1. Avoid “Reply All” in a thread unless your email concerns all the people in the thread.

2. Make your subject line Relevant and Descriptive.


3. Add recipients after completing and proofreading your email, and use “Undo” option in Gmail to avoid any possible errors at
the final moment.
4. Respond promptly (the 24 hour rule). You may just write “Acknowledged/Received. I will get back to you soon.” in case you
cannot respond to a query immediately. Furthermore, be considerate about work hours.
5. Please remember that emails have trails. They may be forwarded. Do not argue over misunderstandings on email. Talk over the
phone instead.
6. Use formally acceptable abbreviations only e.g. FYI, PFA, ASAP etc. (ur, bcz, gr8, lol)
7. Be clear, concise, and action oriented. Your message should not be hidden or buried under details.
8. Label your attachments properly to reflect what is inside.
9. NEVER USE ALL CAPS
10. Do not write your entire email in the subject
11. Make sure to spell the names correctly
12. Proofread before sending. (Tip: Use Grammarly)
