FOLDER MANAGEMENT & SETUP

Files are grouped in an easy to use interface


• To open a file or drawing simply click on it to view
• To preform other function, click on the 3 dots

SUBSCRIBING TO FOLDERS

• Users will only see folders they have been


granted access to
• Subscribing to folders allows you to get
notified when their contents have changed
• Team members can click the three-dot icon
next to specific folders and select the
“Subscribe” option.
• Select the option for “This folder and all
subfolders” to get notifications for
subfolders, even those added later.
• By subscribing, the team member will be
notified via email any time an update is
made to this folder (e.g. when a new version
of a file is uploaded).

UPLOADING DOCUMENTS

• Navigate to Design Stage


Drawings folder
• Select Correct Sub Folder
• Upload by ‘drag and drop’
• Upload files from your PC
folders

TRANSMITTALS

A Transmittal is a formal means of sending project drawings, models and other


documents to another project member.

Within Document management, this formal sharing of information comes with a few key
aspects

• Notifications for sending and receiving


• Instructions or a description of the transmittal and any required actions
• A list of the content included in the transmittal and access to that content
• An audit trail tracking the nature of the transmittal including specific document
versions included, the members involved in the transmittal, and when any actions
around the transmittal took place
• A shared record of the transmittal itself
• Transmittals are created form the folders view within document management.
• After a transmittal is created and sent, it appears on the transmittal tab

TRANSMITTALS

• Navigate to the folder you want


to create the transmittal from
• Select the checkbox for the
folder or documents within the
folder and click create transmittal
• In the create transmittal dialog,
enter a title for the transmittal
• Specify the recipients of the
transmittal. (Individual members
/ Roles or Companies)
• Add a message if necessary
• Click create
• Recipients are notified via email
when the transmittal is ready to
view

TRANSMITTALS

• After the transmittal is created it is visible on the Transmittal tab in Document Management.

From here you can:


• View the transmittals
• View the documents contained within each transmittal
• View the sender and recipient of the transmittal
• Download the documents contained in the transmittal

To do so:
• In Document Management, switch to the Transmittal Tab.
• Click a column header to sort the list of transmittals, or use the filter drop down menu to filter the
list by initiator
• Click a transmittal from the list to open the transmittal details
• Review the details of the transmittal for the sender and recipient in the right panel
• Time and date the transmittal was sent and received
• The parent folder the documents contained within the transmittal
• The message included from the sender of the transmittal

CREATING PROJECT LEVEL RFI’S

• Project Level RFI’s are


RFI’s not associated with
a document or model
• Within the Project
Management module,
select the RFI’s Tab and
click “Create RFI”
• Fill in the required fields &
hit create.

CREATING RFI’S ASSOCIATED WITH A DOCUMENT OR MODEL

• In the Document
management Module,
open required drawing or
model.
• In the RFI Panel, select
create RFI, click where
you want to place the RFI
on the drawing and a
push pin will appear.
• Fill out all required field.

REVIEW & RESPOND TO RFI’S

• The relevant person will receive an


email notification.
• Open the email and select “View RFI”.
You will be directed to the RFI and
associated documents.
• The reviewer can add additional co-
reviewers, comment, attach
documents.
• Then submit the official response.
• You can also review and respond to
RFI’s using the RFI’s Tab within
Project management.

SUBMITTALS

• In the Project management module,


select Submittals tab
• Create new Submittal item, enter in all
necessary information, spec section
Type, Title and assign to Manager
• Submittal Manager then submits to
reviewer
• Reviewer selects a response and
issues back to the manager, the
manager then notifies the relevant
contractor

DESIGN DRAWING APPROVAL / REVIEW PROCESS

• All approval reviews are stored


under the review tab.
• You may either:
– Initiate a review against the pre
defined approval workflow.
– Or react to a review as an
approver.
• To start a review process: select
one or more drawings, click on the 3
dots to bring up “Submit for Review”
option, select correct approval
workflow, submit and wait for the
response within the pre-set
timeframe
• Note: Reviews are single use and
cannot be revised or re-
submitted.

CONTRIBUTE TO DESIGN DRAWING APPROVAL / REVIEW
PROCESS
• Receive an email notification.
• Go to review and:
– Start the review
– Open the document
– Use the mark-up tools to
annotate the document
– Comment to add narrative to
your mark-up
– Assign an approval status (A / B
or C)
– Submit Review & Add any
additional notes.

COMPARING 2D DRAWINGS

• Navigate to the file you want to


compare versions of
• Open in viewer and select compare
• Choose versions to compare
• By default the versions are Red and
Blue (use arrows to align if necessary)
• Or select side by side to dynamically
compare

How to Compare Drawings

1. Select drawing
2. Select Compare drawings (2 arrows
facing in the opposite direction)
3. Select Compare
