Annex: residence conditions after being issued with a residence permit

On the basis of the residence permit, which Erasmus University applied for on your behalf, you
are able to undertake work for (or on the campus of) Erasmus University.

As we act as your sponsor in respect of the Dutch Immigration and Naturalisation Service [IND], we
would explicitly request you:

• Upon arrival in the Netherlands, you must register in the Municipal Personal Records Database
(BRP in Dutch) in the municipality, at the address where you are going to live. Inform your HR
department in case of change of address.

• You must take out a sufficient health insurance per your arrival date in The Netherlands, within
four months following your arrival in the Netherlands. You are advised to also take out
liability insurance, though this is not mandatory.

• Have a TB test, unless you come from a country which is exempted (the entire list of exemptions
can be found on the website of IND. If you do not have a TB test taken, the IND may retract your
residence permit.

• Inform HR International at least 5 weeks in advance if you leave the Netherlands earlier than
expected, if you intend to leave the Netherlands for a period longer than one month or are
abroad for 4 months per year, over the past 3 years, as this may affect your legal and/or social
security status. This is necessary to comply with the EC2016-801 Directive for Short Term
Mobility and Long Term Mobility researchers within the EU.

• Inform your supervisor three months prior to the expiry date of your residence permit. In case of
extending your residence permit, sufficient time is required to complete the procedure in time.

• Undertaking work for other employers could affect your right of residence in the Netherlands.
Please always inform your HR department in case you undertake work outside
of The Erasmus University.

• Inform HR International as soon as your financial resources (bursary, external income,


savings) are in danger of falling below the required monthly amount1, for example due to loss
of income/bursary, taking unpaid parental leave or having the scope of your employment
contract reduced. If you've a hospitality agreement, once per year you will be asked to provide
proof of access to sufficient financial means.

• After PhD graduation: once you've completed the purpose for which your residence permit has
been applied for, Dutch legislation states that your permit is no longer valid. If your permit is valid
after your graduation date, contact HR INT at least 1 month before your graduation date. In case
no action has been undertaken, it will lead into a cancellation of your Dutch residence permit.

• Do not start working before you have been issued with your residence card, unless you have a
sticker provided by the IND in your passport stipulating you are permitted to work. NB:
EC2016-801 STM/LTM sticker is not given unless upon request.
In addition, we would draw your attention to the fact that you are a social sponsor of any family
members who travelled with you or followed you. This means that, amongst other things, you are
obliged to inform the IND of:
 Passport renewal
 the birth of a child;
 changes in your marital status;
 the departure of your family or one of the family members from the Netherlands, or departure from
the Netherlands for a period longer than six months.
