CONDITIONS GOVERNING HIRE OF SPORTS FACILITIES

1. The person or organisation to whom approval is granted will be held responsible for the conduct and
supervision of all persons attending the event(s) covered by that approval and the termination of the
event(s) at the time specified.

2. The person or organisation to whom approval is granted will be held responsible for any damage caused
to the facilities or property by any person or persons attending the event(s) covered by that approval.

3. The number of persons attending an event must be in accordance with the accommodation available and
be consistent with the number of supervisors in attendance.

4. Approvals for use of facilities include use of toilets and changing rooms.

5. No accommodation, other than that authorised, may be used, disturbed or entered into.

6. Items of equipment may not be available for events unless specially requested beforehand.

7. The person who signed the application form shall be responsible for the prompt payment of the account
which is due from the date of issue.

8. Cancellation of a booking must be notified in writing as soon as possible and in any case not later than
one week before the date concerned.

9. In the event of a cancellation of a booking, or failure to attend, by an organisation, the Ulster University
reserves the right to collect the previously agreed charges in whole or in part.

10. The Ulster University reserves the right to change or cancel a booking. Where a booking has to be so
cancelled or changed as much notice as possible will be given.

11. Any irregularities or damage must be reported to the Sports Centre Officer within 24 hours of occurrence.

12. Security: The person or organisation to whom approval is granted must ensure that all attending the
Ulster University can be identified satisfactorily.

13. The accommodation shall not be used for the delivery of any lecture or display or for the performance of
any dramatic or musical work in which copyright subsists without the consent of the owner of the said
copyright or in any other manner infringe any subsisting copyright, which consent shall be produced on
request.

14. The accommodation shall not be used for events of a political or religious nature.

15. Where it is proposed to have licensed facilities a Form of Undertaking must be requested and filled in by
the proposed licensee and returned to the Sports Centre Officer not less than two weeks before the event.
Where a licence has not been obtained alcohol must not be brought into the premises.

16. The Ulster University shall not be responsible for any loss, damage, or injury to any property, person, or
persons (including the Applicants' invitees) and whether direct or indirect, consequential, or otherwise,
unless suffered by reason of the negligence of the Ulster University, its servants or agents and that it is
reasonable that the Ulster University should be so liable. The Applicant shall be responsible for insurance
cover for his use of the accommodation and shall, so far as it is reasonable that he should do so,
indemnify and keep indemnified the Ulster University from liability in respect of any injury to, or the
death of any person, or damage to any property by reason of, or arising directly or indirectly out of the
use of the premises permitted and from all proceedings, costs, claims and demands of whatsoever nature,
in respect of any such liability, or alleged liability.
