Ms. Watson:

Seventeen carefully packed Old 'London lamppost lamps should reach your sales floor in time for
your Saturday promotion. Our driver left our warehouse today with instructions to special deliver
them to you on Friday. Because your satisfaction with our service and products Is our top priority,
we have thoroughly checked our shipping procedures. It appears that the shipment to you was
packed by a temporary employee who was filling in for a hospitalized veteran packer. We now have
our veteran packer back at work and have taken measures to ensure better performance by our
temporary staff. As you know, the Old London lamppost lights have become one of the hottest

Order Acknowledgments Letter

Acknowledgments arc sent to let people who order goods know the
status of their orders. Most acknowledgments are routine. They simply
tell when tue goods are being shipped. Many companies use form or
computer-generated messages for such situations. Some use printed,
standard notes with check-off or write-in blanks. But individually
written acknowledgments are sometimes justified, especially with ,
new accounts or large orders.

What is a Claim letter?

• A claim letter is a formal notice that puts another

project party on notice of a contractor's claim for
damages. ... After project meetings and informal
conversations requesting payment, writing a
claim letter is an important next step to pursue
payment.
How do you write a Claim letter?

• Explain the specific details or circumstances of your

claim. Make sure to mention all the significant facts
about the claim. State the amount you intend to claim
or the action the reader should take along with the date
they must carry out such actions. Attach any documents
relevant to your claim.

Subject: Invoice 4f3712 (for Sutton Party on 12112/10)
Dear Ms, Sanchez,

I held my company's annual holiday party at your facility on the evening of December 12. I have now received the in for the event, in the
amount of $1,410. While the food was exceptional, I am sorry to say that we did not have a good experience. The room we were given for the
event was Salon C. As you know, the room has no windows and is not one of your more attractive rooms- Because we had made our reservation
two months in advance, I had hoped for a more pleasant environment for this special event. The location also had the drawback of making the
temperature hard to control. The servers were sympathetic but were apparently unable to keep the room from getting too warm. This made
for an uncomfortable evening for my 27 employees. It also appeared that not enough servers had been scheduled for our party. The fare was
elegant, but it was served with such ragged timing that some guests had finished eating before others had even started. We also had to start
the after-dinner program in the !'o of the meal. Overall, the event was not a very impressive thank-you to my hard-working employees. In
light of these circumstances. I am requesting a revised invoice of $1,000. I believe this is a fair amount for an experience that I am sure did
not -represent the Regal's typical level of customer service.

Sincerely yours,
Jeff Sutton,

What is you-view point?

• Writing from the you-viewpoint (also called you-attitude) is another technique for
building goodwill in written messages. As you will see in following chapters, it focuses
interest on the reader. Thus, it is a technique for persuasion and for influencing people
favorably. It is fundamental in the practice of business communication. In a broad sense,
you-viewpoint writing emphasizes the reader’s interests and concerns. It emphasizes you
and your and de-emphasizes we and our. But it is more than a matter of just using second-
person pronouns. You and your can appear prominently in sentences that emphasize the
we-viewpoint, as in this example: “If you do not pay by the 15th, you must pay a
penalty.”
Example ‘You Viewpoint’
