BUSINESS LETTER WRITING (FORMAT)

This is an easy to remember and widely accepted format. All parts of the letter are aligned with the left margin. The first part is the senders address without name. This is followed by the date two spaces below the last line of the address. The full address of the person or organization you are addressing the letter to should be written 2 spaces below the date. This is followed by the salutation. It is placed 2 spaces below the inside address. The subject line if needed is typed in a double space between the salutation and the body of the letter. The body of the letter is where you need to pay most attention. Write in short, simple but grammatically correct sentences. Avoid clichs and write in active voice. Avoid negativity; maintain a courteous but not overtly polite tone. Keep the paragraphs short. In the concluding paragraph, clearly state the action you expect the reader to take or indicate your expectations, wishes or intentions. The complimentary close is typed 2 spaces below the last line of the concluding paragraph. Leave 4 spaces for your signature and type your name. This is another widely accepted format of letter writing. In this format, the senders address and the date are written in the top right hand corner. The subject line has been omitted because the reference is mentioned in the opening sentence of the letter. All other parts remain the same as in the previous letter. You may use either of these two formats. Now that you are clear about the formats, please focus on improving the content in the body of the letter.
