REPORT
[Newspaper Report, Survey Report, Business Report]
Report:
A report is a document that presents information in an organized
format for a specific audience and purpose. Although summaries of
reports may be delivered orally, complete reports are almost always
in the form of written documents.
According to Oxford English Dictionary, “A report is a statement
of the results of an investigation or of any matter on which definite
information is required.” Thus, a report is a spoken or written
account of something that one has observed, heard, done, or
investigated. Thus, it describes an event, a situation, etc. It is written
for a particular purpose and audience. It generally analyses a
situation or problem, often making recommendations for future
action. In a report specific information is presented in a clearly
structured format so that the information is easy to locate and follow.
Reports must always be:
Accurate
Crisp
Understandable
Well-Prepared
Types of reports:
There are many different types of reports which can be written,
though the type you will write at your university depends very much
on your course of study. Each report will have a different format and
writing conventions, though the structure and language used are
broadly similar for all reports. Some of the main reports written at
university are:
laboratory report - this type of report explains and analyses the
results of an experiment; may also be called lab report,
experimental report, or science report;
business report - this analyses a situation and uses business
theory to provide solutions or recommendations; includes
many types, e.g. market research report, marketing report, and
financial report;
case study report - this examines a real-world situation (the
‘case’) and analyses it using appropriate theory (the 'study');
project report - this reports on project work which has been
conducted;
research report - this gives the results of research which has
been conducted, for example through surveys (via
questionnaires or interviews);
progress report - this informs a supervisor about progress on a
project over a certain period of time;
design report - this report describes and evaluates a design used
to solve a particular problem;
field report - this combines theory and practice by describing an
observed person, place or event and analysing the observation.
the investigation.
Step 3: Find the information
The next step is to find the information you need for your report.
To do this you may need to read written material, observe people
or activities, and/or talk to people. What you find out will form
the basis, or main body, of your report – the findings.
Step 4: Decide on the structure
The next step is to decide on the structure. The structure of a
report depends on the type of report. The structure can include:
A title page
Executive summary
Contents
An introduction
Terms of reference
Procedure
Findings
Conclusions
Recommendations
References/Bibliography
Appendices
Step 5: Draft the first part of your report
Once you have your structure, write down the headings and start
to fill these in with the information you have gathered so far. By
now you should be able to draft the terms of reference, procedure
and findings, and start to work out what will go in the report’s
appendix.
Findings
The findings are the results of your reading, observations,
interviews and investigation. They form the basis of your report.
Depending on the type of report you are writing, you may also
wish to include photos, tables or graphs to make your report
more readable and/or easier to follow.
Appendices
As you are writing your draft decide what information will go in
the appendix. These are used for information that:

An executive summary is usually about 100 words long. It tells
readers what the report is about, and summarises the

which has been conceived by the Empire Group. The basic
ideology of the initiative is eco-friendly living. The Empire

5. Discussion and Details
Some common points, details and conclusions that were
drawn in the meeting of project engineers, company
architects, cost accountants and the CFA’s go as follows.
The project will bring a substantial revenue if all 150 houses
are sold off at a price of amount per house hold. The project
will be a highly big commercial success as it is not just
situated in the city but, once the customer buys the housing
facility his usual bills that include, electricity and water bill
will be cut down to half. The only problem that is foreseen is
that the sale value is huge.
There are 5 phases of the project, namely, the basic
foundation phase, housing complex 1 phase, followed by 2
and 3, with the last phase being the development of all the
support and infrastructure facility. It is estimated that every
phase would go on for 3 months plus a backup of 2 months
has been provided.
The sales for real estate would begin with the completion of
housing complex 1, followed by complex 2 and 3. By the end
of complex 3, the real estate market rates would have
increased by 7.8%. This price escalation however is not
