Abstract
This Web Based Performance Evaluation System is a simple project that can help AMU in
evaluating the performance of their employees based on their task accomplishments. We try to
develop the system which evaluate the employees' by their efficiency, timeliness, quality, and
employees' accuracy to accomplish a certain task that is allocated by the faculty. Currently the
evaluation system of Arbaminch University is not fully computerized since it needs a lot of man
power, resources and time to manage the records and evaluation process. And human mistake is
unavoidable while the workload is increasing. Therefore we motivate for the developing of
performance evaluation system, which making their evaluating the performances of the
employees form paperwork into automate system. Generally we tries to develop a web based
performance evaluation system that facilitates the various activities that are takes place in this
university.

Arba Minch University is based in South-West Ethiopia. The University was initially founded as
the Arba Minch Water Technology Institute (AWTI) in 1986, and retains its reputation as a
center of excellence for Water Technology in Eastern Africa. The University was officially
inaugurated in June 2004 and offers both undergraduate and graduate programs, with academic
areas structured as Arba Minch Institute of Technology, College of Agriculture, College of
Business and Economic, College of Natural Sciences, College of Medicine and Health Sciences
and College of Social Sciences and Humanities. Currently it has six campus one at sawula
which is 196kms far from the South West of Arbaminch town, the second campus is Abaya
campus, the third campus is kulfo campus ,the fourth campus is Chamo campus, the fifth campas
is Nechsar campus, the sixth campus is Main campus which are located around the South west of
Arbaminch Towns..The University is currently undertaking an ambitious program of expansion
and is targeted to develop from 8,000 registered students in 2008 to 24,000 students in 2015.

Arbaminch University aspires to be one of the leading higher educational institutions in the
country and a center of excellence in the area of water resources in Eastern Africa.

Arbaminch University has a mission of promoting democratic thinking, offering high quality
education and training, conducting demand driven and problem-solving research and
consultancy, and rendering community service in order to contribute to the development
endeavors of the country.

21.1. Statements of the problems


In the existing system the data or most of the evaluation records are kept in manual formats, as a
result it is difficult to search and find the record after a few years. It also takes more time to
search files from a larger records of files.

Some of the main problems that we observe in the existing system are the following:-

 It takes more time to search the previous evaluation result from the large records of files.
 It needs a lot man powers, and resources.
 Sometimes the Evaluation is not going on time.
 Sensitive evaluation files may be lost because it is paper based.

 There may be Data redundancy or duplication of data.


1.4. Objective of the project
1.4.1. General Objective
The general objective of the project is to design web based performance evaluation management
system for Arbaminch University.

1.4.2. Specific Objective


To develop a system that enables to control and manage the performance of employees
To develop real time web based performance evaluation system by php programming,
Laravel Frame work and our data base management system, by using them at front end
tool and back end tool respectively.
To be able to generate a report easily and timely to concerned body
To develop a secured system
To develop a system that enables only authorized user can add and modify evaluation
criteria
To develop a system that enables the administrator to can view evaluation results.
To develop a system that enables to register and modify teachers and students.

Scope defines the coverage areas of the project, activities and operations done by the system.
The project team needs to develop web-based performance evaluation management system for
Arbaminch University.

1.9. Feasibility of the Project


A feasibility study is an analysis that considers all of a project's relevant factors including
economic, technical, legal, and scheduling considerations to ascertain the likelihood of
completing the project successfully. It is an ongoing process done frequently during systems
development projects in order to achieve a keeping commitment from the user and to
continuously assess the current status of the project.

1.9.1. Operational Feasibility

1.9.2. Economic Feasibility


The proposed system is not expensive. The project team believes that the system is going to be
implemented with the available resources in the department since the department has been
interested to enter this web-based performance evaluation management system. Since this project
is going to be computerized system, there is reduction cost for material that used for manual
operation such as cost of paper and pen, save time and make comfortable working environment
for the users. Hence, our system is economically feasible. Tangible benefits: our new system
gives tangible benefits that can be estimated in terms of money which means the benefit is real or
actual rather than imaginary or visionary. For example, improving fast and easy application,
producing errors free output like generating evaluation report, facilitating searching of different
information like teachers performance, and student information etc.
Intangible benefits: are benefits derived the creation of an information system that cannot be
easily measured in money and consistency. The intangible benefits of the new system are:

 Increase in accuracy of evaluation detail information.


 Faster decision making by searching records from database.
 Increase security by providing authorized user can access.
 Reduce workload of the organization system user’s faster decision making by searching
records from data base.
 Increase efficiency of performance evaluation management system performance.

1.9.3. Legal Feasibility


The proposed system is legally feasible since it doesn’t contradict government rule and
regulations. In addition to this, the project coordinators and our advisors appreciate and accept
the project ideas as well as they are ready to implement it. The project does not break the law
that means all functionality supported in our system is legally allowed so the system is legally
feasible.

1.9.4. Technical Feasibility


The system which we developed will be technically feasible. The system is technically feasible
since the teams developed it easily by using simple programming languages and software’s like:
html, JavaScript, MYSQLI and Laravel frame works. These languages are simple, open source
and already known, so the team developed the system easily. We expect that, the system can be
operated in simple way and all users can access easily by giving simple training for them. It
doesn’t require any technical expertise and can be integrated with the existing system.

1.10. Methodology Used


1.10.1. Data Gathering Methodology
Data collection is the most important part of the project to find the main requirement of the
system and to understand how the system does and also to understand how the overall
organization work flow looks like. Some of the methods that we apply to collect relevant information
are: -
a. Document Analysis

To understand the existing system, we collect more information by referring internet, documents
and other reading materials about the performance evaluation criteria’s of the university. It helps
us to design and organize our project.

1.10.2.Software Development Methodology

For the purpose of the development of this project, the team members used different software
and hardware tools, which can be identified as hardware requirement and software requirement.

 Hardware requirement tools We used the following hardware tools: Computer: To do


different activity or applications.
 Processor: Intel(R) Core (TM) i3-4160 CPU @ 3.60GHz, 3600 MHz, 2 Core(s), 4
Logical Processor(s)’
 RAM: 4GB Flash disk (16GB) :To store data. The data in the computer may be lost
because of different cases and to take available data from different sources.
 Software requirement tools We use the following software tools:
 Microsoft office word 2019: -To write this proposals
 EdrawMax: - To draw different UML diagrams such as use cases, sequence diagrams,
activity diagrams, class diagrams…….and so on.
 Editor: - Notepad++, notepad, Sublime for writing programs or codes Web Based
Performance Evaluation Management System for Arbaminch University.
 Browser: -chrome, Firefox, opera, UC browser, Internet explorer used to run the
program.
 HTML: for developing the client side or the user interface.
 CSS: performs the designs of the interface and performs the design layouts.
 SQL: is used to query data from the database.
 Java script: is client-side scripting, meaning it executes on the viewer’s browser and used
to validate user’s input.
 For this project system development, we used PHP for the front end as means of
communication between system and the user.
 XAMP server-it is used as a web server. The reason that we used PHP is that it:
 Increase efficiency & usability -PHP provides efficiency and usability when it is used for
the development of websites.
 Compatible-PHP is compatible on all operating systems.
 Data processing -A website that has been developed using the PHP functions has fast
features of data processing.
 Easy to understand -When compared with other scripting languages, PHP can be
understood easily because it has simple techniques and features.
 Laravel:-is open source php frame works used to develop a complex web application.
 Bootstrap: the most popular css, html and javascript frame works.
