Project Title

Ordering System & Inventory and Sales Management System for JbroStorePH

Company Background

During the pandemic, our business started by selling face shields and face masks. At that time
the capital that we have were almost five thousand until it grew and it became double our
capital, so we decided to sell some medical equipment until my business partner wants to sell
an office chair and gaming chair. Now we're continuing selling gaming chairs and many more.
Also, we decided to join the Lazada Company to post our items and help us with our deliveries.
The medical kit comes from China that will then become our stock, it will then be passed to a
reseller if one avails. If ever our customer is within Imus or Bacoor the shipping fee will be free
otherwise not, while the other deliveries will be through Lazada. Our gaming chair comes from
our supplier in Bacoor if only there is an order.

Problem Background

The JbroStoreph experiences difficulty in tracking their inventory levels, same as for sales
levels, deliveries, orders, as well as accepting bulk orders that is off the e-commerce app. They
also need a website that will post update status for orders and sales, also for the status for
shipment or delivery, at the same time they need a website that will serve as a portal for their
staffs and admins.

Business Needs The website will cater to the following:

 Portal for staff and admins
 Tracking for sales levels
 Tracking for deliveries
 Tracking for inventory levels
 Tracking for orders
 Website that will accept orders and for orders to be
checked-out
 Website that will accept update status for order/sales
 Website to post for product shipment status/ delivery

 Website that will accept return items bought outside

the e-commerce app
 Website that can be updated for future needs of the
customer and business staff
 Website that will only let the consumer view the
product if they don’t have an account
 Website that will display wholesale price for the
resellers account
Business Requirements
The website will serve as portal for admin and staff.
The specific functionality that the Ordering System & Inventory
and Sales Management System should have the following:

 Only the admin can create an account for both admin

and staff
 Only the admin will be able to manipulate the database
for inventory
 Admin should be able to track the level for sales and
inventory.
 Both admin and staff should be able to track deliveries
and orders
 Both admin and staff should be able to update status
for orders and sales
 Both admin and staff should be able to update status
for shipment or delivery
 Consumer can order from the website
 Website should display products
 Website should display variation of products (e.g.
gaming chair colors)
 Website should display tracking of deliveries for
consumer, even if the order was from outside the
website.

 Website should display the dimensions and

descriptions of the product
 Website should offer mode of payments
 Website should display the shipping fee according to
location upon check-out
 Website should have a cart for consumers
 Website should be updated by the future needs of the
customer and business staff
 Consumer must create account to be able to order in
website. The customer must specify if reseller or not.
 Database for customer’s account in website
 Consumer can only order from the website if they have
an account
 Website should be able to process returns of items
from seller. If the reason is approved by the admin,
reviewing it from the website return page. (e.g. wrong
item or damaged item)
 Wholesale prices must be available (if there is) and
displayed in the resellers account on the website page.

Business Value We are expecting an easier tracking of the sales level,

inventory level, deliveries etc.

 The database will also be much more organized

instead of doing it manually, the staff and admin will
also have their work more at ease using this website
as it is user friendly.
 Productivity of the staffs and admins is also expected
as this website will be a big help by doing some part of
their work.
 The company's process of monitoring inventory, sales,
deliveries etc. will be at least 80% faster since the
website will be reacting real-time.

 The website will also serve as a portal for staffs and

admin, making the admin's more in control.
 The processing of orders will also be easier for both
the consumer and business staffs, since the website
will be the one processing it while the consumer is the
one to maneuver the process at ease with the help of
the website features.
 Taking of orders outside the e-commerce app will be
easier for both side (consumer and business).
Special Issues or
Constraints  The customer's will be getting fast responses about the
whereabouts of their order since there will be an
update of status for the shipment.
 The admins were waiting for the application to happen
for a long time since this will be of great help to their
load of work, same for the staffs.
 Since tracking of sales is by unit of time, we will have a
variation of tracking it by daily, weekly, monthly, and
yearly. Same with the other features like posting for
updates and others.
 Consumers who orders outside the e-commerce app
and resellers would benefit great from this website
(ordering and bulk orders) will be much more at ease
by the specific features of the app.
 Resellers can also see if there is a wholesale price
available on the certain product
 Consumers can also return the item by approval of the
admin.
