Project Title: Camping trip to Glacier National Park

Project Start Date: August 10, 2023

Project End Date: August 17, 2024

Project Description:
For the past 25 years the Goldberg family has held the 1-week annual family reunion in
Arizona. In the previous annual family reunion, it was noted that 90% of the family
members would like to hold the reunion at a different venue and state.

With one of the family members moving to Missoula, Montana and based on the feedback
from the family members, the 2024 family picnic will move to St. Mary’s Campground
located in Glacier National Park, Montana. The venue was chosen because of its proximity to
Glacier International Airport, Missoula and the venue has two group sites that can
accommodate tents and RV camping.

Project Scope

Includes:
• Reservation of the venue
• Planning of Activities for four categories–
o Children under 12
o Teens (13 to 18)
o Adults (19 and over)
o Family
• Coordination of airline flights
• Coordination of reservations for Recreational Vehicles (RV) and Tents
• Grills and accessories
• Creating a meal plan
• First Aid kits
• Firewood

Does Not Include:


• Cancellation fees
• Fees for kayak and boat rentals
• Fees for shuttle service tours
• Personal items, such as –
o Towels
o Toothbrush & Toothpaste
o Sunscreen
o Toilet paper
o Hand soap
o Body soap
o Hair products (shampoo, conditioner, gel, hairspray)
o Bug Spray

• Travel cost to and from venue.


• Lake toys
• Groceries for special dietary restrictions

Project Objectives

The success of this project will determine future reunion locations. Additionally, the project
must be completed by August 18, 2024. All previous reunions have been held the 3rd week
of August of every year, hence, the reservations for the venue must be preserved for the 3rd
week in August. This is a family reunion with children being 12 and under, therefore, the
venue must be kid friendly. There must be at least 70% of family members in attendance
and at the end of the reunion, all attendees have had a positive experience.

Major Milestones

Phase 1 – Completion by October 6, 2023


Project Sponsor –
1. Will provide funding of $6,000 to cover the cost of the group site reservation,
grills & accessories, first aid kits, and firewood.
2. Project Sponsor will transfer funds to family account managed by the Finance
Officer by August 5, 2023.

Finance Officer –
1. Notify the Travel Manager of funds received to cover the cost of the reservation
by August 8, 2023.

Travel Manager –
1. The Travel Manager will complete the reservation process at recreation.gov by
August 11, 2023, for the dates of August 11 to August 16, 2024. The National
Park service requires group site reservations for St. Mary Campground to be
reserved one year in advance.
2. Upon confirmation of reservation, the Travel Manager will forward email
confirmation to the Project Team within 24 hours of receipt of the confirmation
email.

Assistant Project Manager –


1. The Assistant Project Manager will compose an RSVP email and letter with the
reservation dates and locations. The email and letter must include the request for
the number of attendees to be provided by the family member, and the RSVP by
the date of October 1, 2023.
2. The RSVP email and letter will be sent to family members and posted in the
Goldberg Annual Reunion group on social media platforms by August 18, 2023.
3. A reminder email, letter, and post of the approaching RSVP date will be sent and
posted on social media platforms on September 25, 2023.
4. Generate a list of family members who have replied “yes” to attending the
reunion, to include the number of attendees.
5. Forward a copy of the list to the Project Team by October 6, 2023.

Phase 2 – Completion by June 30, 2024


Travel Manager -
1. The Travel Manager will review flight availability and discounts for travel dates of
August 10 and 11.
2. Information will be emailed and posted on social media. For those family
members who prefer to be notified by telephone, a phone call will be placed.
3. Completion date for all travel plans to be finalized: February 1, 2024.

Operation Manager –
1. March 4, 2024 to March 8, 2024, contact local Vendors for RV Rental and tent
availability of August 11 to August 16, 2024. Secure Vendor by: April 1, 2024.
2. Send information (via email and letter) detailing cost, size of RV, and other
pertinent information of RV Rental to family members and post them on social
media platforms by: April 5, 2024.

Family Members – RV Rental or tent rental must be finalized by June 3, 2024.


Concerns regarding Rentals must be emailed to the Operations Manager with a CC to
the Project Manager and Assistant Project Manager.

Activities Coordinator –
1. The Activities Coordinator and Assistant Coordinator will develop an activities
agenda. Completion by June 30, 2024.

Food and Nutrition –


1. Meal plan will be developed and finalized by June 30, 2024.

Phase 3 – Completion by August 17, 2024


1. Meal Plan will be sent to all family members and posted on the social media
platforms by the Food and Nutrition Manager by July 15, 2024.
2. August 10 and 11, 2024, arrival of family members from out-of-state.

3. Pick up of RV Rentals. Completion by August 11, 2024


4. Conduct family reunion at St. Mary Campground; August 11 to 16, 2024.
5. Return of RV Rentals. Completion by August 16, 2024.
6. Departure of all family members; August 16 and 17, 2024.

Project Assumptions
The project assumptions are:

1. Everyone can afford the cost of the trip.


2. All family members can take the time off from work or school.
3. Everyone likes camping.

Project Constraints
The project constraints are:

1. Since RV rentals are high in the summer season, there may be limited stock.
2. Unseasonably warmer or cooler weather.
3. According to the website for St. Mary campground, “the reservation period is subject
to change and dates may vary” (Reservation Campgrounds, n.d.).
4. Campground features such as showers and toilets may be out of service.
