BAKERY MANAGEMENT INFORMATION SYSTEM

1.1 Introduction

Federal Polytechnic Ilaro Bakery is a registered bakery located inside The Federal Polytechnic
Ilaroin Egbado South, Ogun State, Nigeria. It was established in 2012 by Mr Maleek the former
HOD for Food Science and Technology. It comprises of different department which includes
production, store keeping and sales department.

Federal Polytechnic Ilaro Bakery is not a variegated bakery engaging in business that is into
producing and marketing of bakery products which encompasses doughnuts, fish rolls, meat pies,
buns, cakes and other bakery products. The Bakery is solely into producing, marketing and
providing direct consumption of bread.

Prior to manufacturing the Federal Polytechnic Ilaro Bakery is in control of the bakery product
that fit its particular trend before it is produced, and then delivered to the sales section where the
are recorded in a book called “Sales Record”. Sales begin at this point by keeping track of every
product they get from the production department. In the sales book, the sales and acquisitions are
noted together with the associated prices. The quantity of the baked bread sold on a particular day
are entered into the sales record book. The Bakery has Manual Distribution Centres (MDCs),
where customers who purchase breads in bulk are favoured in regard to price, transportation and
debts.

Daily reports are made on sales, production and costs are made at the conclusion of each day. As
part of stock monitoring, it is determined which price of bread are in high and low demand as well
as which products, ingredients and raw materials are lacking in the production section in order to
prevent unexpected product stock runs out.

1.2 Background

The Federal Polytechnic Ilaro Bakery is increasing in terms of production and marketing since
most of its bread produced are consumed by people in Ilaro. The main objective of the Bakery is
to improve in the production of bread as well as improving customer satisfaction. As one of the
bakeries to be established In Ilaro, it has been producing only bread which is categorised into
different kilograms in order to meet and satisfy the requirements and demands of every of their
customers.

Customers fill up forms with the information they need to be provided, and the forms are
forwarded to the sales manager to determine prices and collect payments. Orders are largely
influenced by the routes and locations where goods are transported. Examples canteens and shops
are provided mostly with all kinds of bread ranging from the biggest to the smallest size, while
offices are supplied with the type of bread demanded.

The inputs and outputs are processed by the bakery management information system (BMIS).
Sales of products in the form of purchases are included in the data inputs, and this will result in

the completion of forms such as sales forms, product forms, and delivery forms as well as return
forms and agent forms.

Filling out records for finished products and inventory information is how production details are
handled. Sales reports, stock taking reports, finished product reports, delivery reports, return
reports, and any searches, such as searches on returns, will be among the outputs.

1.3 Problem Statement


Records are preserved in paper files and record books that are accessible to everyone, making
them subject to:
1. Data is easily altered, lost, misplaced, and changed.
2. Files that are kept in drawers contain some information on bakery goods. This is a serious
concern because there is no data protection and anyone can access and change the information for
their own benefit.
3. There are ineffective techniques for searching and looking up data; some records
concerning bakery items are stored in files piled up, so searching for specific records requires
carefully going through each file one at a time.
4. Misappropriate delivery of product ordered by the customer.
5. Files use a large amount of space.

1.4 Objective Of Study

1.4.1 General Objective

The primary goal of this project is to create an automated system that will allow any bakery’s
information system to function.
1.4.2 Specific Objective
The specific objectives are:
i. To examine the literature about the system that was developed.

ii. To analyze the particular requirements of the user.


iii. To create a system that will make it possible for The Federal Polytechnic Ilaro Bakery
administrators to gather and access genuine data.
iv. To create an information delivery prototype that uses wifi to improve the job done during
recording and make it exact and accurate.
v. To verify the developed system. This makes the managing director of The Federal Polytechnic
Ilaro Bakery task easier while cross-checking and verifying facts.

1.5 Project Scope

The Federal Polytechnic Ilaro Bakery production and sales are covered by this system. Data entry,
data search, data retrieval, validation, and data verification are its main focuses. This system also
deals with a daily supply of goods, customer data based on their terms of purchase, product rates,
and raw material availability in the production sector (stock taking). It also deals with sales
accounting in terms of returns, delivery, and registered customers (agents), all of which need to be
supplied daily.

The system also handles data processing and output functions like product stock out, which means
that the products are in good shape and ready for the market. The method is adaptable to other
businesses that manage their storehouses and produce about the same product units, which
includes all bakeries.

1.6 Significance Of The System

This approach makes it easier to understand why a computerized Bakery Management


Information approach (BMIS) is necessary. The system has a database of clients that addresses
the issue of registering daily customers (agents), daily finished goods, stocktakes, and sales in
terms of returns, deliveries, product sales, and rates. After registering, the customer will receive a
unique code that must be entered so as to start making purchases.

Additionally, the approach lessens ineffective bakery management in the sales and production
department. This is accomplished by putting in place a thorough Bakery Management Information
System (BMIS), which will make it easier to standardize data entry for inputs and outputs.

The presence of Bakery Management Information System (BMIS) allows for the improvement of
the production and sales departments as well as other departments generally by allowing the
bakery to determine and predict the forces of demand and supply by monitoring the trend of
reports in terms of stock taking, sold goods, costs, and profits.

Password security allows for the protection of data. By doing this, the chances of information
being accessed, altered, interrupted, or modified by any unauthorized person are decreased and
eventually eliminated.

Information support is able to be delivered and managed as a result to the bakery management
information system. Delivery information is required to perform work, such as in job instructions,
sales, and production feedback as necessary. In other words, this method aids in understanding the
value and necessity of computerized technology in the production and sales departments of any
bakery.

1.7 The Organizational Structure Of The Federal Polytechnic Ilaro Bakery

Different departments are included in the organizational structure of BMIS and are led by
the general manager. Accountant, Production Manager, Sales Manager, and Store Keeper
all report to the General Manager.
