SUMMER INTERNSHIP REPORT AND PROJECT WORK DIARY

GUIDELINES FOR PREPARING SUMMER TRAINING REPORT

The training report should be presented in the following format only -

(a) Students are required to submit the report in two forms:

• Hard Copy- The report should be printed on A4 size Executive Bond sheet and need to send
at the address mentioned below:-

• Soft Copy- Need to submit in pdf format on their portal.

(b) The font used should be Times New Roman and font size should be 12.
(c) The top, bottom and right margins should be 1” each. The left margin should be set at 2”.
(d) The line spacing should be fixed at 1.5 lines.
(e) Page numbers should be placed at bottom middle position.
(f) Chapters should be numbered as 1, 2, 3, etc. The tables and charts should be in the format of 1.1,
1.2, etc. i.e. 1.1 indicates that it is the first table in Chapter 1; 2.1 indicates first table in Chapter 2.
Similarly chart no. 1.1 indicates first chart in Chapter 1.
(g) The training report should be a minimum of 50 pages and should not exceed 60 pages.

(h) The hard copy should be in soft binding format (Spiral Binding) with white thick cover as
the cover page.

GUIDELINES FOR WRITING CHAPTER WISE REPORT

1. Chapter I of the report should be titled as “INTRODUCTION”. The Introduction chapter should
include the Importance, Objectives, Scope and Period of the training as well as Chapterisation
scheme.
2. Chapter II of the report should be titled as “COMPANY PROFILE”. Company Profile should
brief about the origin and growth of the organization; various departments and its activities.
Organization Chart should be included in this chapter.
3. Chapter III of the report should be titled as “ACTIVITES OF VARIOUS DEPARTMENTS”. The
third chapter should cover the objectives of the different departments and its functioning.
4. Chapter IV of the report should be titled as “CONCLUSION”. The Conclusion part should
include the observations made by the trainee in each of the department and the extent of fulfilment
of training objectives.
The second and third chapters should have introduction and conclusion.

Summer Internship Report and Project Work Diary


Q1. What is Summer Internship Report?
A summer internship is carried out in an organization where you work and learn. While on an
internship in an organization, there are some specific tasks assigned to you on a daily/weekly basis
and you have to work on those tasks. A detailed study created by you on the tasks assigned to you
during your tenure in an organization is known as a summer internship report.The Summer
Internship Report is all about the company and the departments you worked with.
Q2. What is Project work diary?
A Project work diary is the list of tasks taken by you on a daily/weekly basis along with the list of
theoretical and practical knowledge acquired during your internship tenure in an organization. Since
the format of your project work diary emphasizes the weekly activity; you would have to report the
tasks taken by you on weekly basis.

Note : - A summer internship report will contain a detailed study of the analysis and/or tools used
by you during your internship tenure in an organization. Whereas, the project work diary is the list
of tasks handled by you along with the list of theoretical and practical knowledge acquired every
week.Summer Internship Report and the Project Work Diary are linked together; whereas the
Project Report is completely different.

Q3. Please share an example that how this activity can be carried out?
Let's understand this with the help of an example.
Consider that you are working with a company dealing with the supply chain and the name of the
company is 'BlueDart'. Then your report will be 'A study on the working of BlueDart'. Please see
the below list to understand what can be drafted in the report.
• Introduction about BlueDart

• Complete company profile

• The various departments/functions you worked with

• A link between these departments

• The functionality of each department, KRAs of Customer Service, Operations, Finance,


Logistics, HR, IT, Packaging, etc.The flow chart of each department. Their hierarchy
structure, etc.
• Conclusion/Summary
On the contrary, the Project Work Diary is the weekly activities you took to understand these
departments along with the theoretical and/or practical knowledge you acquired. Please see the
below example to have a clear understanding.

Week 1 (June 3 to June 9):


Tasks/Assignments during the week:
1. Know all about customer service
2. Draw a functional flow chart
3. Draft their KRAs
4. Define a functional hierarchy
Theoretical and/or functional knowledge acquired:
1. Understood how customer service works in 'BlueDart'?
2. Understood various channels to approach the customer service of 'BlueDart' and the
category of inbound queries
3. Had a clear understanding of the tasks taken by the associates and how the tasks are
delegated to the departments responsible for taking these tasks
4. ....
5. ...
Week 2 (June 10 to June 16):
Tasks/Assignments during the week:
1. Know all about HR
2. Draw a functional flow chart
3. Draft their KRAs
4. Define a functional hierarchy
Theoretical and/or functional knowledge acquired:
1. Understood how HR works in 'BlueDart'?
2. Had a clear understanding of the tasks taken by the HR associates, i.e., receiving a
requisition, dealing with the third party HR companies, short-listing the candidates,
scheduling an interview, approaching various levels for the feedback, etc.

and so on.
Q4. For how many pages, I have to prepare the Summer Internship Report?
Ans 4. A Summer Internship Report is just a training report and should be anywhere between 50 and
60 pages, but should not exceed 60 pages. Also, before drafting a Summer Internship Report, please
read the **guidelines shared by University thoroughly.**
Q5. My Project work diary should include the work for how many weeks?
Ans 5. You have to prepare a Project work diary for at least 4 weeks.
