Archiving Production Orders (PP-SFC)

De nition
The archiving object PP_ORDER is provided for archiving production orders for the Production Planning and Control (PP)
component. The object contains all of the data for the production order, such as:

Operations

Material components

Production resources/tools

Inspection characteristics and inspection characteristic values

Trigger points

Con rmations

Goods movements with errors

Texts

Purchase requisitions

Document links

Use
You can use the archiving program to archive data that you no longer require. In this case, the data is written to archive les
and, provided that it has been archived successfully, deleted from the system.

Only one archiving object is required to archive production orders. The archiving object is called PP_ORDER.

As a rule, the same job is used to create archive les and delete the data from the system. However, you can also carry out
these steps separately (see Starting the Deletion Program (PP-SFC)).

When you call up the archive management function by choosing Tools Archiving Orders from the Shop Floor Control
menu, the eld for the name of the archiving object is prepopulated with PP_ORDER.

Selection Criteria

You can select the production orders to be archived according to the following criteria:

Order number

Order type

Plant

MRP controller

Production supervisor

Selection pro le (only when setting LÖVM or LÖKZ)

Delivery date/time overrun (only when setting LÖVM or LÖKZ)

Only those orders that satisfy the following conditions are archived:

They satisfy the selection criteria.

The order category is “10” ( = production order).

The deletion indicator is set.

The residence time 2 has expired.

 Note
The delivery date/time overrun is set to 90 days as standard. This ensures that orders that have not yet been
released, for example, are not selected.

Integration
ILM-Related Information for the Archiving Object

You can use this archiving object with ILM object PP_ORDER within the framework of SAP Information Lifecycle Management. A
prerequisite for this is that you have activated the associated business function Information Lifecycle Management (ILM)
(transaction SFW5). The system then additionally shows the ILM Actions frame. With these actions, you can carry out an
archiving process in which the retention periods stored in the Information Retention Manager are evaluated, for example.
Furthermore, you can create snapshots (copies) of data or destroy data that satis es the applicable prerequisites.

Archiving WIP Batch Where-Used Lists (PP-SFC)

De nition
To archive batch where-used lists for WIP batches , you use the archiving object PP_WIPCHVW. Table COWIPB_CHVW logs the
goods movements for WIP batch materials.

 Note
The archiving object PP_WIPCHVW has been revised within the framework of a project to standardize and optimize data
archiving. You can use the standardized archiving object by activating the business function Data Archiving: Standardization
of Archiving Objects (DA_ARCHOBJ_STANDARD_1). For more information, see the business function documentation in the
Switch Framework (transaction SFW5).

Use
The concept for archiving WIP batch where-used records is designed to secure the availability of the archived data for the batch
where-used list in accordance with legal requirements.

Structure
To invoke the archiving functions, from the Easy Access Menu, choose Tools Administration Administration Data
Archiving . After you have entered the archiving object PP_WIPCHVW, the following reports (programs) are available:

Action Report

Creation of archive les RCOWIPB_CHVW_WRI

Deletion of archive les RCOWIPB_CHVW_DEL

List display of archive les RCOWIPB_CHVW_READ

 Note
As standard, all steps of an archiving process must be scheduled as background processing. This is done via the menu path
Tools Administration Administration Data Archiving. This does not apply to test runs, which can be performed in
dialog mode.

Selection Criteria

The size and content of the archive can be in uenced by the selection criteria (order/item number/material/batch/plant). This
makes it possible to systematize archives according to your own criteria on the one hand, while reducing the data volume of an
archiving run on the other.

 Note
You can select batches by plant only if batches have been de ned at plant level in your system.

In addition, you in uence the selection of the batches to be archived through the entries Changed On and Changed By .

Integration
Archiving of Production Orders with WIP Batches

If you archive a production order or process order for which you generated WIP batches, and set a deletion ag, the system also
sets a deletion ag for the WIP batches. Exceptions to this are the original batches that were created in WIP batch
management.

Once the production order has been archived, all WIP batches for which a deletion ag has been set are physically deleted from
the system the next time a batch reorganization is run. These cannot be retrieved.

Archiving WIP Batch Where-Used Records

When production and process orders are archived and deleted, the associated WIP batch where-used lists are agged for
deletion. Afterwards, these WIP batch where-used list data can be archived using the archiving object PP_WIPCHVW and then
deleted from the database.

 Note
The WIP batch master records are not deleted with archiving object PP_WIPCHVW.

Archiving WIP Batch Where-Used Lists

Use
WIP batch where-used records are data records from the database table COWIPB_CHVW. This table logs goods movements
involving materials that are subject to a batch management requirement in accordance with Customizing settings.

The concept for archiving WIP batch where-used records ensures the following:

The availability of archived data for the WIP batch where-used list in accordance with legal requirements

Avoidance of memory space and runtime problems due to the growth in transactional data

Integration
You can use the archiving object within the framework of Information Lifecycle Management . A prerequisite for this is that you
have activated the associated business functions. The system then additionally shows the ILM Actions frame. With these
actions, you can carry out an archiving in which the retention periods stored in the Information Retention Manager are
evaluated, for example. Furthermore, you can make snapshots (copies) of data or destroy data that satis es the prerequisites.

Archiving Mode

The archiving and deletion of the data can be carried out in test mode. On the basis of these test runs, runtime, data volume,
and selected batches can be checked in advance.

Activities
All these activities are controlled by the central SAP archiving transaction SARA.

You can call up the archiving transaction via the menu under Tools Administration Administration Data Archiving .
Enter PP_WIPCHVW as the object name and choose Continue .

Archive

You call up the archiving function by choosing the Archive pushbutton.

The system searches for all batch where-used records whose batch master records have already been archived. For each batch,
the system then checks whether the last posting lies before the date entered. If this is the case, the batch where-used records
found are written to the archive le grouped by material number, batch, and plant.

Delete

The archive les that have already been created are used as a basis for the deletion of data from the database. You can choose
the following deletion options in Customizing via the Customizing pushbutton under Technical Settings :

Automatically

If you set the Start Automatically indicator, the system automatically deletes the data in the database once the
archiving run has been successfully completed.

Manually

If you do not set the Start Automatically indicator, you have to start the deletion program via the Delete pushbutton.

Evaluate

You can use the Read button to evaluate the archived data. The evaluation delivers the archived data in the form of an ALV list.
You can select by order, item number, material number, batch, plant, change date, and last person to make a change.

Administration

Click the Administration button to invoke the overview of all archiving runs for the archiving object PP_WIPCHVW.
