External Communications Policy

A. Introduction
Mango Corp. recognizes the value of using general communications and social media to build
meaningful relationships with clients, partners, other relevant stakeholders, and the broader community.
The company also has a responsibility to protect our reputation and the reputation of those associated
with our company.
Hence, the External Communication Policy gives all employees guidance for handling information,
either outgoing or incoming, that pertains to the organization. The focus should be on spreading
important news and information to the public, our customers, partners, and stakeholders.

The activities1 falling under the provisions of this policy include:

 Press Releases
 Direct Mailings
 Financial Reports
 Newsletters
 Social Media Posts (across all platforms)
 SMS Campaigns
 Spokespersons Interviews & Commentaries
 Media Briefings
 Influencer Campaigns & Endorsements
 Brokers’ Campaigns
 Website Content
 All Branded Materials (ATL & BTL)
 Event sponsorships
 Exhibitions and Roadshows
 Digital Outlets Mentions
 Mall tenants signed with the leasing team

These activities1 could discuss the following information:

 Construction Updates
 Official Statements
 Award Announcements
 Collaborations & Partnerships
 Financial Performance Announcements
 Product Launches
 Employer Branding
 Hard-sell Campaigns

B. Policy Terms

1. Authorized Spokespersons
An authorized spokesperson is the person who represents the company in its external communication
activities. This includes the Chairman, Vice Chairman, and CEO.
Only an authorized spokesperson may speak as a representative of the company to any media
representative or entity, or as an official representative on behalf of the company on social media.
As a general rule, Mango Corp. employees are not authorized to communicate with any media
representative or entity. Although media representatives or partners may demand immediate response
or collaborations for mass communication, employees are under no obligation to provide a reply to
them.
In the event that such requests are received and a response is requested, the employee must
immediately notify both their direct manager and marketing department. Under no circumstances
should any employee initiate contact with any media representative or influencers without request from
the marketing department. All communication initiated with external parties will be handled by the
marketing department.

2. Approvals and Clearances


In the event of a communication activity initiated by an external entity (partners, stakeholders, etc), the
marketing department must review the opportunities presented and revert with their recommendations
in a timely manner (determined according to the information available about the opportunity).
The marketing department must provide their support in assessing the value of the opportunity, the
preparation and production requirements of the opportunity, and in the messaging of the
communication activities.
All communications activities must be approved and cleared by the head of the marketing department
and the board.

3. Third Party Activities


The company may use third party activities (endorsements and collaborations) in its marketing
materials, website content, social media posts, press releases, etc. Third party endorsements must be
genuine and not misleading. The company must have a written agreement with any third party that
endorses the company. The agreement must clearly state the terms of the endorsement, including but
not limited to the scope of the endorsement, the duration of the endorsement, and the compensation for
the endorsement.
The marketing department is responsible for the production and preparation of any third party activities,
and must provide its support in the formatting of the messages of all communication activities done by
or with third parties, such as influencer campaigns, broker campaigns, etc.
If any company employees are approached for potential communications activities run by partner
brokers, influencers, media entities (or any other entities benefiting from such communications
activities), the marketing department must be immediately notified.
The marketing department must assess the opportunities and approve any campaigns before their kick-
off. If any member of any department approves any communications activities with third party without
receiving clearance from the marketing department and the board, they will be subject to escalation and
will be held responsible for such action.

4. Sales Material & Collaterals


The marketing department is responsible for the preparation and production of all materials and
collaterals used by the sales department in approaching potential clients. These materials are prepared
in collaboration with the sales department.
The sales department can and should request changes to such materials, or request additional ones,
from the marketing department, for the sole purpose of facilitating and improving the process of
communication with potential clients.
Any materials prepared or produced solely by the sales department for sharing with potential clients
without aligning with the marketing department, are not the responsibility of the marketing department,
and will not be held responsible for their results.

5. Personal use of Social Media


Any employee can (and is encouraged to) share ideas and information sourced from social media
generated by Mango Corp. for the purposes of collaboration. Each of these social media sites has their
own sets of rules governing behaviour to which they must adhere.
Our Human Capital and Marketing departments monitor discussions regarding Mango Corp. platforms,
and we will contact and take proper action regarding any comments posted which have content that
breaches this Policy or the individual site’s terms of use. In that instance, employees of Mango Corp.
may be required to participate in a full investigation which could lead to disciplinary or other action.
In the event that an employee of the company leaks confidential information, or information prior to the
scheduled date of communication externally, the company reserves the right to request that the
information be retracted, and take disciplinary action if needed.

6. Complaints
If any employee receives a complaint about the company's external communications, they must report
the complaint to their direct manager and the marketing department immediately. The marketing team
will investigate the complaint and take appropriate action.

7. Updates
This policy may be updated from time to time. Employees are responsible for staying up-to-date on
the latest version of this policy.
