how to

delegate
effectively

One of the biggest challenges
when you become a manager, is
when and how to delegate.

As a leader, you'll never have

enough time.

To be more effective you need to

prioritize, delegate, and empower.

Let's dive in.

When to Delegate
The main question you will face
is when to delegate.

It can be looked at in 2 ways:

Task Importance Task Urgency

Task Importance: activities

have an outcome. Typically
are longer-term goals and of
strategic value.

Task Urgency: based on

deadlines, these usually
demand your attention now.

How to delegate
To do this effectively, consider
3 key elements:

Outline the vision

Provide the resources & guidance

Describe your definition of "done"

1/ Outline the Vision
When delegating, you must be
clear about setting expectations
and your vision for the tasks.

Never assume.

Good and clear communication

are necessary elements to
ensure success.
Elements to nail your vision:

What do you want done?

What’s your vision for

completion?

Why are we doing this?

When are we starting this

task / project?
What are the milestones along

the way?

When is the ultimate deadline?

Can you show a sample of what

success looks like? A

screenshot, video, etc.

2/ Share the Resources
It's your responsibility to ensure
the person tasked with the task
or project has the tools and
resources they need to
succeed.
If the person doesn't have the
tools and skills they need to
complete the task, provide a
way for them to work on those
skills.
Resource list:

Access: online – website

passwords

Access to credit cards,

PayPal/Stripe accounts

Expertise: “how to” courses,

blog posts, training sessions

Software
Systems / Checklists

Decision-Making Guidelines

Approvals and/or Authority

Hours allocated to complete

Storage – online / physical

3/ Definition of Done
Explicitly share what you need in
order to say this was successful.

Create and monitor the schedule

Specifications of finished project

(ex. image exported to JPG, 300 x

300 pixels)

Sign-offs
Store the files in Dropbox in "X

folder"

Quality-Assurance Checklists

Delegation is a great way to
build your management skills
while supporting your team's
development.

To set your team up for success,

make sure you clarify the priorities
and that they have all of the
information needed to do the task
correctly.
