DUTIES AND RESPONSIBILITIES

• Supervise the day-to-day activities of the six (6) Scholarship staff.


◦ Lead the planning, target setting, and performance rating of the Scholarship staff
based on the output of the staff under the Scholarship section.
◦ Coordinates with prospective donors of scholarships in drafting the Memorandum of
Agreement (MOA) and the implementing Rules and Regulations (IRR) of the proposed
scholarship grant.
◦ Drafts MOA and rules after the donor agrees with the minimum qualifications, benefits,
terms, and conditions of the proposed scholarships.
◦ Monitors the processing of the MOA and IRR until reviewed by the Diliman Legal Office
for UP Diliman Scholarships or the OVPLA for System Scholarships until finally approved
by the Chancellor or by the UP President.
◦ Prepares Deed of Donation per request by scholarship donors for the issuance of BIR
Form, Certificate of Donation, to avail the 150% deductibility and exemption from
Donor’s Tax.
• Take charge of all the UPAA Scholarship programs.
• Checks/reviews processed and ranked applications for accuracy and compliance with
the qualification standards set for the grant prior to recommendation for approval.
• Check for accuracy and availability of funds of vouchers/payrolls for the payment
monthly or per semester benefits of scholarship grantees.
• Lead the meetings with donors and potential donors.
• To provide inputs and recommendations on the various aspects of Program
administration for planning, design, and development.
• In charge of the immediate response of communications and queries from donors.
• Monitor that emails/queries from the students are answered by the appropriate staff from
the Scholarship Section.
• Efficiently check and countersign all Disbursement Vouchers, letters, and all outgoing
communication from Scholarship Sections.
• Prepare/write the monthly progress report of the Scholarship Section, Report to Donors,
and Project Proposal of Scholarships among others.
• Monitor the on-time delivery of status reports of the scholarships to donors and recipients.
• Facilitate the meeting of the Scholarship Section.
• Monitor the status/progress of the digitization program of the Scholarship section.
• Report the updates of the Scholarship Section during the monthly Staff Meeting.
• Other tasks that may be assigned by the Officer-in-Charge of the Office of Scholarship
and Grants related to scholarship.

Bachelor's degree with two (2) years of relevant experience

- Negotiation skills with donors encompass the ability to adeptly communicate the OSG’s mission, align it with a donor’s
interests, and navigate discussions to establish mutually advantageous partnerships that support meaningful projects and
initiatives.

Application Documents

• Letter of application (indicate the position title, item number, college/unit, and certifying that all attached documents are
true and correct)
• Fully accomplished Personal Data Sheet (PDS) (CS Form No. 212 Revised 2017) with signature and recent photo taken within
the last six (6) months. To help you accomplish the PDS, please read and understand the GUIDE TO FILLING OUT THE
PERSONAL DATA SHEET. Any misrepresentation made in the PDS and the Work Experience Sheet shall cause the filing of
administrative/criminal case/s against the person concerned
• Fully accomplished Work Experience Sheet with signature
• Performance Rating (a. For applicants employed in the government service, last and previous ratings are required for
appointment by promotion or transfer (January - June 2023); b. For applicants working in private companies and/or
classified as Job Orders/Contract of Service, submit two (2) latest rating periods)
• E-copy of General Weighted Average (GWA) (for newly graduated students)
• E-copy of Certificate of Eligibility/board rating/valid license
• E-copy of School Credentials (a. TOR & Diploma for positions requiring Graduate Studies, Bachelor's degree or 2-year studies
in College/Vocational/Trade Course; b. High School/Elementary School Diploma or Certificate from DepEd, etc. for positions
requiring completed basic education)
• E-copy of relevant Training/Seminar Certificates; and
• E-copy of previous and current Employment Certificates with duties & responsibilities, if applicable
