ● Users have access to a web-based administration system
built using the MySQL database .
● The system must be able to accommodate at least 500 users
and reply in less than one second.
● Employees will be able to simply utilize the system to
monitor
❖ current patient data,
❖ bed occupancy,
❖ request tests from other departments and check
results,
❖ handle billing duties,
❖ create/edit new patient data,
❖ manage ward staff shifts, and
❖ review generated reports as and when needed.
Context As hospital capacity and facilities have expanded, so has patient
data. The existing approach is inefficient for storing and managing
such massive amounts of data.
Value Value will be added in the HMS with:
● lower Operational Costs
● in-depth data about employee accessible easily
● saving patients' and workers' time
● better decision making by providing senior management
● a record of the system's available and occupied beds

RACI Matrix is used for identifying the responsibility of each stakeholder

involved in the process :
● Responsible (R): the persons who will be performing the work on the
task

successful completion of the task and is the decision maker

● Consulted (C): the stakeholder or stakeholder group who will be asked

to provide an opinion or information about the task

● Informed (I): a stakeholder or stakeholder group that is kept up to date

on the task and notified of its outcome
