General Guidelines for Title Defense in Graduate Education Program

Sending of manuscript and meeting link


 The researcher will submit the manuscripts (in MS Word file) in the classroom intended for Thesis
Defense at least a day (24 hours) before the scheduled time of the defense.
 The researcher shall follow the file name format below:
Course-major_FAMILY NAME FIRST NAME INITIAL
Example: MAED-English_SANTOS A
 The adviser will be the one who will generate the meeting link for the defense and send it to the
panel of examiners and their advisees.
 It is the adviser who will record the defense through Google Meet’s recording feature.

Presentation of proposal
 The researcher will be given a maximum of 4 minutes to present their proposed title.
 The researcher shall follow the required PPT template during the presentation. (See template)
 If the first proposed title is disapproved, the researcher will be given a chance to present another
title. Only a maximum of 2 reserved titles is allowed to be presented.
 If the three titles are all disapproved, the researcher will undergo a “re-defense” to propose
another title/s.

Procedure During the Defense


1. The adviser will let the researcher enter the meeting after the signal of the panel chair.
2. The adviser will turn on the recording icon/button in the Google Meet.
3. The panel chair will request the adviser to introduce his/her advisee (the researcher).
4. The adviser will introduce the researcher.
5. The researcher will present his proposed study.
6. The panel chair will introduce the panel of examiners to the researcher.
7. The panel chair will request each of the panel members to raise questions/comments/
suggestions.
8. DISCUSSIONS—based on the questions/comments/suggestions
Note:
 The panel members can “raise hand” (or use their audio to be acknowledged) and butt in if ever
they have concerns with the comment or suggestion of their co-panel member. The panel
members can freely discuss about the comment or suggestion.
 The researchers should be the ones who will defend their research proposal. However, the
adviser can also talk and shed light on some concerns about the study only after being requested
by the panel chair or a panel member.
 The adviser can also help his/her advisees during the defense; but he/she must be acknowledged
first by the panel chair before he/she will be given the chance to talk.

9. After the discussion, the panel chair will request the researcher to leave the virtual meeting for a
while.
10. The Chair will facilitate the deliberation on the decision for the research proposal.
(During the deliberation, the adviser is not allowed to butt in unless asked by the panel chair.)
11. After the deliberation, the researcher will be requested to join the virtual meeting again.
12. The panel chair will declare the decision and the condition/s (if there are any). The Chair may ask
assistance from a panel member to elaborate the conditions if needed.
Note: If the first proposed title is disapproved, the researcher will be asked of his/her reserved
titles, and the defense will proceed following the same process starting at item #5.
13. The panel chair will request the researcher to leave the virtual meeting and the adviser to call the
next researcher.
