REPORT
[Newspaper Report, Survey Report, Business Report]

Report:
A report is a document that presents information in an organized
format for a specific audience and purpose. Although summaries of
reports may be delivered orally, complete reports are almost always
in the form of written documents.
According to Oxford English Dictionary, “A report is a statement
of the results of an investigation or of any matter on which definite
information is required.” Thus, a report is a spoken or written
account of something that one has observed, heard, done, or
investigated. Thus, it describes an event, a situation, etc. It is written
for a particular purpose and audience. It generally analyses a
situation or problem, often making recommendations for future
action. In a report specific information is presented in a clearly
structured format so that the information is easy to locate and follow.
Reports must always be:
Accurate
Crisp
Understandable
Well-Prepared

Reports may contain some or all of the following elements:

1. A description of a sequence of events or a situation;
2. Some interpretation of the significance of these events or
situation, whether solely your own analysis or informed by
the views of others, always carefully referenced of course (see
120 English Writing Skills

our page on Academic Referencing for more information);

3. An evaluation of the facts or the results of your research;
4. Discussion of the likely outcomes of future courses of action;
5. Your recommendations as to a course of action; and
6. Conclusions.
Not all of these elements will be essential in every report.

Types of reports:
There are many different types of reports which can be written,
though the type you will write at your university depends very much
on your course of study. Each report will have a different format and
writing conventions, though the structure and language used are
broadly similar for all reports. Some of the main reports written at
university are:
laboratory report - this type of report explains and analyses the
results of an experiment; may also be called lab report,
experimental report, or science report;
business report - this analyses a situation and uses business
theory to provide solutions or recommendations; includes
many types, e.g. market research report, marketing report, and
financial report;
case study report - this examines a real-world situation (the
‘case’) and analyses it using appropriate theory (the 'study');
project report - this reports on project work which has been
conducted;
research report - this gives the results of research which has
been conducted, for example through surveys (via
questionnaires or interviews);
progress report - this informs a supervisor about progress on a
project over a certain period of time;
design report - this report describes and evaluates a design used
to solve a particular problem;
field report - this combines theory and practice by describing an
observed person, place or event and analysing the observation.

How to write a report:

Reports generally involve presenting your investigation and analysis
Report 121

of information or an issue, recommending actions and making

proposals. To write a report you can follow the following steps:
Step 1: Decide on the ‘Terms of reference’
Step 2: Decide on the procedure
Step 3: Find the information
Step 4: Decide on the structure
Step 5: Draft the first part of your report
Step 6: Analyse your findings and draw conclusions
Step 7: Make recommendations
Step 8: Draft the executive summary and table of contents
Step 9: Compile a reference list
Step 10: Revise your draft report
Step 1: Decide on the ‘Terms of reference’
The first step of report writing is to decide on the ‘Terms of
reference’. To decide on the terms of reference for your report,
you have to read your instructions and any other information you
have been given about the report, and think about the purpose of
the report:
What is it about?
What exactly is needed?
Why is it needed?
When do I need to do it?
Who is it for, or who is it aimed at?
This will help you draft your ‘Terms of reference’.
Step 2: Decide on the procedure
To decide on the procedure means how you will write the report.
To decide on the procedure, ask yourself:
What information do I need?
Do I need to do any background reading?
What articles or documents do I need?
Do I need to contact the library for assistance?
Do I need to interview or observe people?
Do I have to record data?
How will I go about this?
Answering these questions will help you draft the procedure section
of your report, which outlines the steps you have taken to carry out
122 English Writing Skills

the investigation.
Step 3: Find the information
The next step is to find the information you need for your report.
To do this you may need to read written material, observe people
or activities, and/or talk to people. What you find out will form
the basis, or main body, of your report – the findings.
Step 4: Decide on the structure
The next step is to decide on the structure. The structure of a
report depends on the type of report. The structure can include:
A title page
Executive summary
Contents
An introduction
Terms of reference
Procedure
Findings
Conclusions
Recommendations
References/Bibliography
Appendices
Step 5: Draft the first part of your report
Once you have your structure, write down the headings and start
to fill these in with the information you have gathered so far. By
now you should be able to draft the terms of reference, procedure
and findings, and start to work out what will go in the report’s
appendix.
Findings
The findings are the results of your reading, observations,
interviews and investigation. They form the basis of your report.
Depending on the type of report you are writing, you may also
wish to include photos, tables or graphs to make your report
more readable and/or easier to follow.
Appendices
As you are writing your draft decide what information will go in
the appendix. These are used for information that:
Report 123

– is too long to include in the body of the report, or

– supplements or complements the information in the report.
For example, brochures, spreadsheets or large tables.
– Formatting and presenting your assignment

Step 6: Analyse your findings and draw conclusions

The conclusion is where you analyse your findings and interpret
what you have found. To do this, read through your findings and
ask yourself:
What have I found?
What's significant or important about my findings?
What do my findings suggest?
For example, your conclusion may describe how the information
you collected explains why the situation occurred, what this
means for the organisation, and what will happen if the situation
continues (or doesn’t continue).
Don’t include any new information in the conclusion.
Step 7: Make recommendations
Recommendations are what you think the solution to the problem
is and/or what you think should happen next. To help you decide
what to recommend:
– Reread your findings and conclusions.
– Think about what you want the person who asked for the
report should to do or not do; what actions they should carry
out.
– Check that your recommendations are practical and are
based logically on your conclusions.
– Ensure you include enough detail for the reader to know
what needs to be done and who should do it.
Your recommendations should be written as a numbered list, and
ordered from most to least important.

Step 8: Draft the executive summary and table of contents

Some reports require an executive summary and/or list of
contents. Even though these two sections come near the
beginning of the report you won't be able to do them until you
have finished it, and have your structure and recommendations
124 English Writing Skills

finalised.
An executive summary is usually about 100 words long. It tells
readers what the report is about, and summarises the
recommendations.

Step 9: Compile a reference list

This is a list of all the sources you’ve referred to in the report and
use the APA referencing style.

Step 10: Revise your draft report

It is always important to revise your work. Things you need to
check include:
– If you have done what you were asked to do. Check the
assignment question, the instructions/guidelines and the
marking schedule to make sure.
– That the required sections are included, and are in the
correct order.
– That your information is accurate, with no gaps.
– That your argument is logical and the information you
present supports your conclusions and recommendations.
– That all terms, symbols and abbreviations used have been
explained.
– That any diagrams, tables, graphs and illustrations are
numbered and labelled.
– That the formatting is correct, including your numbering,
headings, are consistent throughout the report.
– That the report reads well, and your writing is as clear and
effective as possible.
You might need to prepare several drafts before you are satisfied.
If possible, get someone else to check your report.

Ans. Unscrupulous use of preservatives in foodstuff
Jannatul Ferdous, Dhaka, 28 April: Nowadays unscrupulous
use of preservatives in foodstuff is a serious problem in our
country. It is very much threatening to human health. It is the
process of making food by mixing other substances or chemicals
which are harmful to human body. Food is adulterated in many
ways. Carbide, formalin, heavy metal, chemical, textile colours,
artificial sweeteners, DDT, urea etc are used to adulterate
different types of food. In hotels and restaurants, foods are
adulterated by mixing stale and rotten foods with fresh foods.
Fish and vegetables are adulterated by putting on them chemicals
and other preservatives so that they look fresh. Bakery and
confectionery products are also adulterated by using poisonous

substances. Even fruits, milk and beverages are also adulterated.

In fact, all kinds of foods and food articles are adulterated by
dishonest and greedy businessmen to earn quick profit.
Adulterated foods are a serious health hazard. Sometimes the
adverse effect of adulteration is quick and sometimes slow. The
immediate effect of eating adulterated food is indigestion which
causes diarrhoea and dysentery. But in the long run this
adulterated food affects vital organs such as the liver and kidney,
causes cancer and leads to death. However, though our
government has taken some steps to prevent food adulteration,
these are not enough. Both the government and public have to
work together in order to stop this ‘silent killer’.

Ans. Child harassment in recent times
Staff Correspondent, Dhaka, 24 April: Children in Bangladesh
are subjected to harassment in various forms in recent times.
Because of poverty, children become domestic workers and they
are ill-treated by the owners or the employers. Last year, ten-
year-old Ripon of Rangpur was beaten to death by his employer
for eating a piece of cucumber without permission. A seven-year-
Report 167

old girl Nazma was a maidservant. A young child of her

employer fell off from her lap. So, she was punished pouring hot
oil over her.
Girl children often become victims of sexual abuse and eve
teasing. They are often raped by their play mates or neighbouring
boys.
Some children are harassed by their parents of the forbidden love
of one of the parents. Rana, a three-year-old boy was strangled to
death by his mother as he saw his mother having sex with her
lover.
Kidnapping children has become rampant nowadays. The devils
in the form of man kidnap children for ransom. If they fail to
meet their demand, they kill the kidnapped child. Besides, some
criminals are involved in the business of trafficking children.
They kidnap children and send them to another country where
different limbs of the children are sold for a huge amount of
money.
Child harassment is a matter of concern. We all should be
conscious about the rights of children and we should protect
them from any threat.

33. Write a report on Traffic Jam in Dhaka city.

Ans. Traffic Jam: A Horrible Experience
Rasheduzzaman, Dhaka 28 June: Traffic jam is increasing
tremendously in Dhaka city day by day. It has crippled life in
Dhaka in the recent times. Especially in the pick hours, traffic
jam becomes intolerable. The structure and lay-out of Dhaka city
are not well-planned. Dhaka is also a densely populated city.
This is the main cause of traffic jam here. For a standard city, the
minimum road requirement is 25%, but Dhaka has only 7.5%
road of its total area. 30% of this 7.5% road is also occupied by
the hawkers, salesmen, makeshift shops and construction
materials. This is also responsible for traffic jam. Narrow roads,
inexpert drivers, violation of traffic rules, insufficient number of
traffic police, unlimited number of rickshaws etc are also
responsible for traffic jam.
Traffic jam kills our valuable time and hampers our work.
168 English Writing Skills

Everyday work-hours are unnecessarily wasted due to traffic

jam. It causes great problems to the ambulances carrying dying
patients and the fire brigade vehicles. However, this problem can
be solved by planning spacious roads. One way movement of

traffic police should be posted at important points. Unlicensed
vehicles should be removed. In fact, proper vigilance and
consciousness can help us to get rid of traffic congestion in
Dhaka city.

Ans. Drug abusers are desperate in the streets of Dhaka city
Raihan, Dhaka, 21 April: Drug abuse takes a terrible form in
Dhaka city. Drug is usually used as medicine to cure diseases.
But the young frustrated generation abuses it and finally becomes
victim of drugs. The rapid increase of the number of drug addicts
concerns all. At first the frustrated youth take drug out of
curiosity. Gradually they cannot resist themselves from taking
drugs and become drug addicts. Selling drug is nowadays a
Report 169

profitable business. Its reckless deal has aggravated the situation

with mysterious silence of the police. It includes heroin, opium,
marijuana, morphine, cocaine, phensedyl etc.
This addiction is creating a lot of problems. Drugs are usually
costly. So, to manage the cost of drugs, the young people commit
crimes such as hijackings, killing, abducting, looting, robbery
etc. As a result, peace and prosperity in society are greatly
disturbed.
These drugs have terrible effects on human body. They cause
cancer, heart disease and other respiratory diseases. They destroy
the nerve system of the human body. The addicts feel intensive
pain in the body. They suffer from amnesia, insomnia, nausea,
physical weakness, blood pressure and from many other deadly
diseases. To manage money for drug, the addicts often go for
stealing, hijacking, killing and all sorts of misdeeds.
To stop drug addiction, parents should be conscious. They should
bring up children with love and care and teach the children moral
values. Above all, the law enforcing agencies must be alert.

generation.
Or,
Our young generation is addicted to Facebook. Write a
report on it.
Ans. Misuse of Internet/ Facebook
Staff Correspondent, Dhaka, 24 April: Internet is a great
blessing for the people of modern age. But our youngsters have
become addicted to it. Youngsters, especially school and college
students use the Internet in a large number. They use social
networking sites like Facebook, Twitter, Skype, WhatsApp and
many more. Excessive use of the Internet reduces their interest in
their studies. It has also adverse effects on their health as
sleeplessness becomes common.
The parents do not know what their children do on the Internet
and so the youngsters are free in visiting any site without
knowing its bad effects. Usually they get involved in hacking and
other evil activities, which are called cybercrime.
170 English Writing Skills

They are disconnected from their family members even while

living in the same place. They are forgetting social values and
norms. Internet leads them towards degradation of social values
and moral corruption.
The role of parents should be effective in this regard. They
should take notice of what their children are doing on the
Internet. They must decide what children need to access on the
Internet and what not to if they want their children to be
successful as good citizens and human beings.

38. Write a report on the problem of Eve teasing in your locality

bringing out the causes, effects and possible solutions.
Ans. Eve teasing takes a serious turn
Staff Correspondent, Magura, 14 April: In Magura town, eve-
teasing has become a common incident. It happens in buses,
Report 171

shopping malls, cinema halls, restaurants, bus terminals and

every other place. Some young boys and youths in this town
always tease the college going girls on their way to college and
back home. A sly whistle, a wink, a lingering look, a vulgar
stare, coarse laughter, the humming of a song, sensual gestures—
all these are typical examples of eve-teasing.
Eve-teasing is a kind of sexual harassment. Some evil minded
boys and men tease girls and women to satisfy their evil nature.
Narrowness, men’s evil nature, cruelty, lack of morality,
unemployment, frustration, failure in love, lack of religious
spirit, lack of public awareness, parents’ indifference, etc are
greatly responsible for eve-teasing.
The effects of eve-teasing are, undoubtedly, harmful. Girls
cannot go out for their education because of eve-teasing. They
cannot go to school and college and are married off at an early
age. Sometimes, they commit suicide for this insult.
In order to stop eve-teasing, government and many organizations
are coming forward. To remove it from the society everybody
should be careful about it. It is a matter of hope that our
government is strongly fighting against this evil act. The
government has also already declared 13 June as the Eve-teasing
Protection Day to raise public awareness. To punish the eve
teasers, our government has introduced mobile court. Exemplary
punishment should be ensured to the eve-teasers. It is not
possible for the government alone to solve this problem, if
general people do not come forward. Parents should take proper
care of their children. Children should not be allowed to watch
vulgar and indecent television programmes. Moral teaching
should be given to them so that they behave with each other like
brother and sister. Public awareness should be raised to start a
social campaign against eve-teasing. We, all, should fight against
eve-teasing and stop it at any cost.

Ans. Miserable life of the slum dwellers in Dhaka
Staff Correspondent 14 January: The slum dwellers in
Kamlapur lead a miserable life. The rootless people live in the
slum. Their income is too little to bear the cost of life.
“We lead a very unhygienic life. We have no pure water facility
and about 20 to 25 families share one latrine,” said Akram Ali,
an old dweller of the slum.
The males either pull rickshaw, or drive buses or pickup vans or
do the masonry; and the females mostly work as housemaids.

infected with diseases, we are compelled to go to the quack due
to our low income,” said Raisa Begum.
The girls growing up in the slum are the victims of early
marriage. But it is a matter of hope that the children living in the
slum nowadays have access to education.
Mohammad, 13, wants to go back to his roots again. It is
shocking to him to see how a family of 7-8 members could

foods, clothes, housing, medicines, and education of their wards.
On the contrary, they cannot take care of their children as they
are forced to work14-16 hours a day seven days a week. Some
workers finish at 3a.m. only to start again the same morning at
7.30a.m.
Bangladeshi factory workers are facing appalling conditions.
They have to live in the slums as they are ill paid. They work in
unsafe condition and often face injuries and factory fires.
The women workers often fall victims to sexual harassment.

Write a report on the bad effect of the indiscriminate cutting
of trees or deforestation.
Ans. Indiscriminate cutting of trees is a threat to environment
Staff Correspondent 07 January: Trees are our best friends.
They make the world fit for human habitation taking in carbon
dioxide and supplying oxygen. Trees give us oxygen without
which we cannot live even a moment. Trees keep the balance of
the environment. They protect us from various kinds of natural
calamities like floods, droughts, storms, cyclones etc. Thus, trees
save our climate.
But many inconsiderate people cut down trees randomly and
endanger our own lives. If we cut down trees, our country will
become a desert one day. If we cut down trees, there will be no
rain and our country and the whole world will face a great
problem in near future.
Cutting trees can result in the loss of habitat for animal species,
which can harm ecosystems. According to National Geographic,
“70 percent of Earth’s land animals and plants live in forests, and
many cannot survive the deforestation that destroys their
homes.”
The consequences of cutting down trees are very dangerous. It
will cause greenhouse effect which is the likely cause of global
warming. It will reduce mankind’s ability to grow food. It will
raise sea level and the lower southern part of Bangladesh may go
under water as a result of deforestation.
Therefore, it is high time we took initiatives to prevent people
from cutting down trees for the welfare of the nation and the
world. If for our necessity, we cut a tree then we must plant at
least two trees. All of us should come forward in this regard so
that we can make our country green like heaven.

notorious for reckless driving.
I was shocked to witness a serious accident. When an old man
was crossing the road, a speedy truck ran over him and he died
on the spot. Everyone was terrified to see his blood on the road. I
am sure it is not an isolated accident. Everyday many innocent
people are meeting their deaths because of reckless driving.
Reckless driving poses a great threat to the people. It can kill

phenomenon that prices of essential commodities increases with
the commencement of Ramadan. There is no valid reason behind
this sudden increase in price. The government has repeatedly
assured that there are adequate stocks of essential commodities.
But the prices of essential commodities are beyond the control of
the government.
It has broken all previous records of high prices. Rice, fish, meat,
chicken, edible oils, and vegetables are being sold at exceedingly

recently because of season’s new rice and vegetables. But one

being sold at Tk. 130. The prices of sugar, washing soap, onion,
garlic, spices, and some other necessary items are still beyond the
purchasing capacity of the common people. The dishonest

Against this background, the government should take tougher

market should be enhanced. The market monitoring teams should
be empowered with adequate manpower and resources.

192 English Writing Skills

purpose of the survey was to discover the reading habits in

English of the students.
The survey was conducted by means of a questionnaire given to
the students. The first part of the questionnaire dealt with the
type of reading and its frequency. The second section was
concerned with newspapers: the type of items read and those that
were read first.
From the table of data, the most significant items are as follows.
In the first section 81% of the students regularly read academic
books while 44% regularly read academic journals. Nothing else
is read regularly or often by 40% or more of the students. The
following comments can be made about the reading of
newspapers, magazines and fiction. 75% sometimes read
regional or local newspapers, 69% sometimes read books of
fiction, 62% sometimes read general magazines, and 56%
sometimes read national daily newspapers. On the other hand,
37% never read Sunday newspapers and 31% never read fiction.
In the second section, not surprisingly, 100% read news about
their own country in newspapers and 56% read this first. 94%
read international news, 25% read this first. 81% read about
Bangladesh and look at radio and TV information. The only
other item that is usually read by more than 50% of the students
is current affairs (read by 56%).
If any conclusion may be drawn from the data, they are, perhaps,
as follows. Students presumably have little time for general
reading: most of their reading time is spent on books and journals
on their own subject. Outside their studies, apart from reading
news about their own country, international news, and news
about Bangladesh, they probably spend most of their time
watching TV and listening to the radio.

4. Summary and Synopsis
The Eco-Homes Project Initiative is an underway project
which has been conceived by the Empire Group. The basic
ideology of the initiative is eco-friendly living. The Empire
group intends to build a mega residential complex which is
spread over 35 acres of land, and house around about 150
households, which are self-sufficient in several ways. The
complex thrives on the basis of inbuilt agricultural centre,
animal husbandry centre, building gardens, fuel cell and bio-
gas-propane generators of electricity, massive solar panels
which provide heat to the homes and also electricity. The
complex will span over the 35 acre premise and will consist
of 3 core residential centres 15 solar panel driven green
houses, 2 orchards, 5 gardens, 3 pastures and 3 animal
husbandry centres cum dairies and a staff of 33 people.
5. Discussion and Details
Some common points, details and conclusions that were
drawn in the meeting of project engineers, company
architects, cost accountants and the CFA’s go as follows.
The project will bring a substantial revenue if all 150 houses
are sold off at a price of amount per house hold. The project
will be a highly big commercial success as it is not just
situated in the city but, once the customer buys the housing
facility his usual bills that include, electricity and water bill
will be cut down to half. The only problem that is foreseen is
that the sale value is huge.
There are 5 phases of the project, namely, the basic
foundation phase, housing complex 1 phase, followed by 2
and 3, with the last phase being the development of all the
support and infrastructure facility. It is estimated that every
phase would go on for 3 months plus a backup of 2 months
has been provided.
The sales for real estate would begin with the completion of
housing complex 1, followed by complex 2 and 3. By the end
of complex 3, the real estate market rates would have
increased by 7.8%. This price escalation however is not

included in any of the calculations.

The cost sheets showing cost projections for the project have
been attached.
A 5-year maintenance, free of cost has been provided for the
complex. An operation cost of about Tk5000 per 2 months is
to be paid by every household to keep the operations going.
6. Conclusion
The project team recommends that this project should be
taken up and executed as fast as possible as the real estate
market is and the eco-friendly products have been
consistently showing positive rises for the past 5 years.
7. Recommendation
In order to reduce operational cost of Tk5000 for every two
months, which is incurred by the residents, the project team
recommends more research and development. It is a selling
point that can be put forth to boost sales.
