FLIX Committee Agenda

1. Introduction
FLIX is the official digital hub of XLRI. It caters to the daily digital requirements of professors, alumni,
and student of XLRI Jamshedpur alike.

The primary objective of FLIX is to ensure that all the digital resources which includes but not limited
to softwares, plugins e-books, movies, documentaries, music, tutorials, videos, TV series, OTT
content, magazines, etc. are made available to everyone on campus or off-campus throughout the
year. The digital requests of the alumni are also looked after in FLIX.

The team is not only responsible for fulfilling digital requests but also performs the function of
running, maintaining and updating one of the most unique databases of digital content across the B-
Schools in the country.

2. Structure and Selection Process of our Senior Executive Team


Team Members – 8 (PGDM) + 2 (GMP)

Composition of members – 1 Secretary (PGDM) and 1 Treasurer (PGDM/GMP)

Specific Work to be done by members is given below:

a) 3 members exclusively for handling digital requests on FLIX page and incharge of maintenance
of FLIX Page and GDrive and Physical Drives
b) 2 members for Events Vertical (Icebreaker, movie screenings, other events)
c) 1 member for PR vertical
d) 2 members Creatives (magazines/books etc)
e) 2 Software Support

Note: The roles are interchangeable (except for PR and Creatives), everyone is expected to
contribute to fulfilling requests of FLIX Page.

Selection of Secretary: Only members of PGDM will be eligible for the post of Secretary. The
process will involve the following steps

a) Rollout of the forms for application by Senior Executive Team


b) Submitting of the application from Junior Executive Team
c) Vote by the Junior Executive Team in case of 2 or more candidates.
d) Top 2 candidates to present their SOPs of the work done and initiatives taken (in FLIX) and will
be interviewed by Senior Executive Team
e) Selection of Secretary to be declared by Senior Executive Team

Selection of Secretary: Members of PGDM/GMP will be eligible for the post of Treasurer. This will
be an internal post and for now no CV point will be allotted for this post. The process will involve
the following steps

a) Rollout of the forms for application by Senior Executive Team


b) Submitting of the application from Junior Executive Team
c) Vote by the Junior Executive Team in case of 2 or more candidates.
d) Top 2 candidates to present their SOPs of the work done and initiatives taken (in FLIX) and
will be interviewed by Senior Executive Team
e) Selection of Treasurer to be declared by Senior Executive Team

Selection Process of Senior Executive Team members– Selected by Senior Executive Team
Members from the Junior Executive Team. In case of any resignations from Junior Executive
Committee, selection process will take place depending on the process decided by Secretary in
consultation with other Senior Executive members

The selection will not normally exceed 4* rounds and may consist of the following:

a) Interviews
b) SOPs
c) Task based exercise
d) Any other format deemed suitable by the members.

*Secretary Flix after consultation with other members can conduct additional rounds in case
of exceptional situations for candidates.
He/She may also alter the process for selections of Secretary and Treasurer in consultation
with other Senior Executive Members and inform the same to people interested for applying
for the post.

3. Structure and Selection Process of Juniors Executive Team


Team Members – 8 (PGDM) + 2 (GMP)

Composition of members

a) 3 members exclusively for handling digital requests on FLIX page and incharge of
maintenance of FLIX Page and GDrive and Physical Drives
b) 2 members for Events Vertical (Icebreaker, movie screenings, other events)
c) 1 member for PR vertical
d) 2 members Creatives (magazines/books etc)
e) 2 Software Support

Note 1: The roles are interchangeable (except for PR and Creatives), everyone is expected to
contribute to fulfilling requests of FLIX Page.

Note 2: Everyone is expected to function as per the directions of the Senior Executive Team

As and when the informal committee will start in XLRI Delhi campus or any other future campuses,
the Senior Executive Team at that time will decide the number of Junior Executive Members in
consultation with faculty co-ordinator.

The decision of faculty co-ordinator will be final in this regard.

Selection Process

An interest form will be rolled out at such time (as decided by SAC) when the committee selection
of informal committees will start.
Based on the applications, the Senior Executive Team will decide the format of selection process
to be followed.

The selection will not exceed 4* rounds and may consist of the following:

a) Interviews
b) SOPs
c) Task based exercise
d) Any other format deemed suitable by the members.

4. Selection of Faculty Co-ordinator


Co-ordinator – Prof A.K. Pani is the current faculty co-ordinator.

In case of resignation/retirement of the existing faculty co-ordinator(s), following process will be


used to select new faculty co-ordinator

 Preference/Suggestions of outgoing faculty co-ordinator will be given the first


preference.
 In absence of such a suggestion, Secretary in consultation with Senior and Junior
Executive Team members will suggest a name to be selected as the faculty co-
ordinator.

5. Activities and Work of various members of FLIX


a) Maintenance of FLIX Social Networking Page (Fb/Insta/WhatsApp etc)
b) 3 members will be responsible for 5 major verticals
a. Movies
b. Softwares
c. Games
d. TV Series
e. Books/Magazines
c) Events
a. Icebreaker – Take a Break, format to be decided by the existing members of Senior
Executive Team
b. Movie Screenings -On demand movie and documentary screenings.
i. To be managed by Senior Executive Team until Junior Executive Team takes
charge
ii. Permission and other technical requirements for screenings will be handled
by Senior Executive Team
c. Any other events as decided amongst the Committee members
d) PR – To send out proper and formal communication with regards to various events, magazine
and/or books launch and other activities to be conducted by FLIX.
e) Creatives – Design posters for various events, and launch the committee’s yearly magazine
and articles, blogs etc. They will also be responsible for designing the committee merchandise
f) Software Support – Committee members will provide software support to the official
softwares provided by the IT team to cater to the academic needs of the students of XLRI
g) KT document (confidential) – Create a common KT document and store it on the committee’s
drive to be regularly updated.

6. Review and Penalties


Review:
Senior Executive Members will conduct a review of the work done by the Junior Executive Team
as per time and procedure decided by Secretary in consultation in other Senior Executive
Members.
Penalties:
In case of any formal complaint or during the review, the work is found unsatisfactory, the
person will be asked to resign from the Junior Executive Team.
Under no circumstances KT document to be shared outside the core members of the committee.
Failure to do so will lead to immediate termination of the membership of the committee. This
rule applies to both Senior and Junior Executive Members (including Secretary and Treasurer)

7. Agenda & Vision


Since FLIX is one of the most popular committees among the students, faculty and alumni of XLRI
and has often been appreciated for its continuous service of making everyone at XLRI digitally
sufficient. We want to transform and expand the nature of the work and revamp the identity of the
committee as a whole.

Here is the vision of the committee’s future


Events Completed:
a) Officially appointed as SPOC for Software support for the PGDM and GMP batches.
b) Movie Screenings for the students, faculty members and alumni of XLRI
c) Organised an event ‘Take a Break’
d) Expanded intranet digital hub.
e) Curated digital content during COVID times to cater to requests from XL community.
f) Coordinated with IT team to ensure access to intranet server digital files off-campus,
reducing new cloud upload requests by 20%

Events in pipeline:
a) Purchase OTT and digital subscriptions with official committee’s id to be accessed by XLRI
community
b) Design and release committee merchandise for Senior and Junior Executive Members
c) Publish first ever digital magazine of the committee.
d) Expand the existing storage of the intranet hub
e) Arrange first ever digital movie screening (considering COVID scenario)
f) Co-ordinate with other committees to cater to their digital needs (on contract basis)
g) Explore the idea of generating revenues
h) Expand the offerings of FLIX to XLRI Delhi campus, its faculty members and students.
i) Organize online debates and discussions concerning digital content and other forms of
popular media among the XLRI community.
j) Publish reviews and recommendations of digital content to the students in the form of
newsletters/magazine
