SCOPE OF CURRENT NEEDS

Coffee retailer is seeking proposals for a backup and disaster recovery solutions. Coffee Retailer

potential server infrastructure is that the local switches and the wireless access points in each Coffee

Retailer shop are controlled via a cloud-hosted centralized management platform. Local switching and

wireless access point (AP) configurations and policies are available to devices via site-to-site virtual

private network (VPN) tunnels to a public cloud service provider. The goal of the Backup Solution is to:

(1) allow for easy integration and seamless into Coffee Retailer environment and leverage functionality

of virtual infrastructure; (2) improve the backup process in terms of space, time, and minimal disruption

to the production environment; (3) provide reliability, flexibility, expandability, and usability, (4)

accommodate archiving or vaulting of specific data in the event legal or other situations require

extended access to or recovery of the data. The purpose of this RFP is to provide the essential

informational requirements such that a qualified respondent (“Respondent”) can propose a solution

that meets the criteria.

Anticipated Solutions

 Weekly and Incremental Backups on System and File Restores

 On Demand File/Folder Restores

 Graduated Security Access for various level access by Coffee Retailer technical staff.

 Clear reporting for completions or errors of Systems backup.

Storage to cover 30-day retention. Current Production with anticipated 20% annual growth rate.

Minimum Backup Requirements

Backup windows- All backups must occur such that production environment is not impacted 7am – 5pm

M-F. Backups normally occur overnight and run less than 7 hours currently. All Backups must be

accomplished within target backup windows.

Growth Capacity requirements- we anticipate data growth to be 20% per year.

Restores from Backups- we anticipate multiple levels of access for restores including: authorized access

for Coffee Retailer system administrators to complete full system restores within minutes . Backup

retention is targeted 30 days for general operation. Legal holds may be held indefinitely and vendor may

propose alternative method for handling such backups.

Possible Backup SOLUTION Options

Fully Hosted - Fully hosted solution requires provider to host and maintain all necessary components to

meet capacity needs and service level agreements for duration of the contract. All fully hosted solutions

must identify the bandwidth requirements needed to meet backup windows.

WARRANTY REQUIREMENTS

All equipment needs to have minimum of four or five years support and maintenance to cover all

hardware and software components

REQUIRED SERVICES All proposed solutions must include on-site training for initial implementation, and

at each major version update/upgrade interval. Post-implementation documentation must be provided

for all District-maintained or District-controlled components, including but not limited to detailed

system configurations, settings and modifications made to implement the system, and items requiring

routine periodic modification.

ON-GOING VENDOR REQUIREMENTS The vendor, at a minimum, must meet the following: 1. Provide

free technical support to the staff of Coffee Retailer Technology Division via toll free telephone number
and/or web site for the duration of the service contract or products’ warranty period. 2. Offer remote

access for maintaining and operating system and accessing backups.

Access Control

The System administrator needs access to configuration settings, change access passwords and rights for

edit / insert / delete permissions of records.

The application software should have the capabilities for encryption not only for passwords/data, but for

data uploads and downloads . Coffee Retailer is a publicly traded company that generates bank card

transactions and, consequently, needs to comply with both Sarbanes–Oxley (SOX) regulations and the

Payment Card Industry Data Security Standard (PCI DSS).

Acceptance test

Application Software must be installed and fully operational as per the RFQ.

Training part of the project should be completed.

Delivery Period

The entire scope of work including training shall be completed within one month.

Termination of the contract Termination of the contract agreement can be effected by either side (i.e.

by Client or the vendor) by giving 30 days’ notice period in writing if and when it becomes compelling by

either side for any reason whatsoever. All the payments shall be cleared up to the date of the

termination notice.

Platform as a Service The Supplier shall provide Client hosting Services including but not limited to the

following:

• Web-application hosting in the cloud, enabling redundant, scalable and dynamic web hosting

• Supports various types of operating systems including specific distributions

• Load balancer

• Sufficient disk space and data transfer bandwidth to meet Client’s requirement
