Introduction – PR Office

• PR Office - Public Relations Office.


• Location: Unitech Admin Building.
• Role of the PR Office:
The role of the Public Relations Office mostly is
to effectively market the University in a positive
way through its delivery of Press Releases;
through its hosting of important university events
and through its daily communication with
members of the public, private entities and
corporate clients.
Media
❑What is Media?
Media is the communication channel through
which news, entertainment, education or
promotional messages are disseminated.
❑Types of Media
Modern media comes in many different formats, including print
media (books, magazines, newspapers), television, movies,
video games, music, cell phones, various kinds of software, and
the Internet. Each type of media involves both content, and also a
device or object through which that content is delivered.

❑Media Usage in the Workplace

➢ All organizations require the use of the media.


➢ The use of media in the workplace is purposely to positively
market the organization to the world.
➢ Corporate companies rely heavily on the use of print
media, television, radio and the internet to effectively market
its products.
➢ Government departments mostly use print media and the
radio for publicity of projects and service delivery.
➢ Educational institutions such as Unitech rely on the Internet
and print media to promote the programs and events
happening within the university to the wider audience.

❑What is the Internet?
-Internet is simply defined as
“The Global Communication Network that allows all
computers (mobile phones) worldwide to connect
and exchange information.”
-The Internet brings the world closer to you.
❑Main Internet Services

The most popular internet services you will find are:

1. The Electronic Mail (Email)


2. World Wide Web (www)
3. File Transfer Protocol (FTP)
4. Other Internet Services

1. The Electronic Mail (Email)


i. The e-mail works like regular mail to some extent, except that it
is a lot faster, cheaper, and is unlikely to be wrongly delivered.
ii. The user must specify the address of the recipient and then
editing the message before he/she sends out the mail.
iii. E-mail is a powerful tool that’s simple to use & easy to
understand.
iv. Using an e-mail gives you a real feeling for the energy & reach
of the internet.

v. You can communicate as easily with someone across twelve time


zones as with someone in the same building.
vi. Your message can be limited to just one person, or it can reach
hundreds of recipients.

2. World Wide Web (WWW)

i. World Wide Web or simply ‘web’ is a subset of the internet.


ii. The Web consists of pages that can be accessed using a web
browser (such as Google Chrome; Internet Explorer).

3. File Transfer Protocol (FTP)


i. FTP stands for "File Transfer Protocol." In simple terms, it is a
technique for transferring files between computers on the Internet.

ii. FTP is an Internet service that anybody can run which is


used solely for transferring files.
iii. It’s faster and more reliable, which is why we use it for large
files.
iv. It also has the ability to resume uploading if you decide to
finish uploading at another time, and can upload batches of
files.

4. Other Internet Service


i. Use of Search Engines for information.
ii. Voice Over IP – it works like the telephone using a
microphone connecting to a computer.
iii. Peer-to-Peer file sharing – computer to computer.
iv. Instant Messaging – chat online using text messages.

❑ Internet Usage in the Workplace


Internet is essential to our daily operations

▪ Internet allows us to easily communicate through


correspondence.
▪ Internet allows us to effectively market the university programs
and events.
▪Internet allows us to gain new information about a person,
company or a place.
▪Internet allows us to keep up to date with information.
▪Internet allows us to organize venues for events and make
bookings for travel.

❑ Internet and Media Usage in the Public


Relations Office
Generally we use the Internet & Media to positively market the
university, its programs and its students.
➢ One such way is through print media publications. For print
media, the following options are used:
1. Reporter: A monthly publication that is produced by the PR
Office to feature campus news, academic research, student
profiles and general information.
2. The Daily Newspapers: Stories of events happening within the
campus plus Press Releases are sent to the media contacts for
publication in the paper. This information is emailed mostly due
to publication deadlines set by newspaper agencies.

3. Other University Publications:


This includes publications like the Huon Seminar Proceedings that are
uploaded on the Unitech Website.

➢ Another way we use the media is through radio broadcasting of our


programs on campus. The required information for dissemination is
passed through our radio media contacts for airing.

➢ The internet through the Unitech website is used to upload


information, applications, publications and press releases for public
consumption.

➢ Television is another media option that the university is thinking of


venturing into to promote its programs however this would require
qualified professionals for video production as well as the
availability of money to carry out the project.
Classic Examples of Internet & Media Usage in PR Office

❑Huon Seminar
✓The Huon Seminar is a Lecture held every two years.
✓The event is organized by members of the academic departments who form the Huon
Seminar Organising Committee.
✓The Executive Officer (EO) is the only non-academic professional in the Committee. The
role of the EO is always occupied by the Public Relations Officer.
✓The Role of the EO is to ensure that the preparations for the seminar are on track and of
the highest standard.
✓This means that the use of the Internet, Email and the Media play a huge role in the
success of the seminar.

❑Alumni Office
✓Alumni Office comes under the directorship of the Public Relations Office
✓This Office is responsible for developing an Alumni database, establishing ties with our
Alumni and creating and maintaining networking opportunities between members of the
Alumni and the University.
✓The Internet, Email and the Media play a huge role in the Alumni Office due to the fact
that most Alumni are working across PNG and broad.

❑University Events
✓For every other university events such as the Orientation, Graduation, Open Day, Career
Fair and other important visits by Delegates, we also require the use of the Internet and
Media.
Issues arising from unavailability of the
Internet & Media

➢ When the internet is down, emails are not received or sent.


➢ Work progress becomes extremely slow.
➢ Public are unaware of the University’s progress.
➢ Students and staff have difficulties in accessing information.
Issues arising from the inappropriate use of the Internet & Media
➢Bad publicity given to the public about the university.
➢In email usage:
•sending emails based on opinion which can cause disharmony
in a working relationship.
•Wrong message sent to the wrong person can cause the
message receiver to be upset or suspicious.
➢Internet usage:
•when messages and pictures are posted to bring ridicule to a
person or organization.

• In the workplace, the Internet can be seen as a media outlet

➢ In sending emails, be sure to re-read the message and
ensure that the correct address is written.
➢ Word your emails properly, ensuring correct grammar is
used and the message is easy to understand.
➢ Conduct yourself in a respectable manner both in private
life and public life; be good ambassadors for the
organization you work for.
