What is Oracle Hospitality Digital Learning?

Oracle Hospitality Digital Learning empowers customers to provide on-demand training to their employees, students, and
other users. The training we provide is inclusive of products across the OPERA property management suite. This includes
OPERA Cloud, OPERA PMS, Reporting and Analytics (R&A) and the NOR Upsell Platform.

Digital Learning is included for Oracle Hospitality OPERA and NOR Customers with active agreements. Standalone or
individual Digital Learning Subscription access is not offered.

This all-digital state-of-the-art learning solution, providing our users access to the robust portfolio of Oracle Hospitality
Digital Learning content. This allows our customer access to an online learning platform that delivers flexible and
comprehensive training.

Getting Started: The Basics

Digital Learning Activation Email


In order to have access to Digital Learning, a unique Activation Email is generated and provided the organization. This
email contains the process for accessing Digital Learning. The Activation Email will be sent to a single, primary contact of
the organization.
It is up to this person to distribute the email anyone who needs access to Digital Learning. ALL Individuals at that need
Digital Learning access must follow ALL Steps outlined in this email.
Users should contact their Manager/Instructor if they have not been provided with the Activation Email.

Activation for All Users


. Obtain the Oracle Hospitality Digital Learning Activation Email from your Manager/Instructor.
. Follow ALL Steps in the Activation Email to create your Oracle SSO Login and then activate your access Digital
Learning.
. Bookmark the Oracle Hospitality Digital Learning website.
. Before taking any courses, select Orientation, under the Topic Filter and Review the Oracle Hospitality Digital Learning
Orientation Course.
. For direction on what content you should consume, please contact from your Manager/Instructor.

Keys to Success for Managers/Instructors


1. Save the Activation Email – This Email is Unique to Your Property.
. Distribute the Activation Email & Getting Started Guide to all Users that need access to Digital Learning.
. Each user creates and manages their own SSO login on the Digital Learning platform.
a. You and your Management/Instructional Team will be responsible for providing the Activation Email to staff
members that need Digital Learning access. The steps are outlined in the Activation Email, and will allow users
to create their SSO logins and activate their access to Digital Learning.
. Review the videos in the Digital Learning Orientation Learning Path on the platform.
. Direct your users to what content is relevant for your property.
a. All Users will have access to All Digital Learning Content upon login.
b. There is NO Courses/Learning Paths/Roles assignment on this platform. For more on this, please review
Orientation Learning Path on the platform.
. Tracking user progress requires you to request access to the Training Administrator Portal (TAP).

Create Your Oracle Single Sign On (SSO) Account

Before Proceeding

 Do you have a copy of the Digital Learning Activation Email?


 Do you have a unique, verifiable Email Address?

What is an SSO?
 An Oracle Account Single Sign On, often referred to as an SSO, will be Your User Login to access Digital Learning.
o Your Digital Learning SSO is a separate login from the OPERA Application
 All Digital Learning Users must create their own SSO using a unique, verifiable Email Address. This can be work,
school, or personal email.
o Do not use a shared email address.
 Creating your Oracle SSO is creating your Login Only; it does not activate your Digital Learning access.
 If you already use My Oracle Support (MOS) to open online support requests or if you have another Oracle University
Subscription, you already have established an Oracle SSO.
o If you have an established SSO, you can proceed to Activating your Digital Learning Access (Step in the
Activation Email).

Creating an Oracle SSO

. Visit
https://profile.oracle.com/myprofile/account/create-
account.jspx

. Complete the form and click Create Account

. Check your Email. You will receive a verification email


from oracle-acct_ww@oracle.com.

. Click the Verify Email Address button in the email.

. Once Verified, your Oracle SSO account is ready for use.

Reminder: Creating your Oracle SSO is creating your


Login Only; it does not activate your Digital Learning
access.

Visit the Help with Your Oracle Account page:
 On this page, you will be able to find topics related to usernames, passwords, and other account details.
 At the bottom of the page, you can select the green Request Help button to get assistance from the Oracle Account
Team.
o Please Note: The Digital Learning Team is does not have access to view or modify any User SSO Profile
and Passwords. You must work with the Oracle Account Team for resolution.
 If you are not receiving emails to verify your email/reset your password, or if you have other SSO related questions,
please email the Oracle Account Team at profilehelp_ww@oracle.com.

Activating Your Access to OPERA Digital Learning

Before Proceeding
 Do you have a copy of the Digital Learning Activation Email?
 Have you created your Oracle Account SSO?
 Are you using Laptop or Desktop to activate Digital Learning?
 Have you cleared your Browser Cache and Cookies for the last days or more?

STOP! If you create an Oracle Account SSO, but do not complete ALL the Activation Steps (specifically Step in the
Activation Email), you will be able to review content marked as FREE, but will not have full access to the platform.

Troubleshooting

Activation Email/Activation Link


Having a copy of the Activation Email is required to access Digital Learning.
 Do you have a copy of the Activation Email with Activation Instructions?
o If Yes, proceed with reviewing the rest of the troubleshooting in this email.
o If No…STOP!
 Immediately reach out to your Manager/Instructor for a copy of the Activation Email.
 If they are not available, please email us back with the full name of your Property/Educational
Institution and we will assist.
 Did you select the Activation Link, Step 2, of the activation process?
o Users commonly miss this Activation Step.
 Make sure your email provider does not mask the Activation Link.
o What does this mean?
 Some email providers mask links when you receive an email from an outside source. Masking is
used to protect the user from harmful information.
 However, this can cause issues with the Activation Link, due the URL not recognizing the key in
the link.
 You may need to copy and paste the Activation Link as plain text (or type), as it appears in the
email, into your browser.

Buy Now Button/"You must be a subscriber…" message
The Red Buy Now button above your name (in the upper right corner) or "You must be a subscriber to access this content"
message can mean multiple things.
 If you have Buy Now or Subscriber messages, please review the following to resolve:
o Issue 1 - You may not be fully logged into Digital Learning:
 Click your name, or the vertical ellipsis (the 3 dots, in the upper right corner of the screen)
 If you the option to Sign In, select it. The screen will refresh and the red box will be gone or you
may be prompted to sign in with your SSO.
o Issue 2- Your activation is incomplete/step missed.
 Clear your browser Cache and follow the steps outlined in the Activation Email.
 Review the Activation Email/Activation Link troubleshooting section of this document for more.
 If the issue continues, contact us so we will look into options for manual activation.
o SSO must be created and verified by the user before manual activation options are available

Oracle SSO Account Issues/Password Reset


 When you created your SSO, did you go to your email and click the link in the verification email?
o This must be done in 3 days. If not, you can request a new SSO with the same email address.
 For additional help, please visit the Help with Your Oracle Account page.
o On this page, you will be able to find topics related to usernames, passwords, and other account details.
o At the bottom of the page, you can select the green Request Help button to get assistance from the Oracle
Account Team.
 If you are not receiving emails to verify your email/reset your password, please email: profilehelp_ww@oracle.com.

Workstations
 Use a Laptop or Desktop to activate Digital Learning, once activated on the Digital Learning platform you can then
use any device.

Browsers
 Have you tried a different browser? (Chrome, Firefox, Edge, etc.).
o If No, follow the Activation Steps, from the Activation Email, in a different browser.
o If you have already created & verified your SSO, you can skip to Step 2 in the Activation Email.
 Clear your browser cache and cookies (at least for 30 days), close all browser windows and relaunch.
o Ensure you close ALL open sessions of the browser you are using completely.
o Most browsers allow users to clear just the cache/cookies to clear only these settings.
o If a shared computer, active logins may be need to be cleared for the last 12-24 hours.

“Quantity has been exceeded on Order…” message


 The Digital Learning Team provides customers with a default number Seats to get started on Digital Learning.
When the customer has reached their current maximum seat count, users will get a message "Quantity Has Been
Exceeded on Order."
 Please review the Requesting Additional Seats and Detaching Users section of this document for steps on
how to obtain additional seats for your property.

“Order is beyond its expiration date…” message
 Each Digital Learning Activation Email has an Expiration Date listed. Most orders are automatically renewed by our
team, but in some cases we do not recive a renewal notification.
 If when activating you receive the message “The order is beyond its expiration date. Cannot activate.”, please
contact us at operaenablement_ww@oracle.com with the Property/Customer Name and Digital Learning Order
Number so we can review the details of your access.

Oracle University Terms & Conditions


 Did you accept the Oracle Terms and Conditions?
o If so, the next page you will be navigated to the OU My Learning page.
o The My Learning page is a landing for all OU Subscriptions that a User may have.
 Select Go the OPERA Digital Learning tile in the My Library section to proceed.
o OU My Learning Page is not the Digital Learning page an SHOULD NOT be bookmarked.
o Please agree to additional OU Terms and Conditions, if prompted.

OU My Learning Page
 The OU My Learning page is not the Digital Learning. This page displays all the OU Learning
Products/Subscriptions your have access. Do not bookmark this page.
 When you get to the My Learning page, do you see the OPERA Digital Learning tile in the My Library section?
o Yes! Select Go the Oracle Hospitality Digital Learning tile in the My Library section to proceed.
o No. You have not completed activation or your browser is blocking activation.
 Clear your browser cache and cookies (at least for 30 days), close all browser windows and
relaunch.
 Please repeat the Activation, beginning with Step 2.

Digital Learning Platform and Content

Note for Managers/Instructors


We encourage to you to first review the content on the Digital Learning platform. This will allow you to determine what
content is relevant for your property/organization.
This review is important, as All Users will have access to all Oracle Hospitality Digital Learning Content upon login. The
ability to assign Courses/Learning Paths/Roles is not a feature offered on this platform.
You will then need to provide direction to your users on what content they should consume; this includes guiding them to
the correct Solution and Role.
As content is ever changing, the Digital Learning Team does not offer any documentation on Courses/Learning Paths or
Timings.

Accessing Digital Learning Content
 STOP! If a user creates an Oracle Account SSO, but does not complete ALL the Activation Instructions, they will be able
to review content marked as FREE, but will not have full access to the platform.
 All Users will have access to ALL Oracle Hospitality Digital Learning Content upon login.
 Using the Filters and Search options are key to navigating the platform. Property Managers/Instructors are to provide
guidance to their users on what content they should focus on for consumption.
 Use Favorites to mark courses you wish to easily access.

Oracle Hospitality Product Solutions


Product Solutions outline our vast portfolio of Oracle Hospitality products. Use the Solutions filter on the Digital Learning
platform to identify which products apply to your property. The following is a list of Products that we offered content for in
Digital Learning content.

Roles
The Digital Learning platform does not offer any type of course assignment by Property Managers/Instructors. Users
should take advantage of the Role filters to sort groupings of Learning Paths and Courses by job type. Select the filters to
narrow down content. The following is the list of Role filters available on the platform.

Closed Captioning/Subtitle Languages


The following languages are available for on-screen text (closed captioning/subtitles). Once in a course individuals will be
able to use the caption option to select from variety of languages to review content.
Audio and screens for each course video are only available in English.

Browser Language Translation
Many browsers offer the options to translate webpages. These options can assist users with navigating websites/platforms
not displayed in their native language by default. As each browser and device are different, please reference the
help/support options of your preferred browser for further guidance.
In the Digital Learning Customer FAQs course, users can find a video called Browser Language Translation Tips. Here we
provide direction on how to change your browser language, using Google Chrome.
As previously noted, all Digital Learning content has multiple options for Closed Captioning/Subtitle Languages, however all
course video screens and audio are only available in English.

Reporting: Training Administrator Portal (TAP)

What is the Training Administrator Portal (TAP)?


The Training Administrator Portal (TAP) is a tool for Managers/Instructors specifically created to monitor user consumption
and generate reporting on user progress. TAP is for reporting and monitoring purposes only. It does not allow Property
Managers the ability to create/manage users and assign Courses, Learning paths or Roles.
Access to TAP is only provided upon request.
Progress displayed in TAP is not in real-time. User Progress in TAP is updated Once a Day, at : GMT/UTC. This
update takes about - hours, but it could be longer depending on the amount of data to be loaded.
It is the responsibility of the organization to monitor TAP to keep track of Seats used and users to be detached from Digital
Learning access.

Requesting TAP Access

Before Proceeding

 Have you created your Oracle Account SSO before requesting TAP Access?

To request TAP access, email the following details to operaenablement_ww@oracle.com:

1. Oracle Account SSO Email Address


2. Position at the Property
3. Property/Customer Name*
4. Digital Learning Order Number*
 Example: OPERA_CLS_000000
*Property/Customer Name and Order Number can be found in the Additional Subscription Details section of the Activation Email.

You will receive an email confirming your request. This email will include the link to TAP and additional Details.
Please allow - hours for system to refresh, update your access, and to display user progress.

Navigating TAP
Once in TAP, Managers/Instructors can review user progress and pull a CSV or Excel report, per user.
The TAP screen is divided into areas: Orders; Subscribers; Consumption.
For a full overview on TAP, please review the video in Oracle Hospitality Digital Learning Orientation Course.

Orders
This section of the screen lists all Digital Learning Orders Fields in the Orders Section
granted to your TAP Access. Most customers will only have  Quantity: The number of seats available for your
one ( ) order. property
If you have multiple orders listed, select the linked Order  Activated: The number of seats that have been used
Number you wish to view.
 Activation%: The percentage seats that have been used
 Expiration: The scheduled expiration date of your
subscription

Subscribers
This section display all Users that have activated their SSO to the selected Digital Learning order. Use the Excel or CSV
option to generate a report with these details. Select a Linked Name to View the Progress for that User.

Consumption by Subscription/Consumption Unique Courses


This section will display the progress for the selected user. Each course is listed with a percentage of completion.
Digital Learning is based on completion of the entire course, this includes watching each lesson video & obtaining an %
or higher on quizzes. In order to complete a course fully, a user must have a %.
Use the Excel or CSV option to generate a report with details for the selected user, only.

Requesting Additional Seats and Detaching Users


We encourage your organization to use TAP to monitor user and seats. This will allow you to proactively request increases
of Seats and removal of inactive users.
The Digital Learning Team does periodically review customer usage and may add or remove seats based on consumption.

Requesting Additional Seats


The Digital Learning Team provides customers with a default Seats to get started on Digital Learning. As each
organization is different, you may require additional seats.
Please send your request to operaenablement_ww@oracle.com including the following:
 Name of the Property (as it appears on the Activation Email)
 Order Number (as it appears on the Activation Email)
 Number of Seats to Add (seats are increased by multiples of )

Requesting Users to be Detached


When a user leaves a property, their SSO can be detached. This will open up a seat to be used by another user. The
detached user’s SSO is not removed or deleted from the Oracle Account system.
To have a user(s) detached, email us at operaenablement_ww@oracle.com with the following information (available via
TAP):
 Name of the User
 The SSO Email of the User
 The Order Number the User is Attached

 Please use the Ask the Instructor link, at the bottom right of each video. This will tie your question to the material
you are referencing and allow us to provide you with accurate answers.
 We are unable to answer Property Specific configuration questions, only questions related to the Digital Learning
content.

Technical Support for Digital Learning


Including course/quiz progress not recording; navigation not working.
 In Digital Learning:
o Select the vertical ellipsis next to your name (upper right corner of the screen), then the Support option.
This will allow you to open a service request with Oracle University Support.
 In Training Administrator Portal (TAP):
o Select the menu icon next to your name (upper right corner of the screen), then the Help & Support option.
This will allow you to open a service request with Oracle University Support.

Technical Support for Oracle Hospitality Environments


Our team can only assist with items related to Oracle Hospitality Digital Learning. We do not provide
Application/Environmental support and assistance.
 For help with an Oracle Hospitality Application (Production/Live/Training/UAT Environments; Interfaces), please
contact your Oracle Hospitality Consulting Project Management Team and/or Oracle Hospitality Support via My
Oracle Support (MOS) or the Support Phone Number for your Region.
o Do not open a MOS SR for Digital Learning, please contact us as listed above.
 For escalations, please contact your Oracle Sales Executive or Account Manager, after opening a Service Request
(SR). You may also contact your Oracle Hospitality Consulting Project Manager, if currently working with them on
an installation.
