Housekeeping services
House Keeping Team shall provide daily housekeeping services like:
Garbage and waste from offices will be collected and disposed of in a safe and hygienic manner on a daily basis.
Rest rooms will be cleaned on regular basis
Spring cleaning / deep cleaning of all areas shall be done on weekly or monthly basis.
Clean desk policy is a corporate directive that specifies how employees should leave their working space when
they leave the office. It is required that employees clear their desks of all papers at the end of the day. The Policy
supports the Information Security Policy available on the Intranet.
Employees before leaving for the day must ensure no company informative documents, personal files or any
other confidential / sensitive records are left unattended on their desks or around the work area. This includes
files, correspondence, minutes, reports and any other information which could be regarded as confidential or of a
sensitive nature. They must ensure that the documents and other records are kept under lock & key.
Any Personal item (i.e. keys, handbags, wallets etc.) should be locked away safely in the interest of personal
security. It is the responsibility of the owner to ensure all security precautions are taken.
A neat work environment during business hours to be maintained.
Non-essential items like idols, decorative table tops should be stored away when not in use.
Employee should refrain from cluttering the work area with post-It or other handwritten notes displaying
sensitive information.
Any unattended paper near the printer will be removed at the end of the day.
Eatables are not allowed in the workstation area, all food items should be consumed only in the cafeteria
Thrash if any needs to be dumped in the common bins placed on the floors
Decoration Policy
Banners / Posters / standees can be put up by project team / department only with approval from the ICRES team.
Do not stick or paste any posters / adhesives in the meeting rooms / conference / board rooms / cabins etc.
Any display of posters / banners / standees etc. will need an end date by which it can be removed. In case the
projects / departments do not provide the end date, ICRES will remove these in 30 days.
All old displays should be removed by concerned Project / Department at end of relevant period, else will be
removed by ICRES without intimation.
All such information will be displayed in specific areas identified by ICRES. Posters will generally be pasted on
glass wall / acrylic wall / notice board; no material will be posted directly on walls, doors or windows as it peels
the paint, etc.
Any material displayed directly without prior intimation to ICRES will be removed.
None of the display material on notice boards or within cubicles should contain confidential business / client
information.
Note: In any eventuality of office property being damaged due to any such activity being done directly and with or without
ICRES consent, the cost of repairs will be charged to the concerned project.

1. Only official courier services are provided.
2. Official courier requires project & task code details to be provided while booking.
3. All mails (Bill statements, subscriptions, inland letters, postcards etc.) mails can be collected from reception desk.
4. All personal parcels will be handed over directly to the associates by the respective service agency personnel;
Reception personnel will not be responsible for collection & distribution of the same.
5. Any official courier is communicated to the respective recipient by the reception desk for collection within 03 days.
6. All snail and unclaimed mails are destroyed after 90 days.
Visiting Cards
1. Business card requisition can be raised by all employees by below path https://talent.capgemini.com -> Useful Links -

2. The concerned employee needs to take a prior approval through e mail from Manager or above for cost approval and
attach the same with requisition e-mail.
3. The cost of the business card will be charged to the respective project code as mentioned in the form. Operations
timing – 8.00 AM-7.00 PM on all working days.
4. Only Mangers and above can mention their designation/ Role. Exceptions can be approved by BU Head through
email.
5. Minimum order quantity is 100. Current Lead time is 10 days.
6. Employee will be informed through email on receipt of cards and the same should be collected by him/ her from any
ICRES team at gurugram.

Objective:
To deliver S A F E Transport services to all Employees and Contractual staff of Capgemini.
(S: shared yet secured, A: advanced yet affordable, F: futuristic yet flexible, E: ecological yet efficient) And to make
Traveler’s aware of the details of the Transport policy and process of the organization. Further, to Apprise all Travelers with
do’s and don’ts while travelling via Company Transport

It is Applicable to all employees of Capgemini (including its subsidiaries and affiliates) in India (collectively referred to as
“Capgemini” solely for the purposes of this document) and its Contractual Staff.

Day Transport
Shift Transport:
Mode of travel will be only buses; buses will follow the shift wise pre-defined route
This refers to the Transport Facility provided for Employees or Contractual Staff working in the night shifts (Between 8pm to
7am) wherein home pickups and home drops are provided by the Company.
All Employees and Contractual Staff of Capgemini working in night shift (as per city/state defined time limit) can use this
service strictly post approval from their BU Head.
No Show- What is a “No Show”? How can I avoid being a “No Show”?

1. Traveler will be considered as No Show if he/she does not avail the transport services in spite of having a valid
request.
2. Traveler will also be considered as No Show if he/she failed to authenticate the travel.
3. Each No show will have a cost impact.
4. Only one NO Show is permissible per calendar month. On Second No Show in a month will lead to cancellation of
further transport services.
5. To invoke the transport services Traveler has to get his/her BU Head / N+1 Manager approval.
6. Cancellation window is open till minimum 48 hours before the login time, with no cancellation charges.
However, cancellation <48 hours before the login time will attract applicable daily bus fee charges
7. Traveler can book or cancel their Shift Transport Services requests as below:

1. Tracking:
a. Traveler will get an SMS from the Transport team on their travel details and Transport Mobile App as well.
b. Traveler can track their assigned vehicle status on the Transport Mobile App for Estimated Time of Arrival.
c. Traveler can also call Transport Team Helpdesk to know the whereabouts of the cab.
d. During pickup Travelers are expected to be ready at least half an hour before their expected time of pickup and
should wait for the transport. Under no circumstances, Transport can be kept waiting for any Traveler.
2. Authentication:
a. Every trip has to be authenticated by Traveler with:
i. Shift Transport: OTP (One Time Password) passed on to Traveler mobile.
ii. Bus Transport: Every trip can be authenticated by Traveler by Scanning the QR Code (Quick Response
Code) available on the vehicle.
b. False authentication can lead to initiation of disciplinary action, which may include termination from services
without notice.
Security Escort Guard Provision: Security escort guard is provided to all lady traveler travelling alone or to be
picked up first or to be dropped last during night.
Please do not board the vehicle in absence of security escorts and kindly highlight this immediately on Transport
helpline number or press SOS button on Transport Mobile App.
In the event, female traveler is the first one to be picked and last to be dropped, Escort Guard should be allowed to sit
in the front seat with the driver.
At places (narrow lanes, road work in process, etc.) where movement of vehicle is not possible, Traveler will be
dropped at their society gate or nearby location or will be escorted (in case of female Traveler). In such situations it
is the duty of the female Traveler to provide prior intimation to the Transport Team so that female traveler is
Escorted to the gate of residence/ society.
Female employee travelling during odd hours to confirm safe drop immediately after deboarding the vehicle through
mobile app by entering unique OTP.

Parking Management
Parking at Gurugram DLF location free of charge and on first come first basis. Parking can be accessed only with the RFID
Tags issued by ICRES team through DLF, post submission of required documents. To obtain Parking Tag, request can be
raised through Liquid Hub intra portal.
b. Visitor Parking –
DLF has provisioned the paid parking facility within the DLF premises which can be utilized by the
Visitor/Vendor/Walk-in & Interview candidates
Employee can apply for a sticker only if he or she is not availing transport facility.
Employee can apply sticker either for 4-wheeler or 2-wheeler only
Parking Eligibility
All Employee can available the parking facility.
Transport User cannot apply for the parking sticker.
For Employee:
Employee interested in applying for a four wheeler/two wheeler parking space can raise a request through AERP portal as
mentioned below:

Click on “Add Parking Sticker Request.”
Fill the required details available on AERP and after filling the require details click on Save Button and upload the below
required documents:

For Employee:
Employee interested in withdrawal of parking for any reason can withdraw his/her parking space once his quarter ends
(calculation date start from 21st of last month & end date to be consider as 20th of current month)
He/she will inform admin personnel in writing and then surrender his/her parking sticker to admin team.
For ICRES Personnel:
Admin team will collect his/her parking sticker and then further update it on ERP portal. DLF personnel to be
inform on regular basis for inactive users.

This SOS App ‘WS Desk’ provides an easy solution during emergencies. An immediate SMS is triggered to the SOS
command center team as well as the emergency contact identified in the app by the employee. This in turn triggers a
call back to employee on his or her status from the command center

Navigation Path - India Application Portal > Facilities > Silent Hours Application > Form.
In cases where a female colleague is scheduled as the second pick-up but there is a no-show by the first pick-up male
colleague, Transport Desk will make alternative arrangements- either by requesting the third pick-up male colleague
to pick the female colleague, or by arranging an escort guard from another cab.
Female colleagues must use company transport facility for login / logout during Slient hours. and must confirm
their safe home reach through smart commute mobile app.
In case a female colleague does not use company transport during the night hours, she must sign the declaration /
indemnity form at the security desk, before leaving the office premises.
Transport Desk will ensure that colleagues in night shift are accommodated in alternative cabs for Login / Logout

dropped at their society gate or nearby location or will be escorted (in case of female Traveler). In such situations it

Female colleagues must avoid occupying the front passenger seat of the cab.
In the interest of safety, female colleagues are also requested to keep their mobile phones charged and reachable,
before they start with the pick-up or drop cab service.
All colleagues are requested to add the Transport Helpline number to their mobile phone contact lists.
All colleagues are advised to take care of their personal belongings such as laptops, mobile phones, wallets, hand
bags etc. while traveling in the cab. Colleagues are responsible for the safety of their belongings.

All Capgemini/Contractor material are regulated using Gate pass process
All the material movement will be transacted between 9 am to 5 pm, (Monday to Friday)
Gate passes will be issued between 9 am to 5 pm only, (Monday to Friday)
Gate pass for official laptop will be issued between 9 am to 5 pm only (Monday to Friday)
In case of Emergency:
Be alert for emergency alarm/siren.
Wait for the PA system announcement & be ready for Evacuation.
If asked, leave your work place & assemble at designated Assembly Area.
Follow Exits/Fire Escape route while evacuating.
Do not panic, run or push while evacuating.
Use only staircase, keep to the walls/railings & move in single line & allow firemen to rush in.

Do not use elevators & do not return to retrieve your belongings.
Emergency Evacuation:
Evacuation drills are conducted on a periodic basis (Yearly twice) to help you understand the safety procedures that are
required to be followed during an emergency.
Following are some of the key points that you should adhere to for successful completion of such drills:
Actively participate to ensure preparedness and avoid panic during a real emergency.
Be aware of the site evacuation plan, the nearest exit and safe assembly points.
Each module Floor layout is displayed showing emergency exit / safe assembly point
During the drill, follow the instructions given by the Emergency Response Team (ERT) and security personnel.
Evacuate the building in an orderly manner during the drill.
Road Safety:
It is extremely important for all of us to adhere to the following traffic safety guidelines to ensure personal safety.
Always carry your driving license and important documents such as your vehicle registration certificate,
insurance certificate, road tax, and P.U.C certificate with you while driving
Do not drink and drive as it is violation of traffic regulations
Always wear a seat belt while driving a car and a helmet while riding a two wheeler
Do not speed. You may lose control and your life in the bargain.
Obey all traffic signals and signs
Use the indicator or hand signals when changing lanes and use your lights when riding at night
Understand the signals given by other road users and use the same when driving
Don't use your mobile phone while driving. If you must, move to the left, halt your vehicle, and then make the
call
Always drive using the correct gear and avoid sudden braking. If needed, ensure both brakes are applied gently.
Never stop abruptly in traffic. Move to the left and slow down.
Always ride with both hands on the handlebar except when signaling
Do not carry more than one pillion rider
Don't sit children on the fuel tank or make them stand them in front.
During your drive always stay alert and be considerate to pedestrians especially senior citizens, persons with
disabilities , women and children
Please use the pedestrian crossing or over bridge and avoid crossing over the boulevard
*All those riding two wheelers should wear helmets and those driving four wheelers should wear seat belts while
entering Capgemini premises. Helmets are mandatory even for pillion riders.
*Please secure your helmet to avoid loss or interchange.

9. What should employee do in case they get stuck inside lift or Lift stopped working in between?
Ans: Employee should not panic stay calm, they should press emergency button in each lift to alert security. Note: All
lifts are equipped with ERD (Emergency Response Device) which brings lift to nearest floor and prevent from falling.
10. What is the process to allow family members in campus during off days?
Ans: Fill the Visitor Intimation Form signed by Physical security Head. Entry to work modules / restricted zone will
not be allowed. To be intimated two business day in advance.
